    Did you know that in Apple Notes, you can scan receipts straight from your phone to your Mac? And lock and unlock notes with Touch ID or Face ID? And that you can create templates for things you do often, like having a kickoff meeting with a client?

    I agree. The only thing i wish Notes had is you could draw on the typed wording with a pencil in iPad.

    Thanks so much for this Peter! I've just discovered your page not a moment too soon! I'm in the process of adding some serious structure to my life and your Notes and Reminders App videos have been super helpful. Thanks for pointing me toward Things 3 as well. I like that it seems to be a one-time purchase, not a yearly subscription. I was about to ask you about Reminders vs Things 3, but as fate would have it, directly in line with my my comment box, in the suggested videos, is your Reminders vs Things 3 video. Anyway I've already written all this praise so may as well share it. Thanks again man, keep doing what you're doing!     Great video! Great tips! I switched to notes three years ago and I was hoping templates, checklist and folders would evolve and inside the mac universe, this product is amazing. This video taught me about locking notes - thanks! Easy sub! Carl Pullien has a great series as well based on the PARA folder system. My first folder is now “Goals” then PARA. What do,you that if Google Keep for cross platform sharing?

    I also use it for check list. For instance now that I went on vacation, I included items like sun blocker, sun glasses, etc. with check buttons so I won’t forget anything.

    Those are great tips, I use Apple Notes for quite a few things, and it has been working well for me. As for task managers, I prefer the apple reminders as Things 3 requires you to buy a separate app for each Apple device which is just plain dumb, in my opinion. In one day, I work between my phone, my iPad mini, or sometimes my iPad Air and a laptop...no way am I going to pay multiple times for the same app. If they ever rectify that, then I'd be willing to take a look at it as it looks like a great tool, but until then, it's reminders for the win for me.

    I use Apple notes for everything even for storing all my files and mails that I export via share pdf to a daily mail inbox note. Reasons: i. the pdf text search is great, even better in my opinion than evernote ii. this allows me to turn actionable tasks and deadlines to individual documents iii. this allows me to annotate documents, comment them or write something about them. I have a great experience with using Apple notes as a privat and professional storage for files even if this may not be a common use.

    Peter, excellent video.
    I would suggest you seriously consider using Apple Reminders as your task manager. Why? You said in this video that you like how Apple has connected its apps (e.g., Safari, Notes, etc.). Well, you can link a Note to Reminders. The task goes in Reminders. Supporting details go in Notes. Then, just link them. - - - The way to link them is to open the Note, click on the "Share" button, and select Notes. When you open Reminders, you will see a Notes icon on the right side of the reminder. Then, write the "To Do".

    When I add images to an Adobe Illustrator or InDesign file, the image is linked to the file by an external folder. When you add photos or videos to your notes, are they linked or embedded into the note? If they are linked, where are the original photos and videos stored/located? If you add a YT video to a note, and the owner of that video pulls it down or sets it to private viewing only, will it get deleted from your note or will the thumbnail still be there? In short, how does Apple Notes handle images and videos?

    In my opinion Apple Note is great, I used it for my keeping my personal notes and document. However I prefered One Note and Notability for taking notes for work since both are more organised and friendly than Apple Note.

    love this video Peter I was struggling a lot by trying to use Apple Notes as my Task Manager. But now I stick with Things 3.
    My question is, How do you treat notes like a Summary of a Book, do you stored them in Apple Notes or do you use other app for that?

      It has been a long time since I wrote a summary of a book… but yes, if I wanted to do that, Apple Notes seems like a fine place to do it.

    Can you explain how you set up your notes and how you use them when do use tags do you just have one massive note folder and then those are the ones that have tags just need a little more detailed explanation if possible thank you

    Apple notes has a lot of great features but as I'm looking for a BASB (build a second brain) system, it seems to be lacking two critical features. One is easy linking. There's a hack to do some linking but it's not easy like Obsidian. The second thing is highlighting. You can't highlight your text as far as I can tell. If you have an attached PDF, you can annotate and highlight it, but not a text note. I think if Apple adds those 2 features, it would be perfect for a BASB system.

