    When Apple syncs Notes, Calendar, and Reminders - I will ditch all my other apps. It’s still not there yet. I use Noteplan to be able to sync notes, tasks and calendars in one app. But i will use reminders to insure I actually handle the task per day, week, or reoccurring tasks.

      I once had everything running through a single app (many years ago). All it took was one dropped connection, and a whole day was wasted trying to fix things. Never again. I prefer the simplicity, consistency and lack of breakdowns by keeping everything separate.

      @@Carl_Pulleindon’t you have to keep fiddling in the reminders app anyway if you due dates start stacking? Or do you not set due dates on your reminders?

      @@Maxschellenberg I don't do this for myself. I am very strict about separating tasks and events. However, I did this video for those who wish to to do this.

      There’s a new update in Notion where they added a new calendar feature.
      If you add scheduled to do lists on the Task Page within Notion, it automatically populate on your calendar. Changes in schedule from your Task Page will also sync to your Notion calendar.
      You can sync your Notion calendar with your Google calendar, but other calendars like Apple and Outlook are not yet available. Notion also does not have end-to-end encryption.
      Still, I wish this Task-List-to-Calendar integration can be made available to Apple so that I have the option for AES encryption.

      Reminders was originally part of iCal. It’s still very much intertwined under the hood.

    You can drag a reminder in Calendar, though, duplicating the scheduled item which will be available in both apps. They aren't shared - they are independent events.
    The same goes vice versa: you can drag a Calendar event in Reminders. In this case a Calendar icon will show next to the imported event in Reminders app. If you click on it, it'll trigger Calendar app showing the event.
    Still, the event isn't exactly shared. If you modify the deadline (say, the time) in Calendar after being imported in Reminders, the relative event in Reminders isn't updated - it keeps the deadline set at the time it was imported.

      I wish they would let you integrate select reminders lists. Then I could put all my projects on a list, integrate it with due dates and whatnot, and then mark complete on either the reminders or on the calendar. I certainly wouldn't want all of my reminders on my calendar, just a select list. Then, as you point out, it could update if I modified it on either list.
      It's the one major obstacle that keeps me using Gcal for most things. A large chunk of the other people in my life use Gcal so pulling away is a little difficult and I love how their Tasks work. If either of those things changed, I would vacate immediately... If only Apple would make their Mail interface better too.

    I miss having tasks on my calendar. That was a feature I loved on my BlackBerry. I use my tasks to complete my action items for reaching my goals and my calendar as a management system for time. I want to see what I’m doing every day not just appointments. Thanks for this video.

    I agree with Carl that copying individual tasks to my calendar can overwhelm the schedule! I use Todoist and Fantastical and I regularly copy links to the relevant tasks that I plan to work on to the appropriate calendar entry comments section. The result is a list of task links that I want to complete during the time block. This allows me to click back to the Todoist tasks quickly when I'm working on the calendar block. This also works between Todoist and Apple Calendar.

      I think It comes down to the extension of the task list that are time sensitive. In my case, my list is not that long, so I like to have a general overview of the day (or week). I do not use Todolist and just rely on a combo between Google and Apple

      Fantastical and Todoist is an amazing match. It is a bit costly, however I did get the upgrade from Fantastical 2 so most features moved over, and I have avoided the subscription and just subscribe to Todoist.

      todoist is a winner for doing this. The ability to use its natural language to write out tasks like "cook dinner at 7pm" and then have it appear in my calendar automatically is the reason why I stick with todoist.

    Carl, thank you very much! Is this the only way to see our reminders in the calendar in the Apple Ecosystem? Or can we somehow click an option I a particular reminder so he shows up automatically on the calendar?

      Not that I am aware of. But, when you think about it, a calendar is for fixed events (where you need to be in a specific place at a given time), and a task/reminder is something else (put the garbage out, pay a credit card etc) If you move Reminders to your calendar, you've in effect just duplicated a task. Why not put it on your calendar in the first place?

      @@Carl_Pullein That makes sense Carl. I think I was going somehow in the direction of the SYNC between Google Calendar and Google Tasks.
      My task list is usually quite short, so I like a to have an overview of what is to be happening during the day without having to switch from app to app like Don suggested further down in this conversation

    Hmm.. Mine doesn't work with the drag and drop. I am using iOS Big Sur though. :( I am hesitant to update to Sonoma because I am using a 2018 Air that is already slowing down.

    Hi I was trying this and I just realized this feature doesn't work if you are viewing reminders as Collumns. You can still add your reminders to your calendar by switching back to list view and back. It's a little bit of work but it does the job. I hope they fix it soon.

