    Great intro to teams for project management. A note on tasks for private channels: use Lists. However I would love to see a video on this since Lists is meant to be used for much more than a task management tool!

      This isn't something that Planner can do. It is possible with Project for the web, but requires licensing that supports the roadmap feature.

    This was exactly what I was after. Thanks! I have a question though: How would you best use this type of Project management to track hours? I would like to get a report/overview out of hours spent in different tasks from a team (or channel). Preferably how much time spent on tasks, based on the time it has been assigned in your Outlook calendar, but I can't find a solution for this.

      Hello! There are a number of tools that track hours and sync with outlook, you'd have to review some of the popular ones and see what makes sense for your use case (our Team uses Harvest). Then, within your Project you've build in Teams, you'd add that tool as a tab in order to keep all of your Project's tool accessible from one place. Hope that helps!

      You can also utilize "Shifts" within Microsoft Teams, it also has a nice clock in & out function, you can export these in csv format as well, and assigned schedules based on Team or project :)

    Thank you for the video, sadly for real projectmanagement I miss some essential tools. Tasks are only the top of needed functions. Without a proper tickettool, Teams is only a good part in team communication and documentation. We are working since 2 years now with teams, its a great tool, but it has place for big improvements.

      Thanks Satinder! We'd love to make a video like this if there was enough interest. No worries even if you were trying to be competition, the more help there is out there, the better! The short answer is it's a lot of work. If you're just starting making videos, you should focus on these things in this order:
      0. Have a topic that is well thought through with a rough structure
      1. Audio Quality
      2. Lighting
      3. Camera Lens
      4. Editing Skills (cuts, graphics, music, etc)
      5. Camera Body

    Is there any way to bulk copy the tasks from one plan to another? Rather than one task at a time? I have created a plan with 5 tasks. I need to create over 100 similar plans with the same task. In one of your Microsoft Tasks videos, you mentioned the ability to create a template in Tasks to accomplish this but I cannot find the video that shows how. Thank you.

      There are two different options:
      1. Copy the Planner plan - in your list of planner plans, click the ellipsis on one of them and click "copy plan"
      2. Use a Teams template that includes a built-in Planner plan

    Thanks for sharing. Excellent learning provided. One question if that's ok?. Can you granulate permissions on MS Teams. For instance say I want the client to the project so they have access to Folder A but not any other Folder. And If I add the client to the Project do they then also see all the communications in posts? Can I set them up in a way that they can only access specific folders and nothing else?

      Hi Paul, something we commonly do for interacting with clients is create a Team with a few channels that the client can see, but then create an "Internal Team" private channel that only we have access to. This also security trims any files shared in that channel/associated sharepoint folder so the client can't see it.

      You can integrate via PWA - also 2013 SharePoint interface, also project online adjust permissions and create new template via power apps

    helpful thank you! Would you know of any template to use in conjunction with this for easy quick way to take Minutes during a Teams call? (then would store in a Notes tab as you mentioned.) thx!

      Hello! The easiest way to do this is to click "more actions ..." in your meeting controls during a Teams meeting, then choose "meeting notes," The meeting notes will open in the main Teams window or in a side panel of the meeting window. Notes can be accessed later by opening the meeting event from your calendar, or, if it was a channel meeting, the notes appear in the channel. When you open a meeting you'll see a tab that says "meeting notes." The downfall to this method is that in order to find these notes later, you have to go to the specific meeting first.
      There are some easier ways to keep meeting notes organized and all in one place, but these methods do not directly associate the notes to a meeting like the method above does. You can use the wiki tab in your channel to take notes, since the channel should be dedicated to a specific topic, this will help your team quickly access notes. Or, if you're like me, you prefer OneNote. I always delete the Wiki tab, add a OneNote tab, rename it "notes", and all meeting minutes related to that Channel I store there.

    Thanks. Wow, Teams integrates with tons of stuff! Why use any other meeting software? Quick question: What are your thoughts on recording MS Teams meetings? Of course you'd inform everyone at the beginning of the meeting but I'd think this would be great to recall what someone reported many weeks ago if in doubt. Thank you.

