How to make XREF in AutoCAD

  • Hi,
    This tutorial will help you to use XREF and XCLIP in AutoCAD, they will allow you to use more that one person to work on the same project, from the same network or even if they are in totally different places.

      Dear Felipe,
      Imagine the following:
      1_ you have a 12q floor plan, and you have a complext layer of column that you have to repeat and make it the same in all ur plans, you will need to make block so if you change the location of 1 column, you do not need to change it again all 11 plan again and again, if you are the only person working in this project, use blocks, but if there is a civil engineer responsible of that and he needs to keep working, you cannot stop working on the file so he can come and update, if you make the columns as xref, he can open the xref file, change what he want while you are still working in the original architecture file, so both of you working in the same tile, he change one structure plan, all the columns in all ur architecture drawing will be updated,
      2- if you plans and you want 4 elevations to be drawn, and you need that to be done fast, you have 4 engineers at office playing pubg, and you want them to work, so let each one of them open new file on his computer and use your plan as xref inside their files, then all can see ur plan, and each one draw a different elevation, this save time, and make all the staff work in the same project, no need to youbto finish the plan then they work,
      3- it is a life link (un like blocks) so if you changed the plan, the four engineers in the same time will be notified,with a revision cloud on changed u did, no need to pick up the phone and orbsend an email to tell them what you changed,
      4- if you are the boss and think your team are again playing games, just open the shared folder that all staff saving their car, then open an autocad file, get the work of ur staff as xref, and then wait for half an hour, each time they press save you will receive a warning message that a specific guy with his name, changed the document and shows you his changes, and buy that you ensure they are working not waisting time or chatting or browsing the web

    Hello Mr. Noori!
    Don't know if you are still "out there," but I learned a great deal from you, Sir, about Xrefs. Thank you.
    Now, the issue....I have a simple floor plan. I drew the foundation and xrefed my other floors from that. All went well through the drawing process. Again, thanks to you!
    I have all the drawings in the same folder. I made a layout showing all the xrefs (like a fully completed house) and plotted it on Arch D size, using dwg to pdf. That generated a pdf file....which is also in the main folder. Copied the entire folder to a flash drive and went to our local office supply store (Staples) and the print doesn't show what I see on my screen when the girl hits the pdf file to plot on the Arch D paper.
    What am I doing incorrectly, Sir?

      Greeting dear Mr. Richardson, thanks for your kind words. I am sorry for the delay in answering your question but I was working even on weekends :( , regarding the case you have, I tried to redo the steps you gave me, and I made a new XREF, and put all stuff in Flash USB and took it to another machine and it opened the CAD file and all were good, the only part I did not test is the PDF, as it is the only thing that do not need to be carried with the original CAD file that generated it! they are made to protect the creator's rights and to prevent further changes in a document! so if the PDF is empty, on the printing office machine and they work on your machine (if I properly understand the case) then the problem is in the printing office machine, they may have an old or damaged PDF reader and they need to update it or something. please bare in mind, that some PDF files actually need a longer period of time or a machine with good RAM to be opened as they gonna keep loading the equivalency to the CAD layers but inside the PDF, and you will see them during the file opening load part then another part! here may be the printing office has an old PC and lacks sufficient RAM for this step!! my advice is to try to open the PDF on another machine and see if it will open, if that does not solve it, send me a print screen and send me a copy of one of the PDFs to see if it will open or not? take care and have a good day

    So What is the best tip if i wanted to make a copy of those xrefs files into a different computer (eg via usb, cloud, etc)? Can i just copy all the xref folder in order to make it work?

      I always put the original file and the xref in the same folder without name changing, try and tell me

    I have a question hope you can help
    Why some people diving shop drawings of a project into many files rather than put them in 1 .dwg file?

      1. Too dangerous if the one file crash or corrupted
      2. Only one person will use it
      3. You can not use xref technology
      4. Heavy and lagging
      5. Consume ram and easy to crash
      6. Lots of other reasons can not remember now my dear

    Do you need to have the same AutoCad versions in order to work with Xrefs collectively?

      I do believe that as it goes with opening files in AutoCAD it is the same with XREF, therefore you need either the same cad version or older to get inside any file as XREF

    Sir just a question after you use xclip command what will happen to the floor plan dwg, was the drawing there in there will remain? thanks

      After xclip, the copy you have in ur xref file will be cut to any part you like, but the origin external file of the plan, will be the same, you are like cutting a copy of picture of that plan, imagine you have printer and you copied a plan into 5 magic papers, these magic papers can update themselves if the original plan does, you with xclip are cutting a picture not the original

      It is called "Screencast", it is a free software you can find on Autodesk website when you have original or student license installed in your PC, I have to upload the record to Autodesk Knowledge Network as I am regesiter their as an educator, then I have to download it again as MP4 to upload it here to CZcams, I know it might be long prcess, I need it coz I have 2 channels this one and another one in AKN, there are lots of other software that just capture your work eaiser :)
