How to setup and use Classes in QuickBooks

  • Is your profit and loss multiple pages, and you just can’t understand it?
    Do you have multiple locations or rental properties?
    Let me show you how to set up and use Classes in QuickBooks! 🎉
    Setting up "classes" will make reading your profit and loss so much easier!
    **You can use Classes in “Enter Bills,” “Create invoices,” “Record Deposits,” and “Write Checks”
    Steps to Setting Up Classes:
    ➡️ Setting up a Class
    Go up to “Edit”
    “Preferences…”
    “Accounting”
    Under “Company Preferences” Tab
    “Class”
    Use class tracking for transactions
    Prompt to assign classes
    Click “OK”
    ➡️ Class List
    Go up to “Lists”
    “Class List”
    Go down to “Class”
    “New”
    “Class Name”
    Click “OK”
    ➡️ Profit & Loss by Class Report
    Go up to “Reports”
    “Company & Financial”
    “Profit & Loss by Class”

    Hello Candus
    I love your energy and spunkiness you're a ball of energy ,I I have what I think is a unique situation paralysis by analysis.I I have gotten myself into this situation by listening to too many people I have Quicken I used it for three years and then somebody strong suggested QuickBooks installed QuickBooks Pro 2015 on my computer did a bunch of work and then just left me to figure it out.

    So I am new at QB, I've been searching for educational vids that could help me benefit in operating property management financials, and OOOOOh dear goodness, what the heck? Oh lady you are a Genius thank you a million, i am a wiz with yardi, and started just recently with AppFolio, and now learning QB...your educational vid just blew my mind! wow....WOW...So class list is ideal for like say if you are managing 10 properties, by creating individual class lists for each Property 1,Property 2, Property 3 -10 it would benefit because I would be able to pull up PNLs for each property on its own?

      If owner has 3 different restaurants, can I use a class code to record expenses and income for each 3 locations? It’s all different restaurant type such as sushi, bbq and etc.
      Im not sure if owner has a different ein number..if different ein number, I may need to make 3 different companies in qb , right?

    This was very helpful. One question so I see the P&L by class what about a balance sheet. Looking at a church and how to report their cash balance by fund. so one checking account but it would be general, missions, youth etc. If you track by class can you see that as well?

    Great video! WIth a class, can you also show budget information? If we switch to Quickbook, we would use location as classes and each would have its own budget, so on the reports, could each class be shown individually with its budget? Also can those reports be saved, so you are not recreating each month?

    Hi Candus. Wonderful Video. I am doing accounting for a business that owns and leases buildings and is doing Building/Leasehold improvements. If I want to track these by project would it be best to make subaccounts under Building/Leasehold improvements or use classes to track the cost of these buildouts separately? Thanks!

    Thanks for the video! Working with a church on QBO and I have set up classes for general fund and all restricted funds. But now how do I get into all the smaller accounts for the general fund, like office supplies, postage, insurance, ect.

    It's been 10 years since using classes, and your video was just the refresher needed. My question is in regards to starting with classes midway in the year. I have to combine 4 locations and it is October. Is it only possible to make this happen accurately if I start the new year out with classes? I know you didn't recommend it. There are alot of transactions at this time in the year.

    Thank you so much for your videos! I have a question in reference to using classes. I keep the books for our church and I use classes for each department. Youth, Kids, Benevolence, etc.... I use journal entries to transfer funds from one class to another as needed but doing it this way causes it to become a deposit amount within my reports. How would I transfer funds from one class to another properly? Thank you!

    I've watched your videos ant I've found them extremely helpful. I have a situation though, I am working with a client that is in the Funding industry. I am having a very difficult time wrapping my head around the process by which the transaction should be classified...have you ever dealt with this industry, and are the use of classes the answer?

