How to use Microsoft Dataverse - Create your first table and columns

  • Are you ready to learn how to use Dataverse? Do you need to know what the best data source is for Power Apps and the rest of the Power Platform? Then this is your video.
    In this video, you will learn what is Dataverse, why it is the best data source for Power Apps (performance, features, delegation, polymorphic, etc.) and most delegable. Then we create your first table, explore some of the most common column types like Text, Text Area, Multiline, Date Only, Date Time, Choice, and whole numbers.     Also a good idea to keep table and field names very short. When you come to lookup relationships, MS makes rather a dog's dinner of concatenating all the names together and you quickly run out of naming space. I now fully abbreviate my table names in relationship naming and remove the repetitive system object prefix strings.

    Thanks Shane, informative as always. I am uncertain about the scope of the tables created in Dataverse. A table created on a Teams Power App does not appear in Dataverse. The table created in this video - where will it be accessible?

    Hi Shane, great intro. Thank you for getting the wheels in my head turning again... I have a question around licensing. Do you need a per user or per app license if you user dataverse for teams? And can I access that same data from outside of teams if I have Business Standard license? Trying to figure out if I can move sharepojt data I to dataverse and whether there are cost implications.     Hey Shane. This is interesting. I am building a Learning Catalog using Collections, SharePoint Lists etc and it's a job to say the least. I wonder if this is the way to go to simplify things. If you have a sample Learning Catalog or Course Catalog that you have built using PowerApps I'd love to see your approach.... I do hope Dataverse is not too close to the Metaverse :)

    Shane, Can you cover table relationships, as well as using and displaying Standard Columns. I can't seem to display standard columns in views or forms. Also, relationships between tables are weird. I created an autonumber column as a primary key in one table. I tried referencing it in another table as a foreign key but it displayed a lookup list of other values. I don't know what is going on.

    Hi Shane.. A very helpful content… power apps using dataverse table as data source in a canvas app, how many records does the app can search or filter? Is it same as SharePoint list (2000 records ) or more?

    Thank you Shane. Great job. With DataVerse I have a big issue with sharing of DataVerse tables between Canvas App users. User has premium licenses but to share a DataVerse table you need to create roles and give rights to users. Maybe there is some easer way to share DataVerse data? Thank you

      There is an ID column. It is the name of the entity. If you look at the screen that shows all of the columns look for the one of data type: Unique Identifier :)

    Thanks for this video @Shane! I tried this and it seems when I created a multiline text column and set column length value to 1,048,575 characters, even then it is able to accept max 2000 characters only from PowerApps. Is this a bug or system limitation??

Just wanted to ask you one thing if you know any solution for this i have a Sharepoint group which consists of 8,000 users and i want to check if in my power apps form which is for approval are these approvers part of the above Sharepoint group or not if not then an error should be thrown that user is not allowed to be a approver Like to delegate so many users or any easier solution like that i have a group membership check power app flow that runs back to check if the user is a part of Sharepoint group or not but 8,000 users are a lot

    Thanks very much for this. I've been creating quite an involved canvas app recently sitting on Sharepoint lists but I've now discovered the lack of security for storing delicate information! I'd like to move over to Dataverse. Is it possible to create a 'duplicate' Dataverse table with all the same columns as the SP list and simply re-link the canvas app to the data verse table?

      Not really. The column names will be different and the app and you will get confused. Easier to make a new app built on Dataverse from the go. Technically, kinda, maybe possible but not going to go well.

    Shane, what do you think the ratio is on businesses out there using model driven / portal vs. canvas? 90% canvas / 10% model-driven/portals? (that's just a guess). At what point do you look at requirements and say, "no, we'll definitely be using model-driven over canvas on this one". I don't care much for model-driven or even portals, but perhaps there are projects where it would really shine?

      You should care, because they are all as important. In general you will use canvas and model driven apps both, simply because you will have front workers and back-office workers, canvas is great for front workers and model driven apps is great for back-office, team leaders, managers, etc. You can have multiple canvas apps and multiple model driven apps in one project.

