    This was very well explained. I learned a number of new things. I am looking for a video on how to manage the daily office work. I am having trouble in finding the relevant emails at the time when it is needed. I receive a lot of very important emails. I have trained my self on how to Categorize, folder management, assign reminders and to do list. Still I keep missing things, for a simple reason that at the same time, I am working on a number of projects and receiving emails from different people on different project. Is there a way, to simply mark the email to its relevant project? If you could make a video on how to manage day to day email and also, I want to add my own notes to an email e.g. what kind of actions have been taken or what was the verbal discussion to an email. Is there a way to add personal notes to an email?

      One method you can employ is to use the categories in Outlook. On the Home tab there is a categories option. You can select from various colors and change the name if you wish. Then the emails show up in your preview with the color code to easily distinguish which projects they are tied to. I personally just use subfolders under my inbox and every email I receive gets reviewed and deleted, responded to, or moved to a subfolder. I never like to have more than 10 emails in my inbox - ever! I create subfolders for projects so that I can go to that subfolder and search for emails as needed.
      You can drag and drop an email to a task and then assign notes but I don't like to do that personally. If I did many more projects with timelines then I would but most of my email is not project based with a schedule.

    hi sele. instead of making a template you can just make a simple signature with whatever u feel like, it will be so much easier. thank you for the vid, it's a killer! :)

      It would be easier to create an Message with Quick Steps. Only downside: you can only preset some text.

    Interesting behavior for copying the calendar item to your desktop (or any other folder). But there is a catch, it is making a copy of the item. If your appointment or meeting changes in outlook it will not be changed on the desktop item.

      Good point. I should have mentioned that. Just like copying an email to a calendar entry it does make a copy so it is separate from the original.

    Love your videos. Very informative and clean presentations. You have a tab "mentions" next to your unread file. How do you add this? What is its purpose?

      Microsoft moved the Mentions tab to the pull down menu where it says "By Date". Mentions is used when you have an email with @username entered in the text body. You "mention" the person in the email. The filter shows only those emails where you are mentioned.

      You can use the template email as described in step #6. In addition you will need to create a rule for all mail you send to add a forward. Look under advanced rules and choose forward to people or group.

    I have a problem in the outlook 365. When searching last receiving e-mail of person, results shows first send email which is to older then after many emails we decide last email. If you have any settings to change please let me know.

      Have you tried changing the sort order? You could choose by date with newest first.

      You may have an older version of Outlook or one not part of Office 365. This is Outlook 2016 in Office 365.

    I stumbled across your videos today. Nice job! And very nice use of Camtasia. I'm a near-daily Camtasia user myself, creating content just like you (IT Training).
    I think I can one-up your Tip #6 about creating templates. Even with your drag & drop of the template to your desktop for quick access, I found an even more convenient(?) solution that doesn't require more clutter on the desktop.
    Use the Auto-signature function! You can pretty much cut & paste an entire HTML email (body, graphics, links, etc) into a new auto-signature. When that's (easily) done, I simply open up a new email and then choose my Auto-signature with the entire email already in there, including my original auto-signature!
    Of course, there is the limitation of not having the address line(s) auto-populated, but that's easily addressed via a quick task or a CRTL-K of a contact.

      @@SeleTraining For giggles, I also just tried using QuickParts for the first time. Functions pretty much the exact same way. The QuickParts appear to handle all the HTML formatting also. I was able to create a quick part with all formatting and inline pictures retained. 👍 (And there's the Win+; function. 😎)

    Hello. We just switched to Outlook. I miss replying with attachments. Forwarding is painful if there are multiple names. I found a link that mentioned creating a macro to do this, but the link is unfortunately broken.
    Do you have a training that shows how to create a macro to reply with attachments?

      On the message tab under custom settings there is an option to Reply All with Attachments.

    Everybody seems to blow by how you set it up for others to be able to see the calendar in the first place. We recently got Office 365 and thought we'd be able to share calendars but can't seem to set it up.

      It should work exactly as described in #1 of this video. If you are in a corporate environment with a hybrid Exchange server your IT staff can create a shared calendar in exchange that is available for all users in Office 365.

    I'm not certain if this applies only to Outlook O365, but when you're in an email, do a for some additional fun. (That's a semi-colon) I didn't have a chance to test it in Outlook 2016 before we got the automatic update to Outlook O365.

      @@SeleTraining Hadn't actually tried it anywhere else. Just now tried it in Wordpad, Notepad, and Notepad++. It seems to be functioning like an "instant-on" CharMap for that respective font set. How 'bout that!

    I am struggling with creating a rule in Outlook that will allow automatic replies to be sent to the sender no matter how many times I receive emails from the particular sender. Can you provide insight, please?

      Use step #6 to create a template for your reply. Under the Home tax choose Rules to create a new rule. Choose advanced options. For conditions use From and enter the email. Click next and choose Reply Using a Specific Template and point it to the template you created. Skip the Exceptions.

      When you create the template message choose options and select the From field. That will allow you to choose the From address within the rule.

      I've been asked for a tips and tricks for Access previously but it's not my area of expertise so I have not done one yet. I may look at that in the future but right now it's not on my priority list for videos.

      Outlook 2016 does not have a way to store your templates in the menu so you have to save them to a file location. It's a weakness that hopefully will improve in later versions.

      No way to modify that from what I have seen. It is a request made by many people but has not been fixed in Outlook yet.

    I have one problem in mail, there was long time to operate due some reason so lost my all photos which was store in mail, any help on about please.

      If your photos were stored in your mail then they should still be available on the mail server for the service you are using. By setting up your account in Outlook it will pull the mail and photos down to your computer again. However, if your photos were stored locally on your computer then they would not download again.

      I just checked. The photographs were uploaded to OneDrive and I am not able to find them on OneDrive anymore. Those pictures were my daughter's pictures of here initial first year. It seems the account was inoperative as I don't use it frequently. Is there a way I could possibly recover the data.? Your help will be highly appreciated. 🙏

      @@dishapatel5124 If they made it to OneDrive they should still be there when you setup OneDrive again. Even if you delete a file on OneDrive there is a recovery option to bring them back. Also, if syncing was turned on then you will have a matching folder on your computer to what was stored on OneDrive. If you can't find the folder you may want to browse to c:\users\"your name"\OneDrive and see if files are located there.

      Good suggestions. I'll keep those in mind. FYI, the recall email option is almost useless in Outlook because very few conditions exist where it really works as you want it to. Thanks for the info.

    Please assist if you can. On Outlook 2016 my sent items in the last week have all disapeared. There is no recover delete (key) to get these back. Please note= These notes are less than 14 days old

      You may need to remove your account and add it back. The sent items should download automatically. It is either an account issue or the settings for the account your are using.

      indeed, but it only makes sense for fewer contacts. and it will create 400 files then i could convert them to one. however it is quiet a bit of time. Is there other way? to create all 400 on just one file.vcf ?

      Not that I am aware of. I prefer to go to File-Options-Advanced-Export and export the data to a csv file so you have your contacts in Excel and it is easy to read. Or you can export it to a pst file for import into other applications. Other than those two uses I never need the vcf files.

    Honestly, by the time you've gone through all the steps and clicks and menus to get to the email template, I've already clicked my quick step and have my email set to go. Way easier. I've got a lot of quick steps for emails that I do send very frequently. And it sooooooo much faster and easier than the templates. Just sayin.
