I was told a couple of months ago that I was reaching my limit, and I did a massive housekeeping exercise, and deleted tons of stuff. I thought I'd done enough, but after watching this guess I need to do a bit more work...and probably switch to a different email.
Hi Leo, Thanks for your video on Outlook storage. I had that problem. They told me I had 14 GB of storage used, way over my limit. I deleted my emails down to a skeleton number. No change. Then I tried to go into One Drive and delete items there. Still no change. Then I thought about those folders to the left of the mail which I hadn't used in years. Found 100 emails in one file and 90 in another. Deleted both of them plus a few others. My storage went down about a half a GB. I kept looking... then I found the mother load!! Over 7500 emails in my sent file. Deleted every one. That made my storage go well below the 5 GB. Never dreamed I had to keep a watch on my sent file. Probably didn't have to til they changed their way of doing things. I can now use my email, though after this experience I may change to another company. Wanted to pass this along to you and your watchers. Hope it helps!

So, I have deleted many files in Onedrive, and have turned off automatic backing up of my files (which as you have inferred, I did not know was happening. So now I hope I can download attachments in Outlook to my desktop and store them on my new external drive - 1Terrabyte, $60 - FOREVER. Wish me luck.

It wouldn’t be so bad if they didn’t suddenly spring it on you. My hotmail account was downgraded from 15gb to 10gb yesterday without any warning. I was expecting an important email that may have been rejected. I have a flight to catch today but have had to wasted many hours deleting emails so that I can receive them again. Can we get together and sue Microsoft as a class action?

Brand New HP Laptop and all of a sudden, boom(!!), my email was full. Spent hours trying to find out how to transfer emails plus attachments to an external hard drive. Still don't have an answer for that! But, Leo's video is quite timely and does explain what most of us have come to suspect about this MS tactic - which sucks!!!

In fact, my 5Gb storage is composed by Outlook attached files. Go Microsft!--as an 80 year old person with a neuromuscular disease and using my Hotmail to communicate with physicians, I'm disgusted. And I have a "Premium" Hotmail account, whatever that is (I've unsuccessfully questioned what that means for years, as I've paid $20? 50? or whatever the annual fee for years now).

Microsoft's been playing with that a lot, and I believe that functionality is sadly gone. My solution is to use a desktop email program connected via IMAP, which can generally do exactly what you (and I) want.

Have you thought about buying a SINGLE months worth of extra storage for $1.29 and then using that single month to move files off of the hotmail account? Might be a better option to giving in to a 365 subscription. Temporary solution to an abusive problem. The give in only costs $1.29 but then you can cancel and give your middle finger back to MS.
A friend of mine has the opposite problem, she is using 4.7gb out of 1tb and her email is maxed out, is she supposed to purchase more email storage or is there a way to combine the two. I thought the email goes with the One Drive storage.
With this new outlook I was shoked that they use IMAP and not POP. Another issue is, you can´t louch the email, if you are not connected. How do we change from IMAP to POP ? Thanks
There is no "change". You can only create a new account using POP. IMAP email is generally syncronized to your PC, so it's still accessible when you're not online. (But exactly how quickly things sync varies between programs.)