I have already created 15 applications. is it possible to show how to create a security role and how to share a powersapps application from the dataverse. I'm having trouble sharing my app. I choose the right security role, but as soon as I validate the share I have an error message that appears. Despite Microsoft's documentation, I can't see where my mistake is. thank you so much

      You are welcome. :)
      I don't know that I have a quick answer for you. Lets say I build an app for napping and have one DV table. I would create a Role called Napping App and give that role permissions to my new table.
      I would then assign that role and Basic User to Buddy.
      I would then share the app with Napping App role and Buddy.
      Buddy should now have access.
      I think hit all of the steps. But you are right, this would make a solid video. 😊

    Hi Shane, hope your having a great time, have a couple of question regarding dataverse 1) it is posible to archive dataverse data to sharepoint? This is because cost of storage 2) i want to storage only in dataverse the value of the image not the image itself same reason storage, well i have another question #3 i pass 15000 andplus recordfrom sharepoint to dataverse but at the moment i sort by id in gallery data, decending it out fist record with id 9000 that 15000 i belive is because 9 is greater that 1, thanks in advance

      Dataverse is better at Delegation but doesn't solve all of it. 😒 The Search function is delegable is a great example of where Dataverse improves the story.

    I created a new Environment (Production) with the option selected to create a database. When I switch to this environment and go Dataverse -> Tables, the New Table button is greyed out. Do you know why this could be?

      Is it possible the new environment hasn't finished provisioning yet? That is my best guess.

      Most probably the user you're connecting with does not have access to the Dataverse tables. Check the roles the user has, add at least the Basic User to it (this is the former Common Data Service one). Also if you're creating an app that'll use Dataverse, make sure you create a bespoke Security Role and include the tables that app accesses into it (basically clone the basic User and add the custom ones).
      It's a bit more to manage with Dataverse, I admit, but at least it offers the right level of security.

    Great video, ive been playing around with dataverse tables and noticed sometimes in powerapps I can pass data to a table using the column names with dot notation and other times poweapps insists on having the name that has the cr52a_ in front of it, Have you encountered this at all? Just wondering if im doing something silly for that to happen or its powerapps being powerapps. Love the videos, always helpful!

      Hey Kris - Different Power Apps functions support the Display Name and some only the System Name. It is the functions, not the data sources fault in this case. 😐

    Can a premium per user build apps with dataverserse for use by non premium users?

      Standard vs. Premium is enforced by the user of the app, not the maker. So really it is the opposite. YOu can build an app with a standard license that uses premium but for your end user to use the app they need a premium license.

    Do you know how I change the permissions on a table if I am in Power Apps and NOT in Microsoft Teams? This is a stand alone Power Apps app, not tied to my Teams team.

      They will continue to co-exist. Dataverse will just continue to evolve as the better choice for a data source for POwer apps.

    I faced a very annoying situation, just created a dataverse tb with an auto incremental column started with 1... all right, when I exported that in a solution the ai column started with 1000... so, something don't look works good

    What is better to work with, dataverse or sharepoint library, when my data are files of 100 buildings, each building contains 100 MAPs and 200 subMAPs. Example:
    Building: Empire State
    MAP: contracts, lisense, architect drawing.... Etc
    Sub MAP: License/Fire, Licence/Health etc.
    100 buildings x 100 MAPs x 200 subMAPs with new, updated information.
    So Dataverse or SP libraries

      Arthur for me it would be a mix. I would start metadata/information in Dataverse tables and files in SharePoint. I think they are more accessible and flexible as documents in a library than as attachments/fields in a table.

      Can I avoid the delegation problem with this?

      @@ShanesCows Thanks, doing so, this means in powerapps, there will be no problem with the delegation of 2000 when i search for a document? Using metadata for searching with ID and in the library fileID as a example.
      What would function better? Document or Record center or working as above with dataverse for metadata.

    i love the idea of dataverse. BUT its soooo complicated with the licencing. i dont want to start using it and then find out i just created something that costs 1000$ amonth so everyone in my company can use it.

    Hi Shane, in my opinion this is not your best video and I would even say you are a bit off here. Simply because you should always, always create a table from a solution and not directly in the tables section. Same for all the other parts of your solution like Canvas Apps, model driven apps, flows and all other. You say always Paul? YES ALWAYS!

      Paul I disagree. Adding solutions into the mix makes it 100 times scarier for a newbie. My goal of this video was to make Dataverse not scary and more approachable. Solutions will come but for now less is more. :)

    Dataverse and power automate is one of the biggest failures in IT I've every seen. Both have a lot of bugs. How can they assume that businesses will use these unpredictable products. One flow can work 1 month and then it stops without any reason.