    Great video as always! I love Apple Notes for storing non-actionable reference: recipes, saved articles, receipts, various checklists, etc... Question for you, Peter: how do you decide when to use a folder vs. a tag? I used to keep everything in folders and subfolders but with tags it seems like I can reduce the number of folders and utilize tags to subcategorize notes. Thoughts on creating hard lines between when to go folder and when to go tag?

      I’ve tried out folders and tags. I can’t come up with any hard-and-fast rules. I like tagging in general because you can apply multiple tags to a note, but you can’t put a note in multiple folders.

      If you use #TAGS, you can’t lock that note.
      How dumb is that, Apple! 🤔
      Also, if you use more ‘mature’ hardware, #TAGS are not supported in past versions of OS.
      For example, I have two macMini that I still use, but they are limited to Catalina… so no #TAGS function.
      I need to get serious about hacking Monterey onto them 😎

    The example of setting due date on a task in Notes - Highlight the task and chose Share and select Reminders - you can do it the other way too 🤓

    I restarted using One Note from Mocrosoft. Separate notebooks for every big aspect of my life & work. For urgent notes I use Apple notes with a few folders and tags. Evernote has become a mess of data and terrible UI& lots of unsuited management tool for this kind of data base. One note is simple, no tags, curated by me.

    Great video! I am going to look at your video on Thing 3 before I kick it to the curb. I tried Things 3 and the tool blows. Unlike Microsoft ToDo, Apple Reminder or Todoist, Things 3 does not give you reminders. I have tried everything and reminders with Things 3 never works. Pen and paper are cheaper. Anyhow, can’t wait to look at your Things 3 video. Cheers!

    Great video, but I prefer Crafts for note taking. It looks great, is more intuitive than Notion, lots of fun to use and has tons of features.

      You can use the share button to share a note to Things. That will create a new to-do with the text from your Apple Notes note as a note of the new to-do in Things.

    Hi Peter, one feature I like about Evernote is the ability to have offline access to a notebook or notes. How can this be achieved with Apple notes?

      Hey James. You do have access to your Apple Notes notes offline. Just turn off your wifi and you’ll see that your notes are all there. Or did I misunderstand?

      @@PeterAkkies in Evernote I can choose the notes or notebooks to have available offline. If I want to switch from Evernote to Apple notes, I understand from your comment that Apple syncs all notes. This might cause an issue if my iPad/iPhone has not enough space to accommodate all notes I have currently in Evernote.

      I don’t!
      Well, very occasionally I do, and then I save it to my task manager’s inbox. But most of the time, I never end up reading it. Now, I either read an article right away or I don’t read it.
      To be fair, this applies to general news. If I were reading articles professional (e.g. academic research if I were a researcher), I’d set up a system for that.

    Such a shame they didn't backport a few of these new features to previous macOS versions, but I suppose it would be naïve to expect that. My MacBook is too old to take Monterey so I'm stuck with Big Sur notes which doesn't have a few of these nice new features.

      I’ve just upgraded from my 2010 MacBook to a new MacMini. I couldn’t use the latest versions of Logic ProX or Photoshop/Lightroom so I took the plunge which I do not regret. I never took my MacBook outside the house

    All your hints are okay if you start with notes from scratch. If you already have some taken up in a specific way, it is still crap, because you can´t move notes from one file to the other and that is the reason so many apps are on macs that can handle this need. The intelligent order or whatever they call it is just a humble work around.

      Notion is great for a few purposes, but for many things (like task management), I prefer specific, dedicated apps.

      Craft looks fabulous and is technically impressive. I just don’t see a benefit to using it compared with Apple Notes for my use cases. It’s also missing some features that I need, like the ability to lock notes.

    I like the video, but I’m not convinced 😉 The reasons I prefer Bear are the super handy markdown feature and … : the super clean looks. Working with super smooth looking apps makes me more productive. My notes look better, it’s more fun to use. That’s also one of the reasons why I like Things 3 so much.

    What do you think about Craft? It has a web app which makes it very interesting also outside the Apple ecosystem. I've tried Apple Notes too and like it but I like Craft more ;)

      Craft is very pretty and I like that it supports Markdown. It has great export features too. But it can’t scan documents, for example. That’s a huge omission. It also can’t lock notes. Those are must-haves for me.

