Create a contact group / distribution list in Outlook by Chris Menard

- Do you email the same people all the time? If yes, you need to create a Contact Group in Microsoft Outlook. Contact groups are also called "Distribution Lists".
The steps below work in Outlook 2010, Outlook 2013, Outlook 2016, Outlook 2019, and Microsoft 365 Outlook desktop.

I don't know if anyone mentioned before in comments, but if you want to send this to recipients without them seeing each other's email address, then you follow steps above but then instead of sending to, "to", you use "bcc"

I send out monthly emails to groups and just got notified I sent out a confidential email to the wrong group of people 🤡 rest assured this will never happen again. Thanks for the straightforward tutorial without the fluff 🎉😂

Hi Chris! This was very helpful, thanks. I am using this to create distribution list for my existing and potential customers. Will they be notified if I add them to a list? I hope not.
No, they will not be notified if you add them or remove them from the list. I recommend you put the contract group or distribution linst on the BCC field in your email. That was they don't see other email addresses and they can't do a Reply to All.

When you send the email to the contact group, do the people see they part of the group upon sending the email? Or do each of their addresses appear separately on the email that they receive?
If you put it on the TO line of the email, they see all the email addresses. Just add it to the *BCC* line of the email. BCC is Blind Carbon Copy. If I was a member of your contract group, I would not see anyone's email address since you did a BCC.

this seems to work for MY address book but does not seem to work as an Organization wide distro/ Other users, even those in this created distro are unable to add it
Contact groups are just for you. Company distribution list are set up someone where and usually require special permissions.
I plan on using this method to send out emails for my business(all emails in BCC of course). Is there anyway members of the contact group/distribution list can opt out/unsubscribe?
Not with Outlook. You need to use Constant Contact or something similar. I use Constant Contact.

Hi Chris, is there a way to email the same email to multiple people where only the one receiving the email can see only their email and not everyone else's? It's because my boss wants to be cc'd and have their email should he decide to reach out. I want to practice good communication ethics but I can't seem to know how to go about fulfilling what he asked and also without showing the entire group of recipients. please help! thanks!
There are three fields when it comes to email. The TO, CC, and BCC fields. If everyone is on the TO line, they will see each other's email address. CC is used to keep someone up-to-date regarding the email, but they don't need to make a decision but need to know about it. For example, I will occasionally CC my boss when I'm working on projects with other people I'm just keeping her up-to-date with what I'm doing.BCC is blind carbon copy. When you add someone to the BCC line, the people on the TO and CC do not see their address or know they got a copy. So, in your specific example, there is no way to send an email to each person and CC your boss. You can send an email to each person, using a Mail Merge, but you can't add your boss as a CC when doing.a Mail Merge.
Is there a way to restrict sending mails (in the list) to only one member?
I would add the one member to my people or contacts.

How do you get contacts from outlook on a laptop to a contact list on an android phone. I can only move my global list over and not "my contacts"?

What if you have 2 emails with 56 different emails that are not in your contact list, can you combine those 2 emails into one new distribution list?
Hi Chris, I edit a shared Contact Group and use the distribution lists in that group to send emails from my account. However, I can't figure out how to FORWARD emails to the distribution lists in that group. When I open the email message that I want to forward, I click "To", but I am only able to access/select my own Contacts and the Global Address Book. Any suggestions? -Thank you.
When you click Forward and then click To, it should pull up your Address list screen. here is a screenshot. drive.google.com/file/d/1nS7hySuMfybrBV6Vsa2xd2VS7M-c55-9/view?usp=drivesdk Click the drop-down and see if you see your Distribution List. If you don't see them, which it sounds like you don't, how is the DL list shared with you?
Hi I have hundreds of contacts to add but it won’t let me copy and paste all the email addresses all at once while trying to add the contacts.
Do I really have to add them 1 at a time or is there a workaround?

If there is someone in your organization using the same network, as in you all have the same outlook network email domain, then yes they can also have access to this group.