OneDrive decided it wanted to save my whole desktop which i never turned on manually. I deleted the Desktop folder from OneDrive storage and it took me from 5Gb to 0.3Gb. Thanks, M$. /sarcasm and thank you Leo! /nosarcasm
Hi Leo, was wondering why when I delete files and attachments from my outlook even permanently it doesn't change the storage space, even after deleting over 2000 emails. What is taking up my storage? It stops the message for maybe 2 minutes then it comes back saying I am over at 5.1 of 5 GB
Outlook.com: deleting moves to trash. When you empty trash it takes Outlook some time to re-calculate the storage used for some reason. Outlook in Office: .pst and .ost files or only compacted periodically so deleting definitely isn't reflected immediately.
Leo.. Great video.... (and any one else out there that has tihis probelm) if I archive all my email folders and subfolders into *.pst files on my hard dirve, can I then delete all of the emails out of my sent folders in Outlook that are casing my overage?
Hi Leo, question. I put all my photos in the picture folder and boy what a mess. I had to delete all of them to free up space to email. Just curious if I put all my photos in a new folder buried in my program files will this avoid the onedrive issue. In other words can I hide my photos? Thanks and good video.
I wouldn't recommend Program Files, but any folder outside of OneDrive will do. For example OneDrive is at c:\users\\OneDrive, to make a new folder c:\Users\\MyPictures or something and it'll be fine. Don't use the existing Pictures folder, since OneDrive has mucked about with that.
Do they even give warnings about shutting down your email? It's pretty f'ed up that they'd bounce important emails to force people to buy more storage. I literally had to empty my entire OneDrive storage just to free up space for my Outlook attachments. All 0.6 GB of them...
I did get warnings on my Outlook.com as I was approaching getting full. But that was with this "feature" already enabled. I don't know if there were any warnings presented when the feature was turned on.
This video didn't help much. I got mine solved. All I had to do was move some videos and documents from the computer to an external hard drive. It solved the problem.. Once your Outlook is logged on through your computer app. Every download or files tend to be automatically stored in One Drive space. I hope this helps someone
I was hoping you would explain how to backup the e-mails to the HDD and do your own secondary backup. In the past you could store e-mails in a folder and find that *.pst file. copy that to another location and than delete the map containing the emails using outlook. Not sure if it was possible to link outlook to the copied *.pst and search the backup *.pst file. Outlook also uses *.ost files. If all above is the same for these *.ost files? I don't know. Where to find those? How to copy them and can the copy be searched?
It depends ENTIRELY on how OneDrive is set up on your machine. If you have OneDrive backup turned on, then quite possibly YES. You can easily test it. Copy a document somewhere safe, then delete it from OneDrive and see what happens.
I am having an issue using my safari browser. I can not type in an email address on the email "To" line to send and email. It won't even bring up my contacts. When I use the google browser it is fine no issues? Have you heard of this issue?
I see that on your hotmail outlook there is no file tab or action beside the Home .. same as mine.. I want to download emails ect. to a flash drive.. how does one do this.. videos say to go to file then to open & export. I can't download any apps to use to do this. how does one get to this file to get to open & export ?
If the videos say "file -> Open" then that's Outlook the program that comes with Microsoft Office and is installed on your PC. That's different from, and actually unrelated to, outlook.com. Desktop email programs like Office's Outlook, or Thunderbird, or emClient, or others can all do this.
I used outlook for years, I have an Outlook new version, now my phone is locked up but not my PC is there a pending doom for my capacity on my PC. I was thinking with my android phone I get this 5 MB capacity warning. My email is a hotmail account. Is there another way to access my hotmail other than Outlook?

I'm glad i never used Onedrive on my pc . my dad had it running on his pc and he no longer can use his email he has had for 12 years or more. i cleared his onedrive out, it has nothing in it any more, but his email still says it is full. he only has about 15 emails in his email so it cant be full from those 15 emails. i guess he will have to get a gmail and switch all his sites he goes to to the new email. what a pain in the butt
Thanks for explaining the predicament with the Microsoft email story so clearly. Microsoft is a company that wastes peoples time. I’ve decided to completely abandon Microsoft windows 10 and 11. When I need to buy new computer, I’m going to buy an Apple computer with a iOS. Tired of spending so much time on Microsoft problems. I want to use the computer not spend time troubleshooting. Microsoft cares little about their customers. Instead of making a the computer usable they make it an irritating problem.
Pretty scummy for Microsoft to spend time, effort, and money to merge Outlook and OneDrive storage quotas but not do the same for adding an easy option to download all attachments at once. This is all the more glaring given other advanced things Outlook can do like automatically sort incoming email into folders and automate the sending of email. But adding a button to download all attachments. Nah. Too hard.
Simply copy the files from your OneDrive folder on your PC to your external drive. Then delete the files from your OneDrive folder. (Remember that deleting from OneDrive will delete from your PC, your OneDrive cloud, and any other machines synchronizing the same OneDrive account. Remember also to back up your external drive so it's not the only copy of your data.)