    Thanks for the informative video. I was searching for exactly the solution you mentioned about making the template for a channel (12:00 - 12:30 above). You referenced a video explaining the step by step process for this, but I can't find that anywhere. I did see the blog post about making a template for a new team, but I'm looking for the exact solution that you mentioned about the template for a channel.
    Please note that I'm on an enterprise license with my company without admin rights. Will I need to get my IT folks to make the template or should I be able to do that?
    Also, I plan to use conversations in the "Posts" tab with designated subject lines to "compartmentalize" communication based on subject matter. When creating the template, am I able to pre-set the conversation compartments in the "Posts" tab in the template? That would be ideal.

      I think the terms we used in the video wasn't clear. We were talking about packing "your current channels" into a Team Template. Not a channel template.
      You could use scripting to set up a channel with specific tabs etc. You probably could also develop an app that would let you apply specific settings to a channel. But that is all custom development.

      I am going to assume that you are in a situation where users are often not able to be connected at all. For example they go out of cellular service.
      Probably the most important thing is to establish some guidelines on what users should expect.
      - Not all users have access to Teams throughout the work day. Pay attention to users status before you spam them with additional messages
      - Users who know they will be out of service, update your status so it is clear that you aren't available.
      - Users need to make sure they are managing their notification settings. The default settings are not likely ideal for how they work.

    Would it be more efficiënt to have an taskboard for every project, or a main taskboard in the general channel which is shared on the taskboards on every project channel? And then with labels give the tasks their project names? Because you want to manage the tasks by project, but if you have multiple project, also want to have a total overview of everything that is going on. Any suggestions? Thanks you in advance 🙂

    Is there a way to get the tasks from each project to “flow up” to a master task tracker at the team level. Like Project 1 channel team is working on tasks ABC. Project 2 channel team is working on DEF. I want on the main General channel to see the status of tasks ABCDEF. Is that possible?

    In the left column, you have Activity, Chat, Teams, Calendar, Calls, Files, ... My screen does not show a selection of "Team"-but Activity, Community, Chat and Calendar. How do I enable the other left column categories?

      The left hand column is customizable and has changed overtime. Most users will have Activity, Chat, Teams, Calendar, Calls, Files as the default. Community sounds like it might be a custom app that your organization configured for you.
      If you want to add new applications you can click the "Apps" button and add new apps. You can also drag the icons down and up to change the order. Lastly, there may be an ellipsis at the bottom of your list. That means you have more apps than can be shown on your current screen. If that is the case you can use the ellipsis to pin other apps to your list.

      It isn't 100% clear what you are looking to do, but it seems like you would be better suited using Project for the web (which has a license cost). This tool has the ability to pull the timeline from multiple projects into a roadmap.

    How does a Director set up a Planner for their several different divisions? Attempted to set up using different tabs, but as we inputted in one bucket, it self-populated in the other buckets i the other tabs.

      Hello! It sounds like you're using the same planner board for each tab. You may want to consider a different channel for each division. Either way, when you add a new tab and select "Tasks by Planner and To Do", be sure to select "Create a new Plan" and give it a unique name. When editing a board, those changes should only exist in that tab/board. Hope that helps!

    Nice Video... but I am having problems with TEAMS. Problem: There is no TEAMS button on the left side to begin building my team. What gives? Whats the point of Teams without Teams? Can anyone help me please resolve the issue?

      Sometimes team creation gets locked down by IT, but the short answer is you likely aren't seeing any teams because you don't have any teams created in your tenant or you don't belong to any.

      I’m having the same issue. I tried to download MS teams using 2 different PCs, cant see the teams icon. Downloaded the app on my iphone, still cant find the teams icon/button. But maybe the reason is because i used the free teams version? I also dont have any subscription to office 365.

