  • So I thought Notion was going to be exactly what I needed to get organised and be more productive, healthy, and happy. But things didn't turn out how I expected.
    In this video I share my personal experience with Notion, the popular productivity and organisation tool. I talk about why I feel that Notion actually creates more work than convenience. You can spend so long playing with your Notion to get it working "just right" it steals time from your actual life. With so many options and template customisations available, the pressure to create the "perfect" Notion layout can be overwhelming and unhelpful. Overall, while Notion has its benefits, it's important to remember that there is no "one-size-fits-all" solution when it comes to productivity and life organisation. It's important to find a tool that works for you, and if Notion isn't meeting your needs, it may be time to consider other options. So if you've been struggling with Notion or questioning whether it's the right tool for you, you may find this video resonates.

    Yeah I like to digital plan, however I like to keep it super simple. I just don't like planning everything, granted my kids are grown up now and meals we just decide that morning what we want, it is just for my hubby and I now. I don't like to plan what days I do laundry or any of that stuff. I tried more in detail planning for a minute and said nope...LOL You are right it takes the fun out of being more organic or spontaneous. 😍

      Thanks Rachele, yeah that level of micromanagement is stressful and exhausting. I think I got sucked into it in the first place because I was feeling so overwhelmed with everything I had to do I felt like I was drowning. But having it all as a checklist for each day didn’t solve the problem in the way that I thought it would :D Though actually, maybe it did help in a way, as I feel like I’m more on top of things now. It’s confusing!

    Last year, I dove into bullet journaling... and never bothered setting up April, because it took so much time and effort to set things up. In essence, I was spending far more time on admin functions than I was on actually tracking things.. and when I did manage to actually track things, I found myself having more energy going into being annoyed about upcoming (or missed) deadlines than was going into actually doing the work to beat deadlines. I've been hearing a lot about Notion lately, and was beginning to get the same kind of vibes -- and after watching this video, I know for sure that it might be a good tool for managing some larger creative projects but is definitely *not* what I need for daily stuff. Thank you *so* much for doing the kind of review I needed to see!

      Hi, I’m so glad you found this helpful. It’s exactly like you said - notion is a great tool for managing projects, especially in a team - but for me I found trying to use it as a daily task management system just created more work.

    Thanks for sharing Jessica. Notion was another form of procrasti-planning that I've done. As you said, it's very easy to get sucked in and try to make the perfect pages that are going to somehow change your life and make it easier. but it really does end up being another layer of admin. I do spend a lot of time online, but as I've mentioned before, I flit from thing to thing and then don't always remember where I saw something or where I put something. I have a set of "rules" and a pretty good curation system - when I follow it 😉.

      It’s SO easy to get sucked in. And it’s exactly because, like you said, that quest for the “perfect” system which will change your life and make everything easy.     I'm using notion heavily -for everything: appointments, todos, goals, budget, tracking, notes, links, longtime and immediate planning, everything. I don't care about photos and estetics, i care about comfort for using it and fast accessibility. I check it all the time and use it on my phone almost exclusively, i twicked it especially to use it on my phone because i don't like to spend my time on the computer. It works, can't imagine my life without it. I do have paper planners, but they come after thr notion.
    Sorry, but when i saw your notion setup, i thought you should think more about what are you trying to accomplish more than about how does it look like. I regret spending too much time on my notion setup too, trying to make it work it for me, just finding out that they doing something to advance it and now i have to learn new tricks again. I watched notion development since almost the beginning they launched, for 4 or 5 years, waiting for them to develop enough so i could use it my way. I eventually got what i wanted around 2 years ago, and it satisfies me now enough for me to use it. It's the only app that gives me allmost everything i need (except for automated habits). My key in notion is to have everything (all the todos, appointments and projects) in one table, just have different views of it, so i know i won't lose anything.It gives my anxiety a rest. I also don't like to go anywhere from one page, except for notes. It's like a one stop for everything for me. I feel like things are scattered throughout the whole paper planners and journals, and i have to look for them actively, while in notion it's easy to find everything quickly.

    I just think digital planning is not for me...I never go back and check it. I find logging in for planning more cumbersome than just opening my planner and scribbling something in. I do think I will continue using Notion for long term projects though. :D

      Yeah, there’s definitely that extra layer of resistance for opening a digital system vs flipping open a journal.

    Knowing what one wants to do before one uses an app or a journal etc is key. Sometimes it's worth it and sometimes it's not - it really just depends on the individual, the medium, and if it's worth the time it takes. All the work you did there is AMAZING but I can see how it's very time-consuming. Something for everyone to consider with anything online is how is the information you're uploading stored etc - definitely food for thought!

      Thanks Siren. Yes, knowing the desired function before going in is so helpful. In my mind the function for Notion was getting everything in my life organised and running smoothly :D
      I dread to think how much time I spent (wasted really, but at least I leared a lot) on it.

