Would change the "Start Date" and "Due Date" column names to "Actual Start..,etc..." to be clear since the baseline dates are "locked"?
Yes, I completely agree with this. Those columns are intended to be actual dates while the baseline dates are the forecast you are comparing against to determine if you are behind schedule or ahead of schedule. Great suggestion!
I love so much how we as PM's put so much of our time and energy into studying these methodologies - which are, and would be useful - only to get to work and for all of these concepts, principals, "rules" to be thrown right out the window, because "leadership know better".
Hi Kyle! I can agree with this sentiment. This is also why influence skills are so important for PMs. We need to find a way to educate and influence leadership to help them understand we get better OUTCOMES (which is generally what they care about), by following sound PM practices. I suggest starting small with a ‘pilot’ to prove the concepts work. Best of luck to you!
Hi Kandis, I am trying to view the resource allocation at the Portfolio level- basically overall view across multiple projects. But somehow i am not able to see it...i dont have the resource viewer icon/ button that you mentioned in the video---is that a must to have this kind of a view?Also under resource management i dont have the "Legacy resource column" ....do i need to get these two working and rights provided to be able to view the resource allocation across multiple projects? pls advise..thanks
Hi Raj! Smartsheet has recently released a new feature called Workload Management. This pulls information in from project schedules to help manage resources. You must ensure the following fields are included at the task level in each schedule, to get the rollup of allocated resources: Start Date, End Date, Assigned Resource, Allocation Percentage, Duration, and Predecessors. I have been exploring this and plan to record a new video on it soon. Kandis, I freaking love you and your work! You opened my eyes to interproject linking for dependencies between projects. I had no idea a project timeline could be automatically adjusted based on a project in an entirely different sheet. I manage over 100 projects as an IT manager and could never make sense of the inumerable interdependencies between them all until i started using the project management office template set. On the subject of AI, everyone should be using speech to text in all their meetings. Chatgpt can analyse them and provide action items and project updates with a simple copy and paste. I use speechtexter it is free and alarmingly accurate!

I know you made this 3 years ago, and I imagine your teaching and coaching has grown a great deal since then. This video seems to go narrowly and deeply into filling out the cards without showing how Smartsheet is useful in supporting Kanban projects. Specifically: I think one of the leading strengths of Kanban is its simplicity, and its related speed. When setting up a Kanban board it's a good practice to throw as many tasks as possible up on catalog as many tasks as possible before going back to do a deep dive on the details in each card. It's a great way to take a head (or room) full of tasks, and quickly throw them up on screen in order to start organizing them. It's very helpful for the brain to brainstorm at one level before moving onto the next level. I also think it would be helpful to talk briefly about how these cards would be used in a stand-up meeting. How do these fields become relevant? What does it look like when a card is Due? How does Size or Priority change the way Smartsheet displays them? These details help reinforce the utility of using these fields.

Thanks for your helpful video. Finally got to see what it looks like on the back end when the "intake" form is returned and how the info populates the cells. I agree, it would be great if the form could be saved with partial fields filled in and the team member could come back at a later time to complete. My question is, I have a sheet with a ton of other info and the form I am sending covers about 5 columns of information I need to retrieve from about 40 different people. So when the "intake" form comes back to me, it will simply populate the information at the bottom (or top) of the sheet correct? So I will need to cut and paste the info into the correct and corresponding row? I hope that makes sense. Thank you!
Thanks for your comments/question! One option is to send an "Update Request" via Smartsheet automation to the individuals you need information from. First, ensure the individuals are listed in a contact column. Then, set up a "Request an Update" automation for someone in the contact column, including only the columns you need them to complete. The individual will receive an email with an "Open Request" button. When they click the button, a Smartsheet update form will open, allowing them to enter the requested information. While the update form resembles a standard form, it doesn't offer the same editing options. This is a great question, and I'll work on a video explaining this in more detail over the next few weeks. Thank you, Juan! Yes, great point. If there is cost associated with a mitigation or contingency plan, I would absolutely include it in the risk log. You could also include options (option 1, option 2, etc.) for the mitigation and/or contingency plans, with the associated cost of each, to help drive a decision on how to proceed. Once a decision is made, this should be included in your budget for any funds required. Best of luck!

2:30 You aparently just mentioned (unknowingly) why waterfall is a failure, because either you dont know much about how construction projects unfolds or you knew and explains sort of why all projects fails. Even when the architect has drawn the house, they dont draw all the destails at the same time, because there are often so many changes during the project it would be a waste of resources, and often they need to do just that and the owner, the craftsmen, the advisor, engineer and public authorities neighbours the weather changes all the time. Not even when the house is finished it stops some want a larger or exstra garage, svimmingpool, outhouse .. And the builders need to change in accordance with labour and material and financial cost of building it.
Hello and thanks for your comments! I do see many organizations (even in construction) using a hybrid approach for the same reasons you mention above. I also encourage clients to explore using progressive elaboration (this can be used with agile, hybrid, and waterfall), which is a technique where planning and documentation are developed in greater detail as the project progresses and more information becomes available. This approach acknowledges that not all details are known at the start of a project and allows for continuous improvement and refinement of the plan as the project team gains more understanding, resources, or feedback. In Waterfall projects, progressive elaboration generally occurs during the initial planning phase. Later in the project this is often limited, however, because Waterfall methodology typically requires a more rigid structure and detailed plan upfront, with less flexibility for changes (requiring a formal change request) as the project progresses. In Agile projects, progressive elaboration is a fundamental concept. Agile projects embrace change and uncertainty, allowing for continuous feedback and adaptation. Planning in Agile is iterative, with details added and adjusted throughout the project lifecycle as more information becomes available and as project requirements evolve.

