How to upload transactions manually to QuickBooks Online

    To upload the transactions, I'm getting stopped at a step that is left out of this video: matching the source columns to QB columns (date, credit, debit, etc.). In the video, that's not even mentioned, but that's the step that's been glitching for me for the past hour.

    I have an issue with the manual upload process because it is quite laborious. It would be helpful if there was a way to use a specific format to upload the bank statement in order to automatically apply categories that are already used in the chart of accounts.
    Additionally, I'm disappointed that Quickbooks doesn't have a sub-class for transactions like Xerox does. I hope this can be addressed if it hasn't already been.

      I appreciate you reaching out about the upload process. As seen in the video, your categories should automatically be suggested after you upload your manual transactions. However, If you don't see them suggested automatically, you may need to turn the suggestions on. You can do that by clicking the Gear icon above the Action column, then check marking the box that says "Enable suggested categorization." If you don't want to use the suggested categories, you can leave them disabled and create rules.     So if I move from Desktop to Online, this will work similar to the Bank Feeds that I currently use in Desktop to help reconcile the bank statement? It will match transactions that I already put in the ledger?

      I'm about to migrate to QB online also (they make it impossible now to keep desktop for small operations.) I'm under the impression that old rules will migrate from Windows version of desktop. If my info is wrong, or you use Mac, you'll have to create new rules as you import transactions, but then the rules will stick for the future.

      @@supermariochamp I really don't use the rules feature. It is overly complicated to setup. I have dozens of vendors alone. Plus, my business is so busy, I can just use it to match/reconcile the transactions I have already input.

      @@xpresslube4687 for what it's worth, it migrated the last month and a half of transactions, plus all of 2023. This is Chase Bank, so your mileage may vary. And QuickBooks Online is asking me to rematch all of those transactions. Rules work great when you have a reoccurring charge like if you go to Home Depot frequently. Or your phone bill, or insurance. I use my credit card to pay lots of those automatically. And QuickBooks would use the rules to match them. I would just glance at the list to make sure nothing was weird and approve all of them at once. And then I was left with a list of things that were needing fresh input. Payroll did not migrate properly (if anyone was interested). I need to set that all up again.
      Not really excited about this online version so far.
      But it should work for what you're asking. If you just want to click each transaction to match it to something you've already entered.
