      Check your version of QuickBooks as the feature is only in the Accountants or Enterprise editions, Zed Axis can do the imports if that is the case

    Hi Steve, I prepared a file to enter Credit card charges into QB Desktop Enterprise Solution 21.0 & i have copied the data from Excel & Past it into QB Desktop Date column but everything gets pasted into Date Column & Not like you showed in the video, even though i prepared all the columns as per QB....I am using QB as Admin.     Great Video. Which version of QB online were you using in this video. At 1:08 min frame, the time activity has a Cost (/hr) field which is not available in the some version of QB Online. I am in need of that field because my contractor are on variable hourly payrate. Thank you

    hey @steve batten, zed axis customer here. with quickbooks pos ending 10/03/23, any advice on replacement software? i am considering continuing to use it and finding a new payment provider. if i do keep it, wondering if there is a way to import PO or Vouchers with msrp, regular prices and overwriting existing items(price changes)?

      hi @matt I think that you will just loose some of the online services but POS will still continue to work, there arent many POS solutions out there that can do what QuickBooks POS can.

      Yes it can be confusing when attempting to link the invoice to the sales order as there are a few different ways that this can be done and you must follow certain rules as required by QuickBooks.       No sorry only the fields that are shown on the reclassify section which is Account or Class. If you need to batch update Customer Jobs then use Zed Axis as it can modify those in batch

      No QuickBooks only does supports Invoice and Credit Memos for the batch import of data on the sales side. You should try Zed Axis as that does support importing Sales Orders from a spreadsheet directly into QuickBooks.

    Trying to see how this would be used for EDI integration, for example I am looking for middleware that would 1. Import Orders exactly how you demonstrated. 2. Export Shipments from the QB Ship Record and export invoices. Additionally to do all of the above in an automated fashion.       Hi Rakim, Open your IIF file in notepad and see if you have two columns with the header QNTY that might be the cause or a corrupt IIF file. You would try Zed Axis to import the corrupt IIF file as you can ignore the duplicate QNTY column.

The new 3rd party Quickbooks uses for this (MoveMyBooks) will only move 2 years of data free of charge and charges a lot for every further year you want to export/import.       Hi Jamie, Yes you can use Zed Axis to move transactions from QuickBooks Desktop to QuickBooks Online. The first step would be to export the data from Desktop into Excel using Zed Axis and then upload the Excel data into QuickBooks Online. You can test out with the Zed Axis trial version.

      Hi Ronnie, Yes these batch edit features are only available in the QuickBooks Enterprise or QuickBooks Accountants editions, if you dont want to upgrade then you could use Zed Axis to do the batch edits

      No unfortunately as we use the invoice number to identify the invoice we cant edit that field, the alternative would be to batch delete and the reimport with updated invoice numbers

      Hi Sting Ray, you can import the transactions into QuickBooks desktop from Excel using Zed Axis. If they are mostly payments then you would likely import as Checks you can create a map between the columns in your Excel file and the corresponding QuickBooks fields. You will likely need to add in the expense account detail and a possible Payee. Reach out to Zed Axis support and we can help you to set that up for you and walk you trhough some of the steps.

    Always good to insert an error handling 10 or 15 seconds in a video like this. In your video it just works. In my real life I get "Unable to Create Service please try again". If you know anything why that might happen would be great to include a comment. I have installed the axis database and I have created a mapping (Vendor import) successfully from Excel. I followed each step on this video but when I click "add" at 2:35 it just gives me.. "Unable to Create Service please try again". I am at a loss what I have done wrong. MySQL is installed (albeit version 8 but will cooperate with software designed for version 5). The ODBC connector for MySQL is installed. Axis Database puts out message "MySQL and ODBC drivers installed successfully" so I assume that is installed correctly. I am the only user on Zed Axis so I am assuming I have all the right admin level access. I will contact Zed Axis support team :-( :-(.

    Apologies for message invasion. One other recommendation is for our reassurance have a class field in the Sales Order Excel document you are demo'ing the uplaod. This will obviously be a text cell with Class:Subclass formula - just knowing that can be applied with the upload is very important to us too. The Class feature and its ability for P&L by business areas is a huge and almost the only reason to choose QBDT - hence everybody will be using the Class feature and all transactions should be Class registered (even if the registration is applying the class "No Class"). The Excel will have the class written exactly correctly in the cell so this has to apply itself to the right class upon upload. Otherwise it will fail.

    Thanks Steve. Similar to Nick: 1. If the customer does not yet exist in QBDT will it create the customer in QBDT? (all the customer details WILL be in the Sales Order info). Separately: Does the mapping created then apply to all following Sales Order submissions? Perhaps your video could have demo'd the "next" Sales Order after the mapping is done - demonstrating that now a correctly created Excel can now be simply (or automatically?) loaded thru Zed Axis.

      Hi Richard, Answers to your questions. 1. Yes if Axis is unable to find a matching Customer record then it will create it on the fly. 2. Yes once the mapping is created you can use it on subsequent imports as long as the file structure (ie columns do not change) Hope that helps.

    Is it possible to upload attachment into sales receipt and cheque, I tested but error occurred. Besides is it possible to upload the file directly from Dropbox. Thanks for sharing the video

      Hi Kit, Yes it is possible to upload attachments to SalesReceipt and Purchase (checks) when mapping the Entity Type field make sure you set the type of transaction or list that the attachment is to be attached to (possible values Invoice, SalesReceipt, Purchase, Bill, JournalEntry, Item, Customer, Vendor, etc ).     and after adding new custom fields and column mapping them do the fields stay there for all future uploads?? so then we can upload Excel with the custom fields in the doc and Zed Axis recognise and map them in future to upload them seamlessly into QBDT?? or do we have to go thru this every time we upload a excel doc with custom fields?? Additionally most people have multiple custom fields so would be great to know if there was a way of doing this all in one go or if we have to thru each custom field (not too painful). If we have to go thru this for every upload that involves custom fields - its game over, as the automation aspect of Zed will be wiped out - hope its good news.. 🙂

      Hi Richard, Yes the mappings that you have created are saved and can be used on subsequent imports. For your second question yes you can do them in one batch for multiple custom fields as long as you keep the Custom Field name and Field Values all in the same columns.

    I am trying to batch edit but when I go to "Company" menu, there is no "accounting tools" option. I am using QB Desktop for Mac 2022. Can you help me out? I am trying to change the account for about 100 transactions and don't want to go through and do it individually.

      I've encountered the same issue. According to my research, one needs a specific version of Quickbooks Desktop in order to use this feature. If you have an accountant, ask them for assistance. They should have this feature enabled.

      Hi Pyrkia, QuickBooks for Mac is quite a different from the Windows version and does not have the same extensive feature set so does not support Accounting Tools. I doubt that it will l ever suport a batch edit feature as Intuit in recent years have focussed all their efforts into the QuickBooks Online version

      I didn't have the accounting tools option under company either. Mine was located under the accountant center.

    hi STeve, Nice video. How about if the items are not yet created in Quickbooks Online / Desktop. When you import from Excel using the mapping, will it create the new items in Quickbooks automatically? I ask because sometimes there are 100 different items from Excel on one single order that needs to be imported

      Hi Nick, You are correct if Axis is unable to find a match for the Item Full Name it will create the items automatically, but you can also have the option to turn that off if you dont want that by selecting the option to Skip List Validations.