      Yes that's right, the document scanner is only available with Apple Notes and you can't lock notes either.
      I actually always use a hardware scanner and save all attachments in Dropbox, so I don't miss this feature.

    You also cannot share notes you lock. Great rundown on Notes which I also continue to use for daily notes.

    I have a separate Apple ID for my iPhone and a separate one for my iPad, is there a way when I take a new note on either device that it can show up on the other one, even though they have separate Apple IDs?

      There is not, Shawn. You can share notes with another Apple ID, but you’d have to do that for every single note.

      @@PeterAkkies not true -> just create a folder in notes and share the folder through iCloud (invite the other Apple ID to join the notes folder), now all new notes are gonna show up on both your iPad and iPhone and are constantly being synched through iCloud

    Notes is cool however I wish it was far more cross platform friendly. I use other apps because of that.

      Works across My phone, pad, macbook and mac mini absolutely flawless. Write down on ur pad, see on ur other screens. What else u need?

      @@der_heftige_Harald I was a Mac / iPhone user for ever, but now have a PC, Android phone and iPad. I can do that because none of my apps are locked into a specific eco system. I want to always be able to buy the best tools for my needs and if a tool is not that, I want to be free to switch. I don't want future-reality-me to be stuck with the choices that current-reality me-made because I'm walled into software that acts as an anchor.

    Unfortunately Apple Notes doesn't have a plain text and a file structure.
    I prefer iA Writer because I can have everything (plain text and images) available in a folder and access them in any device or OS.
    For notes I'm all into txt files and having the option to switch software anytime and with no compromises

      I use IA Writer for writing articles. It’s great for that. But I find it inconvenient for actual notes. Can you even insert images in IA Writer? Pasting images doesn’t seem to work.

      @@PeterAkkies hi Peter, yes, images work on iA Writer even on the iOS version.
      I use markdown and have two folders in the root directory of iAWriter; "notes" and "graphics" in iCloud.
      Whenever I want to insert an image in a note I type this "![image caption](../graphics/image_name.png)"
      You need to save your image in the "graphics" folder every time before you can use it.
      Note that you could store images and notes in the same folder, so the "../graphics/" won't be needed

    Can someone explain to me how tags are more efficient than just searching for a normal text string?

      They’re not. They are for seeing all notes in a certain category at once.

      Well, one way #TAGS are more ‘efficient’…
      There is a nice list of available #TAGS, which can serve to ‘jog your memory’.
      And this list can just be clicked, no need to type in the #TAG.

    The main disadvantage of apple notes is that they are not cross-platform. In this, Apple notes program loses to google keep - access to which is available from all devices, regardless of OS.

      @@PeterAkkies …I found this Q&A confusing…it implies that you can’t see notes that don’t have tags, which implies that all notes need tags, otherwise they can’t be shown/seen???

    Simply cant use it as the handwriting does not scale from portrait to landscape. When you turn the ipad, the font changes.

      Type #home and leave a space at the end. If it doesn’t work, create a new note and try it there. Sometimes old notes are finicky.

    Good or not the issue is undocum,ented features buried deep in thrid party texts or by trial and error.
    There's nothing worst than secret or hidden features people had all along.
    This is why Apple Notes will never rival other note taking apps or even bullet journals.

    I don't understand how CZcamsrs know about productivity. I have 4000 notes... compare to 700 notes.

    Apple Notes is free and this is very cool but I'm stubbled there is no shortcut to move a note to a folder. One of the major part of my process of taking notes in a GTD style is to capture without worry where will be the final destination of my notes. Those notes are by default the Notes folder. Then I process this folder each day to re-read those notes and decide whether to delete them or move to a more meaningful folder. But, there is no shortcut to move to a folder! What is the point of having plenty of shortcuts but not the one required in the vast majority of cases to sort notes?! Bear is a much better note taking application based on that because you just have to put hashtags and your notes are now sorted. The only advantages I think Apple Notes has is: Free, Share, Drawing, Integration with Apple Pen and easier to understand to mere mortals.

    Sorry, but the synchronisation of apple notes via the icloud is a disaster. Again and again, a large number of notes takes days!

    It's rubbish, has a different user management design to other Mac apps. It's not user friendly.
