CONDITIONAL FORMATTING - Step By Step Guide (Google Sheets)

  • Conditional Formatting in Google Sheets can be extremely useful as it allows us to highlight cells based on the contents in one particular cell. Let me show you how it works in 4 simple steps:
    1. First, select the area you want the conditional formatting to apply to.
    2. Second, click “Format” and “Conditional Formatting”. This will open up this window on the right.
    3. Third, click the drop-down menu under “Format cells if…” and scroll all the way down to “Custom formula is”. This will give you complete power!
    4. Fourth, Write a formula that highlights what you are interested in and choose how you want those cells to be formatted.
    These formulas are not always the easiest so I’ll use a super simple example, using only a range of numbers to show you how to conditionally format a cell, row, or column based on criteria determined by you.
    Let’s say that we want to format all cells containing numbers equal to or greater than 3. If so, we simply write = “start of range”, which in this case is A1≥3. But what if we want to format the entire row, based on what is in the third column? No worries, in that case you simply write =$C1≥3. On the other hand, if you instead wish to format columns, based on the entry in the second row, simply write =A$2≥3.
    One final thing that might be of help to you is to remember when doing more complex formatting, any function that returns a TRUE value will “activate” the conditional formatting. This gives us a LOT of flexibility in terms of what we can do!
