  • ✅ You can store email offline in Microsoft Office Outlook using PST files. I'll show you how to set that up.
    ✅ Save email locally in Outlook
    Creating a PST file in Microsoft Office’s Outlook allows you to store email offline and manage online storage limits. To set it up, navigate to File - Account Settings, open the Data Files tab, and click “Add…” to choose a storage location. Emails can be moved from online accounts to this local PST file. Remember to back it up since the moved email is now only on your PC.

    I found that after making a .pst I could move both Outlook- and yahoo-mails (from 2 accounts) and complete folders to that .pst.
    When the name of the folder in Outlook and Yahoo were the same I merged the content in the .pst folder. A novelty for me 🙂
    I even succeeded in moving back a folder containing mails from different accounts (both Outlook and Yahoo) to the online .ost environment. This resulted in a partial reshuffle of mails that I previously had in different environments.
    An unexpected result of a clean up and archive activity ☺️

    Outlook desktop app or even the android version has been the worst nightmare for us. Previously, we keep blaming our email service provider for missing email that sometime Outlook just save the email in local folder when connectivity issue or sometime just Outlook app itself caused the local folder to be missing neither Microsoft escalation can explain why instead just say corrupt or mail service provider issue not their fault. Switching use browser base or Thunderbird has been a blessing for IMAP.

    Problem. If you ditch MS Outlook at some stage you loose the pst emails. I have another workaround. I created a Google email address/account. I then transfer all emails from Outlook, Apple emails etc to the specific Google storage account set up for email storage only. This account is 15 gb.

    The video does not apply to me, but thank you for the tutorial nevertheless. I use the Outlook that comes in Windows 11. Have like 4 e-mail accounts. How to backup it so in case of format disk or failure i could restore the accounts and settings without adding them one by one?

    Those are folders even if you use a Gmail account. I don't know why Microsoft decided to remove the folder icon in Outlook (Office version) which was in older versions of Outlook. Thunderbird still shows folder icons

    P.S. Some backup software won't backup PST files unless Outlook is actually closed (file is not actively being used).

      I use SyncBackSE as my backup program. One important difference between the free SyncBackFree and SyncBackSE (I think the "SE" stands for "Standard Edition") is that the latter _can_ indeed back up files which are in use. This allows me to run SyncBackSE during the daytime, when Outlook and other programs have open files.

    Hi Leo, I have followed your tutorial but not been able to export my email files to Thunderbird. My emails are stored in MS Exchange and each folder needs to be accessed to retrieve the email[s] I want to export. When I retrieve an email in a folder it won't drag
    and drop.

    I cannot see this option on new Outlook. I have several .pst files. I will never convert until MS allows adding such files

    I am sure I am missing something, purpose of me creating a pst is to still access old emails but have it removed and save memory on my outlook. After I created the pst and moved the emails around the memory stayed the same ? Can anyone assist ?

      I'm not sure what you mean by "the memory". This has nothing to do with RAM. Where are you expecting to "save" memory?

      (Sorry for the form response, but I get this question A LOT.)
      Please review the account recovery options as outlined in this article: askleo.com/access-gmail-without-phone-verification/
      If Google's recovery process doesn't work for you -- maybe you don't have the recovery email or phone -- MAKE SURE to follow Google's instructions CAREFULLY and COMPLETELY.
      If the recovery process can't be made to work, I know of no way to recover the account. If that's your situation I'm very sorry.