    Thank you for this, very helpful. I have a question, I made a task, I chose the progress, priority, start and due date. It is very helpful for our team to use the checklist, but we need to tag people in the comments. How can we do this? We need the person to see the comment in which we tag them. We need the notification of the comment to reach the person. Thanks for help :)

      The short answer is Planner notifcations are pretty bad. The only way for someone to get an email directly from a comment is if they have commented in the task itself already. Otherwise comments do go to the associated group's shared mailbox, but those can get pretty noisy.

    Hi,
    Is it also possible to chat in a single task in a team? For example i have team 1 with 6 employees and a task for 2 of them. I want to chat in the task for status update. When i asked them something they must get a notification in teams.
    Do you know if this is possible?

      Hi Maikel, there isn't a great option to "chat in a task" in the Microsoft world. If you consider those two people as a sort of business function team, you may benefit from creating a team for them or a separate channel to coordinate in.

    Hello Bulb Digital - Do you know a way how we can assign tasks to a Position Title rather than an individual?.. I work on a mine site on a Fly-In/Fly-Out roster in which all positions are Back-to-Back, the issue I find is that when you assign actions or tasks to a specific person, his/her back-to-back tends not to progress the counterparts outstanding actions/tasks
    Any tips please?

      As far as I know this can't facilitate that. I know some of the more enterprise Microsoft Project tool can facilitate more resourcing/forecasting. But in general tasks need to be assigned to an individual in the tools we talk about here. There may be ways you could set up different planner boards to be more position title specific that could help.

    When using a Private Channel and soon to be released Shared Channel you are unable to assign a new Planner Task workspace, how do you work arounds this as moving to another tool would seem counterintuitive.

      Hi Mitchell! You're right, private channels have limitations and currently Planner is not supported for private channels. Microsoft is working on full apps support for private channels, but we don't have a date as to when that will be available. In the mean time, I'd recommend doing the following:
      Create a 'New Plan' using Planner on the Web. Be sure to select "private" and add members that are in the private channel.
      Copy the link to the plan
      Go to your private channel, add a new tab, and select "Website"
      Paste the link of the created plan
      Hope that work around helps!

    I like the Tasks/Planner board, but my team is high volume - currently working on 11 IT installation projects. Does anyone know if there is a way to create a master calendar where all the individual calendar roll up under. This is by far the hardest part - its knowing the whole of what needs to occur so we can easily determine utilization and help prioritize the work.

      Hi Niki, we'd probably point you in the direction of Project for the web if you want to stay within the Microsoft stack. Internally we use an app called Forecast (made by the company who created Harvest time tracking, they integrate together nicely) to track utilization and forecast our work. It has its quirks but works well for us!

      @@BulbDigital I was afraid this might be the answer. I’ve used the enterprise project tracking software in the past. The issues I had with it are - it’s a bit much - not for the PM, but for the average person who is working on a small part of the project. I guess I want a simple concept like the task board, where it’s intuitive to use, available to all, editable by all, and where notes and discussion can be had. And also not require me to maintain a separate project plan. Maybe this exists - something with the heft for the PM while also having the simplicity and “social media-like” collaboration found in Tasks/Planner in Teams.

      Yeah it's a hard balance to find for sure. When it gets to the size you are talking about where things need to be organized both organizationally as well as on small teams, it typically becomes the role of the PM to just be "the keeper of the tasks", and as long as people know what's assigned to them, they're good.
      I will say we have seen some benefit from making a distinction between resource forecasting as an organization vs "using the right PM tool based on the project". It can get a little messy, but works ok for us.

      You can use Shifts within Teams, and you can create varying schedules. You should be able to create a Team Calendar as well that can sync between shifts and Outlook Calendar I believe as well

      @@nmikloiche I believe at one point Microsoft was looking at some integration between MS Planner and MS Project. It wasn't ready at the time I looked at it, but I think they were going for a setup where the PM could use Project to get the heavier PM tools they need, but the people executing the project tasks could use Planner for tracking their tasks. I'm not sure if that was ever rolled out fully, but it might be worth looking in to.

    Is there a way to assign subtasks within a task in teams (i.e assign checklist items to different people responsibly for those subtasks). Microsoft won't add this basic/necessary feature, while they continue rolling out stuff most don't care for.