    For rentals, is it overkill to have a class for each customer? 123 elm st may have 3 tenants over a 3 yr. period or would I stick to only the property as the class.( with mid year changeovers and evictions it's possible to have several tenants in one year).
    Btw - your videos are my go to for answers, thank you.

      you would use Jobs for each Tenant not Classes. you set up each apt as a Customer, and each tenant as a job under the Customer. For example Property 1 & 2 as classes, then Apt 1, 2 as Customers and Tenants under jobs for each customer

    Thanks for your video! We have a medical group that we do many projects for each year. They have a main campus and several clinics which all have separate PO's and need to billed separately. Sometimes I like to know our P&L for the main campus and then for the clinics as a group. Right now I have them separated like different customers (main campus/clinics) but am thinking it may be better to have one customer with separate classes for each clinic. Can I get your thoughts? Thank you!

      I would recommend pulling a profit and loss by job.
      Classes are best for different locations or rentals.

    If owner has 3 different restaurants, can I use a class code to record expenses and income for each 3 locations? It’s all different restaurant type such as sushi, bbq and etc.
    Im not sure if owner has a different ein number..if different ein number, I may need to make 3 different companies in qb , right?

      They want me to record each bank account for each restaurant for payroll, all expenses and all incomes.
      I wish you have a lecture for restaurant..

    I've just signed up for QB Plus Online. I work for a nonprofit and definitely need to use the classes option to keep track of each of our grants. How do I set up a budget for each class and track the expenditures for each of those classes?

    Hi -- thank you, Candus. (1) It doesn't appear that I can set up divisions in Quickbooks Desktop Enterprise 2018. Therefore, do divisions of the company (auto sales and auto repair) need to be different companies or different classes? (2) We need to have one division of the company able to bill the other: service bills sales for work it does on a car before that car is sold. Is this possible with classes? Thanks.

    Would I use this same setup for an HOA account? We have 50 lots and I want to make sure I set this up correctly the first time. I want the aging to show the lot numbers and I want to know how to use the same lot number when a lot is sold and has a new homeowner that it tracks per homeowner history as well. Thank in advance!

      It has to do with what you want to see on your reports. Job are related to customers, classes are used for departments or rentals properties, multiple locations. Hope that helps!

    Can I specify a class for an individual item or expense? Or is it just a transactional classification when I enter a payment, receipt, or invoice? I'm operating two DBAs under one LLC so I technically have two companies operting under one company file. Also, what if I have an expense which is for both classes? Should I not select a class for that transaction? For example, I'll be paying my internet service fees for both businesses. Is that where "Uncategorized" class comes in? Or perhaps set up a Class for the underlying company?

    So one would select a class for checks and deposits only if one didn't already have bills and invoices created, right? It would be redundant? Or do you need if for all transactions regardless.

      If you want to pull a p&l by class, all the transactions you want to see on a report need a class added. In other words, if you want to be able to pull a profit and loss from three years ago, you would need to add the detail on all those transactions.

    Is there a way for an invoice to show a total balance due (if there is an old invoice still due) plus the new invoice. I cannot figure out how to do this. In 2020 Desktop. It seems like this worked just fine in 2017????? Please help

      You can have one class per each line.
      If you spent $100 dollar you can split it between accounts/expense categories and assign a class.

    Can you add a pyramid to the class. I have courses and they are in different years. Can I do a class 2022-Income and then have separate classes that I can put under that year. Also when making previous years inactive can I still pull a repost on inactive years?

    Sorry I didn't finish my post I would like to try to use QuickBooks but I have a bunch of pay existing numbers and totals and I cannot figure out how to start fresh the way that you said by putting in the bank statement on existing accounts what do I do with that number it is kind of hard to explain I have six rental properties plus household items maybe this would be something that you would like to look at personally and charge me accordingly please let me know Dan P

    Candus, how do you tie the class to a cash account. If it is revenue specific to a class, how does it show up on a balance sheet for that same class. The balance sheet related to that class shows no cash from receiving the revenue. What is the process for getting the balance sheet to show the cash position of the class and the revenue on the same class balance sheet

      Nope just on their tenancy aniversary date (1 time a year and it can increase or decrease).

    Use classes to set up for multiple rental properties but they cannot be imported to Turbotax Business properly. All income and loss of properties just imported as income/loss of one of the properties. All other properties got $0.
    Do you have a solution for that?
