Import data into QuickBooks desktop. What should you use?

  • Need to import transactions or lists into QuickBooks desktop but not sure whether to use one of the built-in import features like IIF files, Excel files or Batch Entry or use one of the third party data import utilities?

    Hi Steve, I prepared a file to enter Credit card charges into QB Desktop Enterprise Solution 21.0 & i have copied the data from Excel & Past it into QB Desktop Date column but everything gets pasted into Date Column & Not like you showed in the video, even though i prepared all the columns as per QB....I am using QB as Admin. Would it be possible for you to let me know what am i doing wrong ? Thank you

    Hi Steve, just checking in to see if you can teach me how to use the auto-population feature in QB, wherein I will just upload the bill document and it will automatically populated. Thank you

      Hi Katie, it is as simple as mapping the Vendor for the bill and as long as the Vendor record has address and terms etc set up they will automatically appear on the bill

    Hello Steve, I wanted to understand whether I can import the transactions into QuickBooks desktop without administrative rights of the company file using Zed Axis tool and how safe is it to use this tool to import sensitive financial information?

      Hi Pulkit, you only need to be logged in as the QuickBooks Administrator the first time you connect Zed Axis to your company file - once you have been granted permission you can use your normal QuickBooks user account. Zed Axis does not send your data to any third parties nor is it possible read the data as it is all installed on your local desktop only. Hope that answers your questions.

      You can do that with the Batch Enter Transaction feature in QuickBooks Enterprise, I do demonstrate that in the above movie, if that doesnt work for you then give Zed Axis a try as that is more flexible and powerful.

      Hi Fred, Axis is only able to read Excel, Text or QBO and IIF files but if you are able to use a PDF to Excel converter like ABBYY Finereader then that would work for you.

    I wish to map Customer Invoices into Quickbooks Desk but there is no Mapping for that. Can I create my own Map

      Hi Cathy, There is a mapping type in Zed Axis called Invoice that will import customer invoices into QuickBooks desktop for you. Steve

      Check your version of QuickBooks as the feature is only in the Accountants or Enterprise editions, Zed Axis can do the imports if that is the case

      Hi Saang, If you want to import sale receipts then you will need to use Zed Axis or IIF format as the batch enter does not support sales receipts.

      Can you check to make sure you have mapped the Item and the Amount for each row you are importing

    I downloaded a whole year checkbook activity from my bank of America in an excel file. I am a novice, and I use Quickbooks Desktop Pro 2021. How can I load this excel file into my QB bank account? Please help. I can get 2018 QB Enterprise if you think it is easier to do? Please suggest

      Hi Sting Ray, you can import the transactions into QuickBooks desktop from Excel using Zed Axis. If they are mostly payments then you would likely import as Checks you can create a map between the columns in your Excel file and the corresponding QuickBooks fields. You will likely need to add in the expense account detail and a possible Payee. Reach out to Zed Axis support and we can help you to set that up for you and walk you trhough some of the steps.