If I can get into OneDrive, will I see a separate folder for my email accounts? No. The emails don't appear within OneDrive, even though the space they take counts against OneDrive. You can download emails and attachments directly from your email account at Outlook.com, OR you can install a desktop email program like Thunderbird, connect up to your Outlook.com account, download emails with attachments, and then save them however you like. Sorry for the confusion.

OR you can use a desktop email program like Thunderbird (my preference, but Microsoft Office's Outlook will work as well) to download email, move it around on your PC, and delete it from the Outlook.com account.
I've deleted the emails with attachments and unlinked one drive and it is still full. Will it help if I uninstall one drive? I am switching to Apple. Hate Bill Gates so much right now.
Bill's had nothing to do with any of this for YEARS. Uninstalling OneDrive won't help. You need to go to onedrive.com and delete files there. (Make sure you have backups of what you want to keep.)

Same. My 1TB is almost empty, but my 50GB Outlook storage (I pay for a premium account) is 90% full. My Outlook has no access to my 1TB beyond 50GB. So they sold me something I can't use! Theft!

It should prompt you to save all the emails (along with attachments) in PST by default instead of asking to increase storage on OneDrive.

No. They were probably bounced back to the sender.

Gmail has a limit, but they're much clearer about it, give you better warnings, and don't spring random things like this on you.

Depends on what email interface you're using, but yes, most display only one folder at a time.

I literally had to empty my entire OneDrive storage just to free up space for my Outlook attachments. All 0.6 GB of them...
I did get warnings on my Outlook.com as I was approaching getting full. But that was with this "feature" already enabled. I don't know if there were any warnings presented when the feature was turned on.

This video didn't help much. I got mine solved. All I had to do was move some videos and documents from the computer to an external hard drive. It solved the problem.. Once your Outlook is logged on through your computer app. Every download or files tend to be automatically stored in One Drive space. I hope this helps someone
I was hoping you would explain how to backup the e-mails to the HDD and do your own secondary backup. In the past you could store e-mails in a folder and find that *.pst file. copy that to another location and than delete the map containing the emails using outlook. Not sure if it was possible to link outlook to the copied *.pst and search the backup *.pst file. Outlook also uses *.ost files. If all above is the same for these *.ost files? I don't know. Where to find those? How to copy them and can the copy be searched?

Quick question if I delete files from my one drive will this also delete the same file in my desktop documents?
It depends ENTIRELY on how OneDrive is set up on your machine. If you have OneDrive backup turned on, then quite possibly YES. You can easily test it. Copy a document somewhere safe, then delete it from OneDrive and see what happens.
I am trying to delete things and they are appearing as deleted but I still see the space used up.
Be sure to empty trash, and then also give it a little time. In my experience the "space used" is not updated immediately.
If I remove pictures/files from One Drive will it delete it from my phone storage?
It SHOULD not, but you can back them up somewhere else first so you don't lose them.
Deleted everything In one drive and no longer have the problem of storage full in outlook yay😊
I am having an issue using my safari browser. I can not type in an email address on the email "To" line to send and email. It won't even bring up my contacts. When I use the google browser it is fine no issues? Have you heard of this issue?

