  • See our Modern Document Management video, with Microsoft 365 expert Ben Leach, to discover how to create, manage, share and protect documents effectively within your organisation.
As we mix home working and office working, managing your documents across your organisation can be an increasing challenge. You tell us that:
Documents are created using out-of-date templates
You can’t work because documents are ‘Locked for Editing” by other users
Multiple versions of the same document exist with no clarity on which is the current version
You use an Excel spreadsheet to manage ISO policy documents
You’re unsure that documents are being protected in line with your retention/destruction policies
Interested in how you can use your existing Microsoft 365 subscription to solve these challenges? watch our video to find out more.

How did you add the 'What are you looking for?' search bar on the Policies & Procedures page? I can't find how to do this anywhere

Hi, I have seen the standard document library function of a sharepoint site, which looks like the "Site Contents" page you showed (34:52), but how did you make the end user version of the page that looked like a normal web page that allows the regular employees of the company search for and read policies and procedures (as shown at 32:56). Is this what is called making a SharePoint Site. I am trying to learn how to set up a Policy and Procedure web document management system using SharePoint, and I am having trouble finding any tutorials on how to actually do that. Thanks in advance.

Love it! Thank you. One question please: at 18:48 - How did you get the client name to appear in the actual document? I’ve searched high and low and cannot figure it out.

Hi Marina, in Word you can add a "Quick Part" to a Document Property. Any metadata columns added to the Library that the document is stored in will be visible as Document Properties

Hi, I use SharePoint for document control and its fabulous! We have set up the footers, in our word documents, so that the version numbers and approval dates automatically update on the document each time it turns from a minor to a major version, so it is no longer a manual task. However, from my understanding, that means all documents must be in word format or the automatic updates don't happen. Documents such as policies and procedures are in PDF, how can we manage this process ensuring that there still only one point of truth with our documents but still maintain word and PDF documents and their versions without it being too much of a manual process? Thanks in advance!

I am looking to create a SharePoint where I can add letterhead, our PowerPoint template, and other templates all in one spot for my entire company.
Is there a type of site or method I should be using to organize effectively? Does anyone have any aexamples or tutoritals that would be useful? Thanks.

Hi Dino, I would normally create a Communication Site (although the type of site is less important). You will then need to register an "Organization Asset Library"...doing a search in your favourite search engine for "SharePoint Organization Asset Library" should point you in the right direction
