      ok, thanks again for sharing the other video. I am going to explain to you my goal so that you might suggest what is easier for me. I'm developing an application form where a candidate fills a ms form up and I'm collecting all data such as name, surname, id_card and so on in a SharePoint list. My goal is for each created row in the list to fill a word template up then convert it to pdf and send it via email as a summary report for each candidate. I also had looked at another video where they pull data off from the list and insert them in an html table and then converted to pdf, but it's not a nice layout that's why I am interested in nesting your piece of flow into mine to get a nice pdf report. Tell me what's the best for get to this goal.
      The doubt that I have is you push these data into columns defined in a document library and not from a list that for me is better because is just like an SQL table.

      @@DamoBird365 would love to learn how to best attach a date/time field that populates the exported PDF with the date/time the form is submitted. Probably a quick and easy fix, but I’ve not had any success working that into my flow. 👍🏻

    Thank you so much for this video! Super easy to implement and extremely helpful. I was wondering if you could help with one thing I am realizing would visibly look better on my PDF. If a field was not populated on the form so no data to go into the field on the document how can I have that end up as a blank vs showing the name of my metadata field in the light grey it shows as when the doc was created?

    In my case I have 3 separate forms I need to populate depending on the response on the forms. It is because our City has different verbiage when a Commission or Board meeting is Cancelled/Rescheduled/Special Meeting. So, in order to populate the correct form based on the nature of the meeting update, you need to add a couple steps to what is seen in the video. Do everything the same you see in this video, except right after the first "Create File" step, add a "Condition -Control" action. In this Yes/No action, choose the response field from your form that you'd like to pull from. Ex. In my form the question is called "Meeting Status Update", so I choose that field. Then, I set it to say "Is equal to" = Cancellation. Under the "Yes" side, I add all the same actions you see in the video. You will want to make sure that you are pointing all your commands at the correct template. Once you are comfortable with the detail on Condition 1, you can click the 3 dots at the far right of that condition and "Copy to my Clipboard". Now, go and click "Insert a new step" ABOVE that condition and BELOW that same first "Create File". It will give you two options. Choose "Add a Parallel Branch". When that opens you will see the tab options All-Built-In-Standard-Premium-Custom-My clipboard. Choose "My clipboard" and then Click on the condition you just copied. Go into the actions of the new condition and update the portions that need to point at the next template you're trying to fill out. In my case I have "Rescheduled" as my second condition. I hope this helps, I will respond if anything doesn't make sense.

      There isn’t a way to add images for free I’m afraid. You can add images with the premium action.

    This is totally awesome!!! I have a question tho, I'm using MS Forms to get the data but I'm also performing some calculations in Excel Online, is there a way to get those fields to auto-populate in the PDF as well once the calculations are done?

      You should be able to pull in data from multiple sources using a flow and then just save them to your file properties. If the data is in a table, try using get rows. Alternatively you might need to use an office script. czcams.com/video/UspiIlj6hSQ/video.html

      You can’t ‘easily’ do images with non premium. It would require accessing the xml, which is not straightforward or easily repeatable.

    Hello! This video is extremely helpful. The one thing I've had trouble with is the email to the respondent. How did you set your form to require an email and how did you link the flow to that particular input on the form? Was it just a text question?

      You’ve two options. An internal form captures the logged on user if its not anonymous. Otherwise a text input, albeit no validation so you have to hope that they don’t mistype.

    Thank you so much for the very informative tutorial. I was wondering if you could give some advice as to why the time is incorrect on word document and the pdf, but is correct in the SharePoint Documents. I would like the date and time the form was submitted to show on the pdf. I used the Compose and instead of the date time function I used convertfromutc to Eastern Time. This works when the file is added to the document list. Under Update file properties I selected Submission time and mapped it with my Word document in share point, but it seems to be 4 hours ahead.

      Definitely a time zone thing. Flow runs in UTC. I don’t quite understand where your date is wrong but I would suggest you need to convert it as you’ve suggested.

If you're looking to use an excel sheet as your source for the Word/PDF file and avoid the premium action, you will still need to set up the metadata columns for the word file.       You can attach the word doc to an email but I am not 100% sure if the quick part metadata will display. Remember that the file must be opened in word desktop to display the data. Best to give it a go and report back on your findings. 👍

      Create file 2 is there to allow conversion to pdf. The populated doc needs to be on OneDrive to be converted to pdf. You then need another create file to bring that pdf back to SharePoint or save to OneDrive if you’d prefer.

      For a non premium, you would have to consider html as this method doesn’t support images. Otherwise the premium connector or encodian.

      You should be able to define your own file name and use the dynamic file content for both files on the send email action, attachments.

    Phenominal Video. Saved my organization a ton of money by not needing a paid service. My flow is running perfectly but I have one issue. My Form contains several questions that requires a "check all that apply" answer. In the Sharepoint list and subsequently the PDF file these answers are produced without line breaks. Is there a way to place line breaks between these responses?

      Hi there, you could watch czcams.com/video/WUIOHm9-SRA/video.html. In this video I insert images (images generated from Excel but the concept is the same) into HTML, Word and convert to PDF. HTML is free. I don't think you can easily insert images into Word for free, you would need the premium action as far as I know.