      It's definitely a challenge to make everyone happy, but we'd love to see Planner get a little more built out. We've recently started using Project for the web and it feels a bit like "Planner+", though it doesn't get pulled into Tasks unfortunately. Things are a little half-baked in that regard.

      Hi May, yes everyone sees the same tabs. Typically they will be authenticated as "themselves", so they will see the equivalent of what they would see if they accessed it from a web browser.

      Hello Jim - to the right of the 'General' and 'Files" tabs, you'll see a plus sign. Click that plus sign to add a new tab. When you click it, a pop up will appear which allows you to browse a variety of apps, including tasks for planner. You should be able to do this in each channel, not just the general one. If it isn't there, it is possible your security settings disallow the addition of tabs on channels and you should definitely ask the person who manages Teams settings for your tenant about getting that unlocked.

      When you create a Microsoft Team you automatically get a SharePoint site. We almost always use that site for all of the document storage associated with the project while it is active.
      If you have an existing SharePoint site you need to use, you can also link it into your Team so it just shows up in the team as an external location! 👍

    Hi I am looking some kind of setup to manage around 250+ projects and each project has only few deliverables but project will go years etc. how do I track in teams, planner or lists etc... your support is much appreciated. any better ideas to track all projects. at present we have created 250+ channels for each project, Is there any better to manage such kind of setup so that we will not miss out any deadlines, mails and reminders...etc. please make one video if possible or guide

      Hey, Jeyakumar! I think a little more understanding of how these projects work would be required to give you advice. You mentioned "each project only has a few deliverables" and "the project will go on for years". What does a day, week, month, year look like for a project? How much "activity goes on"? How many people are involved in each project and is there significant overlap in the people who work on the projects?
      I can tell you that creating a channel for each project in the same team, isn't a good option. Microsoft's official limits say they only allow 200 channels per team. Perhaps, you meant that you created 250+ Teams with their own channels?

      @@BulbDigital Thanks for your quick response, each project will go for months or years due to various reasons, but after the first submission, they may wait for approval or comments, so during that we will allot the resource with another project. Same resource may work on multiple projects, it depends upon the nature of projects. How do we deal in this case, So I can understand channels may not work as well. How do we deal, is there any better way to handle, you advise on this is appreciated

      It still isn't clear what makes up a project. From what you have said, I am not sure why you need a channel or any sort of communication space.
      If you really need a communication space, I would consider creating a Team Shared Workspace for each project. If you are really just trying to track tasks for each project. I would consider a single list, planner, or Project for the web. I think that would simplify things for you!

      It sounds like you may need to talk to your IT to see about being made an owner of the team in order to have those permissions.

    The problem I have with the Teams permissions is that my team works on lots of different projects and I don't need or want the noise from projects that other members of my team are working on. Also, every project requires working with a different set of experts from other organizations, but I definitely don't want to add them to my team and give them access to all the projects we don't need them on. Teams doesn't seem to have a way to add or remove people from specific channels, it's all or nothing. I really need a tool that understands that pretty much every project has a unique set of contributors

      In Teams, your needs would usually be handled by creating dedicated Teams for each project. It seems like you are trying to create one big team with a channel per project.

      @@BulbDigital Yeah, that's what other people are doing. I currently have seven different projects named "General" that people have added me to. If I could get rid of channels completely and only have teams then it'd probably work reasonably well.

    That did not make sense to me to make sub channels of different projects because we are doing 40 at a time, and constantly we have new ones funneling through.

      I am really sorry, but I don't understand your question. Can you point to a specific time of the team that you have a question about?
      One thing to note is that this video is meant for a scenario where you want to have a dedicated Team per project and the assumption is that a project lives for months. If you are in a different situation you will want to adjust the approach accordingly.

      @@BulbDigital Oh, no worries at all, 2:20 when you created a channel for each project versus another filtering.
      I liked the idea and later changed my mind and took your suggestion.
      The projects come. In my case, having multiple Users/Clients and contributors at various stages would always have dependencies on other projects and are connected, so separate channels might only sometimes work.