    Interesting. I can see the benefits of Notion but I love my stationery too much to go digital. Like you I don’t like the thought of having to share too much personal information out there in the world, would feel like someone being able to read my journals uninvited 😠. Looks beautiful though 😊

    i have never heard of notion ... i'm a total paper planner, things i need to do i put into my day planner and have a note book with lists of books/birthdays/ and recipes 😄 never have used the calendars on my phone or computer. if i need to see something quick - i just open up my book.....i also try to stay away from that cause one can go down a rabbit hole just scrolling on the computer and end up spending lots of time therethank you for the video 😊

    I use my notion for long term planning and project planning, im a student with a full time job as well as doing the 12 week year so i mainly use it as a reference in coordination with my bujo. I bypassed the fiddling by buying notion templates, otherwise id still be "perfecting" them lmao 😅😅

      Lol, I tried the template thing, but then it still wasn’t quite “perfect” so I ended up building mine from the ground up :D I’m glad you found a way to get it to work for you though.

    Hey Jessica, thank you for your interesting video, its a very tidy way of keeping track of thinks and of course no trees were hurt in planning hehe, but in my home life just no time to check on line, so we big week planner is on the kitchen wall , I have to stand on my tiptoes to read it as the little people like to colour in the boxes, so sheep were only checked once yesterday (all ok) good job my husband is tall to read it hahaha, as always sending blessings from the woods 😊

      I love that big family calendar! We used to have that when my kids were younger, but found there wasn’t enough space (even when it was enormous) as they started having more on in a single day. I’m sure your sheep won’t mind they were only checked once for one day :D

    I can totally see what you're saying! I use Notion but it's extremely (EXTREMELY) visually and informationally minimalist. I basically just use it to track the books I read, goals, it houses the weekly marriage meeting questions list and has a calendar of birthdays/annual bills. That's literally it! I budget and brain dump into physical journals but I never keep them so a permanent place for this other stuff is handy. 😊

    Wow. Thank you for this. With ADHD, this would be a terrific tool for hyperfocusing and totally delaying getting anything done. 😂😂😂 I have finally got myself down to three tools - a static daily rhythm, a spiral bound planner/calendar with lunar cycles, & a spiral bound notebook. In the last I brain dump tasks & ideas as they occur to me on the left facing page. On the right facing page I write down & cross off tasks as I do them. Very rewarding. Long To Do lists make me pick up my phone & doom scroll. 😂

    I remember when you first started using it, moving away from the "one journal to rule them all" mentality. I was curious how it would go, and I'm glad you made this video because i was inclined to do the same, but I think i would have come to the very same conclusion!

      Thank you! Yes, I was so excited about it at first. I thought it was going to solve the bujo frustration of whether to copy things over, and the databases would make it even easier than an index for looking back through things, and I was going to be SO ORGANISED. But ultimately I use it only for very specific purposes now, and only open it a couple of times a week. (And, I’m being drawn more and more back to the one book to rule them all eek, though I’m still in several books at the moment).

    Totally understand this struggle. I tried Notion last year and in the end I only used the CZcams calendar and script planning spread. Everything else collects dust. Like many other contentious, Notion was just more distracting and fussy to use daily (the app being slow and awkward doesn't help). I probably wouldn’t use it for content creation except that I use the same script outline for my videos to create the just of my corresponding blog post so having it electronic is best. I also change video scheduling around a lot so clicking and dragging is perfect.
    But yeah daily planning and journaling defs works best in analog for me for sure

      It does work well for scheduling more flexible/ creative type work - like making CZcams videos. That’s cool that you have a system for creating blog posts from your video scripts too! That’s goals :D

    I used Notion for all of two days lol. I felt the same way you did, it just added more admin work to my day and I already had enough of that as is. I’m a bullet journaler at heart I guess. I try other things here and there but always come back to my roots. 😊

    I did exactly the same thing, spent ages creating a beautiful notion and then never used it. I really like the home ed idea though - what are you using to keep that private now?

      It’s so easy to get drawn into it isn’t it :/
      I don’t really have a proper system for the home ed stuff now. I take a lot of photos and I make notes in obsidian or in my journal when important milestones happen. At the moment that feels like enough.

    I totally got so lost and overwhelmed with the organization of all the things that I didn’t actually do the things…😊I love the admin reference…I completely was using notion to Plan-crastinate on the actual tasks

    I hear ya! I moved from Notion to Obsidian for most things. I still journal by hand though, and then I read it out loud and transcribe it and put it into my digital journal when I want to. In Obsidian I can still have the links between different documents which I love but it's much more simple so I don't worry about what it looks like. Also easier to use daily. My daily page is easy to generate with one click. And most important for me I don't get as overwhelmed because any todos I have not done automatically move to the next day. Just a lot less fiddly steps than Notion, but still a lot of cool features. I do still use some of the things, projects and charts and lists I made in Notion, though. Thanks for sharing your process.

    I find it too finicky to actually work with to organize myself - nothing and a rather similar to a common place planner is all I trully need. But it is GREAT for big lists of stuff to keep in mind, so bucketlists, manifestation exercises, etc. That I work with well haha

      Yes, I can see the appeal of it for places to keep piles on info (aesthetically organised into databases with different views :D ). I LOVE a commonplace book