Question, I put in a lot of effort into building that first project, and all my projects will have almost the same tasks, etc with minor variations. Hi Kandis, finally got round to following this step by step and it was great til step 5, when not all the cells copied into the yellow cells on the project intake sheet. The Start and end dates didn't copy over. Any suggestions please?

Is there a way to set a predecessor relationship where a line item can have a multiple day duration and happen before or after, but not concurrent with another activity? We have specific days of testing for commissioning we want to avoid having other activities, and I want those to be able to take precedence and move other activities automatically. I have 3 schedules for a single site and two of the schedules have these two day testing durations I would like to have next to nothing running concurrently.
Hi! Do you have access to Microsoft Project? This scheduling tool has more advanced constraint options than Smartsheet and might be worth exploring based on your needs. In MS Project, you can set up dependencies between tasks using the predecessor column. To ensure tasks do not overlap, you can use 'Finish to Start (FS)' or 'Start to Finish (SF)' dependency types with constraints. For the days when you have testing and want no concurrent tasks, you can set those particular tasks with a 'Must Finish On' or 'Must Start On' constraint to lock them to specific dates. This will automatically adjust the other tasks in the schedule when you enable auto-schedule. Remember to assign different resource allocations if you have the same resources assigned to tasks that shouldn't overlap. Hope this is helpful!
Hi Kandis, this is amazing and so easy to follow along but I am very frustrated with it comes to changing the date of the project. I can't find anywhere to change the project date from what was originally made in the template.

I don't know if you still monitor this. But, I am trying to use this video and when I click the 9 dot block, I am only seeing data shuttle and workapps. I do not have an option for solution center. Can you help?
I did the same in watching this video. If you click on the PLUS symbol on the upper left side of your screen, that gives you access to the Solution Center. Then I searched agenda under All. There was a button that came up in the lower right corner that said "Find older templates". I clicked on that and was able to find the templates she displayed in the video.
This is so very very useful. The only part in series that confused me was using the Target Start.End. If thats driving the Project Health, it feels like any small slip in a single early delivery could show the project as At Risk, which in my world at least isn't true (if you can make up time elsewhere). Even if you reset baseline, the health wouldnt reflect, is that true? I wonder if you have any suggestions?
Hi Paulina - I agree that Project Health is best customized in the PMO template set, to align with your company’s definition. If you haven’t discovered the Smartsheet Formula Handbook Template Set (link below to a video), this could be helpful to give you ideas on how to modify! Agile does not necessarily mean having Sprints. Sprint is a Scrum phenomena, however, Kanban is also an agile approach.
@ZRoFiak - I do value Kanban Board frameworks! I have generally seen them used with a ‘delivery cycle’, which still strives to complete the work within in set timeframe (similar to a Sprint). Would love to hear how you use the Kanban approach. I love that PM doesn’t fit in a box and I’m seeing more Hybrid delivery. Cheers!

Is there a way to import from an excel sheet into your Project Intake Sheet?
Hi Michelle! As much as I would like to recommend importing from Excel into a project plan in Smartsheet, I haven’t found it very useful. I find a targeted copy/paste to be easier. Otherwise, I spend more time cleaning it up. Please advise if I didn’t directly answer your question...I’d just need a bit more context, to provide further recommendations. Cheers!
Hi Kandis, this video is very useful, thank you. We use Smartsheet at a basic level, meaning we capture the projects on the form, and all of them remain in the Intake sheet. We haven't implemented the next steps, but we want to. How can I build my PMO having as a base only my Intake sheet, which doesn't have any formula or link with other sheets?

I have the PMO going, however, I have multiple customers and some customers have a single project, other customers have multiple projects. So, I need a full view of everything, but I also need a view of the multiple projects for a single customer at the customer level. Thoughts? Ideas? Suggestions are greatly appreciated.
Hi John! We are actually working with a client on a custom build for a similar situation. They want their company’s portfolio built out (via the PMO template set), and they also want a customer portfolio built out. We are approaching by creating additional reports that feed into a customer dashboard and filter out any unnecessary information (i.e., other customers). The great thing about Smartsheet is that you can build multiple reports/dashboards off the same sheet, for different purposes. I recommend creating a new folder for each client and storing additional reports/dashboards there, to remain organized!