    I’m having trouble with this flow where the metadata from the form shows in the sharepoint folder but isn’t showing in the document itself.

      It is through the desktop app and i’ve just not tracked down the reason why.

    Great instruction, thank you! This inspired me to make a flow using the create file option via OneDrive where I create an html file, convert to pdf, then save as pdf. Would you know how I can apply this for a multi-page pdf? The form responses for my form do not fit on one pdf. All the data is present on the html output and the html file contains all data on a widened page. however, when the file is converted to pdf, I only get 1 page of data in portrait view with the last half of the form response missing.

    I was able to get this to work, however the added columns now appear for every file in the main “Documents” folder (and those nested within) I was hoping to get this set up in a separate document library so the columns only appeared in one place, but not for the rest of my document libraries. Did I do something wrong or is this just how it is?

    I did exactly what you showed. The flow works so far. However, I have two problems. Word recognizes the input of forms in the document properties but they are not displayed in the text? In addition, the attachment in the mail cannot be opened, an error message appears.

    Hi There. Great video! I am having issues with the create file step at 7:05. I followed the steps provided. However, the flow fails. It states there is an issue with the folder or file name.       If you’re looking for a PDF, then OneDrive is your free option, otherwise word has a premium connector for document templates and conversion to pdf.

    In the convert file the flow is failing, saying conversion is not supported. "InputFormatNotSupported / Bad Request". Any advice? The "ID" is from "Create file 2".

      Try opening the file on OneDrive manually. I suspect it hasn’t been created correctly.

    Thanks for this guide, I've hit a wall when attaching the file to an email. I receive an email but the PDF is corrupted. The copy that get's saved on sharepoint opens up okay, so I know the conversion works.

    Great video, and just what i was looking for. Quick question, my form has around 36 questions, and not all of them are always selected, due to branching. is there a quick way to hide the parts on the document that has no data? i.e. it doesnt show the field name? hope this makes sense. Maybe an iif statement if its null?

      If you used one quick part, you could create the desired output potentially, add the answers to an array, filter out blanks, join the strings. Otherwise, if you are looking to specifically create a PDF, take a look at my latest video using Excel to PDF. It might inspire.

      @@DamoBird365 thanks for the reply. I’ll check that out. I have found a way to hide them in the developer tab. Once your in design view you can hide by right mouse and select font. Within there you can check hide. 👍

    I have made flow by the above youtube vided. But there is a problem which date field in convert file(preview) module. A date field in word property is changed to one day earlier in converted pdf file. I am in South Korea UTC +9 hours time zone. Is there any solution?

I have managed to do it and get a copy of the PDF, what I would like is a copy of the word document too so that I can see the info in the columns on the front screen. I have managed to get a word document into the file by adding another create file action and using the different file path and changing the output to .docx but it is saying the file contains unreadable data and none of the meta data is showing in the columns? :(

      Absolutely. You can also build forms direct from an excel sheet, meaning you don’t need a flow to save the data to excel or watch my video on the api call to forms and download the data from forms direct in excel as you require it.

      The same steps apply. If you want to avoid using the premium connector, you will have to setup columns for the metadata in the new doc lib and save the column data from the item to the doc. I have a 2nd video that shows you how to do it with content types. Very similar.

      You would need to use premium for images to word unless you build an html file and convert to pdf.

    Hi, great tutorial! Can you do exactly this but instead of triggering from an MS Form, I have the email recipients name and email on an excel sheet? I want to do this but I can't find anything about it :(

      You could do. Ultimately you want to get the data from the excel sheet to a new document with columns. So instead of using the dynamic data from a form response, use the data from a list row.

    This worked great, with one exception. The date on my word doc is set to auto-update, but is not. I have to open the original file each morning to allow it to update it and save. Do you know how to correct this? Thanks in advance!

    Hi Damian, do you know why the flow give an error when I try to get content the 2nd time? The file .docx was created succesfully and I was able to update its properties. When I try to get the content of the new file, it said the route did not exist. Any idea?

    Hi fox, easy question: Can you do that by using a sharepoint list instead of document library? I am developing an automated flow and collecting data from ms forms to a sharepoint list and for me it would be better not to change my current solution. Please let me know. Thanks.

      You would need to take the data from the list to the doc lib. This solution depends on the data being in the column metadata of the file. Alternatively, if you have premium licensing, you can use the Word connector straight from the list.

    Hi Damon, I've encountered a couple of issues. Firstly, I need to include the date and time in the file I'm creating, but since my company is based in the US and I'm in a different time zone, using utcNow results in a timestamp based on the US time (I tried changing my time zone setting but it didn't help fix it). Additionally, with multiple-choice questions, when inserted in quick parts, they appear as ["Option A", "Option B"]. I'd prefer them to be listed one below the other without the square brackets and quotes. Any suggestions on how to resolve these issues?

    Thanks very much for this tutorial! I am having trouble with a maximum characters limit through the "Update File Properties" section. Max characters is 255. Any way to increase that?

      @@DamoBird365 yes the multiple lines of text when adding columns in sharepoint worked out.
      Also - if you have any "/" in your MS Form questions i do not believe the update file properties will work correctly. I had been having the issue with the number of characters and then used multiple lines in sharepoint but my update file properties kept failing. Removed the "/" from a question in the form and it worked after that.