I see that on your hotmail outlook there is no file tab or action beside the Home .. same as mine.. I want to download emails ect. to a flash drive.. how does one do this.. videos say to go to file then to open & export. I can't download any apps to use to do this. how does one get to this file to get to open & export ?
If the videos say "file -> Open" then that's Outlook the program that comes with Microsoft Office and is installed on your PC. That's different from, and actually unrelated to, outlook.com. Desktop email programs like Office's Outlook, or Thunderbird, or emClient, or others can all do this.
I used outlook for years, I have an Outlook new version, now my phone is locked up but not my PC is there a pending doom for my capacity on my PC. I was thinking with my android phone I get this 5 MB capacity warning. My email is a hotmail account. Is there another way to access my hotmail other than Outlook?
You can use almost any desktop email program including Thunderbird, emClient, and others.

It's just proved itself as totally unreliable and not user friendly. I've deleted everything I can find and it still says I'm over the limit. Time to say goodbye to my account which is over 15 years old

I'm glad i never used Onedrive on my pc . my dad had it running on his pc and he no longer can use his email he has had for 12 years or more. i cleared his onedrive out, it has nothing in it any more, but his email still says it is full. he only has about 15 emails in his email so it cant be full from those 15 emails. i guess he will have to get a gmail and switch all his sites he goes to to the new email. what a pain in the butt
Make sure to empty trash (in both Outlook.com and OneDrive).
Thanks for explaining the predicament with the Microsoft email story so clearly. Microsoft is a company that wastes peoples time. I’ve decided to completely abandon Microsoft windows 10 and 11. When I need to buy new computer, I’m going to buy an Apple computer with a iOS. Tired of spending so much time on Microsoft problems. I want to use the computer not spend time troubleshooting. Microsoft cares little about their customers. Instead of making a the computer usable they make it an irritating problem.
To be clear, iOS is for Apple's mobile devices (iPhone and iPad). Mac computers come with MacOS.
Pretty scummy for Microsoft to spend time, effort, and money to merge Outlook and OneDrive storage quotas but not do the same for adding an easy option to download all attachments at once. This is all the more glaring given other advanced things Outlook can do like automatically sort incoming email into folders and automate the sending of email. But adding a button to download all attachments. Nah. Too hard.
Leo? Can we transfer emails plus attachments from OneDrive to an External Hard Drive??? That's my all day long search for the answer to that question!
Simply copy the files from your OneDrive folder on your PC to your external drive. Then delete the files from your OneDrive folder. (Remember that deleting from OneDrive will delete from your PC, your OneDrive cloud, and any other machines synchronizing the same OneDrive account. Remember also to back up your external drive so it's not the only copy of your data.)

If I can get into OneDrive, will I see a separate folder for my email accounts? No. The emails don't appear within OneDrive, even though the space they take counts against OneDrive. You can download emails and attachments directly from your email account at Outlook.com, OR you can install a desktop email program like Thunderbird, connect up to your Outlook.com account, download emails with attachments, and then save them however you like. Sorry for the confusion.

@@catsailor8621 You should be able to download attachments in Outlook.com. You can then delete messages. OR you can use a desktop email program like Thunderbird (my preference, but Microsoft Office's Outlook will work as well) to download email, move it around on your PC, and delete it from the Outlook.com account.

Deleting can ABSOLUTELY be made to work. It's just not obvious what to delete, and how to go about it. Hence the video.
I've deleted the emails with attachments and unlinked one drive and it is still full. Will it help if I uninstall one drive? I am switching to Apple. Hate Bill Gates so much right now.
Bill's had nothing to do with any of this for YEARS. Uninstalling OneDrive won't help. You need to go to onedrive.com and delete files there. (Make sure you have backups of what you want to keep.)
@@askleonotenboom I got the email up and running and did what you said to do. Bill is still the face of Microsoft so I used him to vent. I am not gonna pay Microsoft for email service or extra space unless I want to. I got none of my missed emails back and hope they get sued for this mess. Apparently not Outlook.com - that's separate from OneDrive, except for when it isn't. Frustrating.
Same. My 1TB is almost empty, but my 50GB Outlook storage (I pay for a premium account) is 90% full. My Outlook has no access to my 1TB beyond 50GB. So they sold me something I can't use! Theft!
