    Respectfully disagree with the cameras part. I’m way less distracted when the cameras are off. Most construction projects have cameras off and this is a huge help.

    This was really great. I'm not a PM, but I'm trying to get a meeting setup for a project that I'm working on and needed some tips on how to elevate this meeting (the first for this project) so that we're not wasting time and staying on top.     Great points for running effective project team meetings. And you are right...there is nothing worse than sitting through an unproductive meeting. They just feel like a total waste of valuable time.

    Some industries (construction and engineering) are fueled by status mtgs. aka progress check in mtgs. What do you recommend to prevent them from becoming talking sessions between the project mgrs. of each agency?

      Have a set agenda to guide the meeting, set up clear meeting rules, explain you have lots to get through so you will need everyone to be specific and to the point and use PowerPoint slide to guide the discussion. You need to guide every minute of the discussion.

    What is the best way to track time in meetings that tend to go off track? A computer alarm, physical timer?

      Set up a 1:1 with your project manager and ask them what they want you to focus on. 🙂

    Slightly disagree with the no status meeting. The team is working for the business not themselves so PM does need to checkin on the status. I would usually do this on weekly bases with the core team. Its a good opportunity to flag if anything not on track, impacts overall plan, needs support/escalation. We don't want a watermelon project situation. Its also important because most project execution members/SME are heads down and need help with managing stakeholders and themselves on whats ahead.

      Hi @user-tq5vz3fo7c, I am not opposed to status update meetings however I feel that they are not meetings that need to happen on a weekly basis and should be limited. I am a firm believer in using a WBS to keep on top of each task and by using this I know where each team member is on their individual tasks. It allows me to see their individual status and then I can reach out via email if their task is not complete or coming close to the due date to follow up on where they are at. I guess it depends on the type of SMEs your managing if they are less heads down they will update their backlogs on regular bases but given I work with engineers they go into their world and pulling them out to manage expectation of sr. stakeholders can be a challenge. If it works best for you to have weekly status meetings to keep them on track and ensure a successful outcome then that is definitely not time wasted.     One thing I’ll never agree with is when meeting facilitators insist on cameras being on. Even if your camera is on you can still work on something else and it happens all the time. It’s just annoying and serves no real purpose, and it’s mostly middle aged people who insist on this. No offence 😂.

      We are both on the same page about insisting the camera to be on. I always ask but ultimately it’s up to the individual.
      Regarding being able to participate in a meeting and still do other work….well it depends on the type of meeting. If it’s an update meeting, then I agree with you. The other question to ask is why have this meeting at all.
      If it’s a creative or brainstorming meeting then no, you can’t do both. Humans are not good cognitive multitaskers and both tasks will suffer.
      So it really depends. Cheers. 😉