    I don't like how there's no option to prevent people from making specific types of changes to projects with out giving them full access to permissions. My team lost a whole project plan that was about a years worth of data

      Hello - I'm sorry to hear that, what a loss! There are only two main user roles in Teams: owner and member, which can be quite limiting as both those roles have editing capabilities. Only Owners can delete a Team.
      I'm not sure what tool you used for the project plan, but it might be worth exploring other options. I know Planner has pretty open editing capabilities, but Microsoft Lists for project plans allows more customization on users ability to edit/read only, etc.

    Teams is okay, but falls flat compared to dedicated PM software/apps. The problem with Teams I found is that you do not have a Gantt chart type dashboard view, that clearly shows where you are with a project and where you need to be. Also a major frustration was that one could only assign a task to be completed on certain day. However my projects are time specific, as it something needs to be done by 10:15 a certain day, not simply vaguely sometime that day.

      I assume you are talking about Planner, which definitely doesn't really do what you are looking for. Most project management tools, don't allow for planning down to the time of day.
      As for the need to see where you are in a project, Planner has some more features not shown in this video related to Schedule and Charts. However, they are not as good as a timeline view. You can get that type of reporting from a tool like Project For the Web, but that requires additional license.

    The "team" at TEAMS needs to fix their email invites. They don't specify what timezone the meeting invite is for. MAJOR problem. So the app tries to guess what timezone each person is on, and it taylors it to that person. So invites look different for different timezones. But it guesses WRONG, so you will get a time, but no timezone. This causes major confusion and people showing up and hour early or an hour late for a meeting. So all this talking about TEAMS is really worthless until we solve the problem of knowing what time a meeting actually starts!

      All meeting invites include time zone data. However, users may not understand how they work, because there are multiple settings that all have an impact. In addition the application you are using to view the invites also has an impact. Below are some of the settings that can impact this.
      1. What time zone is your computer configured to use.
      2. What time zone is your calendar configured to use (this is one of the most important settings)
      3. What time zone did you configure the invite in.

      @@BulbDigital hello. The email invites do not include the time zone, as I said. I can send you a screenshot of my email. Also, nobody I know in my company or personal life has the timezone listed in their TEAM email invites. The CZcams tutorials and videos about the TEAMS email invite do not show timezones either.
      Furthermore, I have contacted Microsoft about this and they are working on a solution.

      @@BulbDigital Thanks for the information and I think that you were generally trying to help. It's not your fault that technology has made many things in life much more difficult!! Your message is an example and I'm not trying to pick on you for that! Have you heard the word obfuscation? You sent me several links that talk about long processes to change the timezone in my computer and calendar etc, etc. The simple answer (instead) is for the email invite to contain the time zone and then I can simply (in my head) figure out what time the meeting is!! When I cross time zones, the automatic feature is often wrong. The same thing happens to many of us on our cell phones and other devices. The time is not correct because we are close to a time zone boundary. I'm not interested in going through a long process to try and tell my device to know what timezone is in, when it keeps getting it wrong anyway. The simple answer is for the person creating the meeting to put the time zone in because the team's app will not do that. And like I said.....I can figure out the time by making the time zone adjustment in my head and in a matter of about one second. Lol.

      @@adamr8628 Managing meetings across time zones is tough. Especially if you live near a time zone "line".
      I think you are looking for the email to tell the user what time zone the meeting is scheduled in. Today it always attempts to "figure out" what time zone you want it to be in. Which is heavily dependent on the device you are working on.
      I don't know of a way to force it to always show the time zone.

      @@hannahleaman I think you may be missing the point. I'm talking about the huge advantage of "old school" over technology here. This problem is so easily solved if the person that organizes the meeting will simply put the time and the time zone in the email message. Thats it. Problem solved. A lot of people want to go to a lot of work to try to get the computer to guess the proper time zone of the person at a given time. That is so cumbersome and unnecessary. There are still a long list of things that technology does not do as well as people. And thats another example. Thanks for your response.