    Hey Carl! First of all, I want to thank you for your amazing videos. They've been incredibly helpful to me! As I go through them at my own pace, I'm trying to adapt some of the components of your setup to fit my specific needs.
    I've been using Todoist together with my husband and even involving my young kids. We created a "Homeorganisation" Project to keep track of recurring tasks and things that need to be done as a family. It includes both ongoing processes and actual projects. Now, I'm wondering how I can have joint projects with multiple attendees while still using the time sector method. Any ideas on how I can set that up?
    On another note, as an astronomer, I've noticed a major gap when it comes to scientific project planning or similar tools. We scientists really struggle with task and time management! The processes involved in scientific research are complex, and it's hard to know when things will be "done" or even if they're achievable. It's like I'm constantly building new car factories instead of actually producing cars. To tackle this, I've been using Todoist for both personal and work tasks. However, with the "This week" and "next week" setup, I can't see the balance between my research workload (which I still treat as a project in Todoist) and my home organization tasks in the "Your Productivity" view. I know you're probably not obsessed with that view like I am, given you've laid down the "hustle culture" of ticking off more and more tasks each dday, but for me, it eases the guilt of always feeling like I'm not doing enough. Seeing a constant amount of work going into research helps me feel better.
    I would love to hear your advice on managing scientific work, especially exploratory research, paper publishing, and how to combine that with different participants and personal life using Todoist. And hey, if you're interested (because it's a completely unexplored area), I'd be happy to be your guinea pig for setting up scientific task management. Thanks again for all your valuable insights!

    Question for you: I noticed in your calendar app you can view 3 months(June, July and August). How did you do that? I can only view one month at a time, not 3.

    I just tried dragging a reminder to my ical and it doesn't work. I can drag an event from my ical to my reminders but not the other way around. Does anyone know why this is happening? does it have something to do with the new iOS17 update maybe?

    Do you know if this possible to automatically adjust your reminders to the time zone your in? I live in Brazil, but I travel a lot for work. I am now in Thailand and my reminders are still in Brazil time zone. I already adjust the time zone of the Apple Calendar for “automatic”, so I had no problems there.

      Hi Bianca, That's usually done at the device level. In the Date and Time setting, make sure "Set time zone automatically using your current location" is turned on.

    Do you already have a video about why compartmentalising is something you prefer over managing one timeline (tasks and calendars) in a combined manner? If not, would you consider explaining that in another video.

      I haven't done a video on it as a stand-alone video. I don't recommend it because two things will happen when you have everything on your calendar. The first is you create an overwhelming mess which destroys your ability to focus. The second is no day ever goes to plan. Something will happen that destroys your timelined plan for the day, and now you're stuck. There is a third reason; 90% of your tasks can be done anytime and in between meetings and other commitments. A telephone call can be made from a car, and an instant message can be sent while you are eating lunch or making coffee. You want to retain the freedom to be able to work flexibly rather than tying yourself down to specific times of the day.

    It needs to be said that this has no connection with the reminder app. You can’t click from the calendar so it disappears from the reminders app. Does it? At work we work in the Google Workspace (which is absolute crap of course 😅) but I do love that I can get my tasks to so up in my calendar en I can mark the task als complete from within my Google calendar. Is this coming to iOS 17 by any chance 🙏🏻

      Not that I am aware of. Apple works on the principle that tasks and events are two entirely different things. Events happen at specific times on a given day. A task can be done any time on any day. If tasks can go onto a calendar, why use a task manager in the first place?

      @@Carl_Pullein As someone who is exiting college...It allows for bulk creation of events, or reminders, of things that are theoretically similar but actually different in content - recurring events in a calendar are hard to modify.
      You can take a syllabus of assignments or projects, clean it up a bit in Notes, turn it into check boxes then import it into Apple Reminders and set dates.
      Actually, if you modify the format of the list of projects or whatnot (or have GPT modify the format) to be...
      MM/DD/YYYY [Insert project/assignment]
      ...the reminders will actually pick up the date and let you schedule it that day. Easy peasy. No clicking arrows from Sept to Dec, week to week, day to day, to find the event you need to modify in some sea of other scheduled activities. If you could then ask Reminders to put all of those assignments or projects onto your calendar - that would be money!
      I get where your head is at but the visual aspect of seeing tasks that need accomplished on a calendar is, at least for this guy, a time-management godsend and is the reason I'm still us using Gcal.

      That's because an event and a task are entirely two different things. A task can be done anytime. An event needs to happen at a specific time.
