This use case shows, how to export the data from Forms and import it into Excel and Email. The Excel sheet could either be on OneDrive or SharePoint.

The mission is to import our Forms data to the Excel sheet in OneDrive.
1:13 Trigger Based Flow in Power Automate
Our trigger will be when a new response is submitted in Forms. Remember to have the 'Split Off' to not have our string stored as an array.
1:56 Apply to Each
We use an Apply to Each to get our list of responses and then get the response details.
2:35 Add a row into a table
Adding the response details to a new row in our Excel Sheet in OneDrive
5:49 Apply a condition to the Forms responses
Applying a condition to our data to find our, when we get a bad review in our survey. This should trigger an email to us.

We send ourselves an email notification, when we get a bad review.

This was amazing! One thing to note (maybe is already mentioned in other comments) as it was a place where I got stuck: on your excel sheet, you need to create/set a table for the flow to work (where it asks you to select the 'table' where the row will be added).

I still can’t get the table in Flow (“no item”) even though I’ve formatted the table in Excel. Does it matter if the Excel file is not owned by me though I have edit access to it?

I clicked on the edit button but I only see "When a new response is submitted" and "Apply to each" boxes.....
Very helpful - thank you. A few points for you: there are some pre-requisites that you don't mention. You need to have created a Survey and also the Excel document with the correct column headers before creating this Flow. I know it sounds like something anyone might already know - but they are necessary for this to work. Thanks again! :D

Do I need to create the [form], the [excel spreadsheet saved in OneDrive] and also a [table within Sharepoint] before I can create the flow? I have created all 3 of these and get stuck with no table showing up in the drag down menu for "Select a table from the drop down." I cannot access my table.

For example, I am planning to create a travel request form where if the applicant gets accepted, I will change status row to "Approved" (using dropdown) and then the user would get an email if it gets approved. Thank you for the manual. In your example the assumption is that the set of questions in the MS Forms does not change. What if a new question is added? Is there a way to automate that process so it also gets caught up automatically without the necessity to edit the Excel Workbook to add the columns manually and adjust the flow settings?

Your video is very helpful. Is there a way in Microsoft Forms where we could save some responses on the Form and fill them out from someone else and still send them to the Excel Document?
Hey Maria. I am not sure, what you want? Is it that you get some Forms answers, then afterwards you will update the answers and have them back to Excel? No, but what you can do is to take the Forms responses, work with the data (add) and save them to a new sheet. Kind regards, Anders

Hi Adam..thanks a ton for this video. Could you also make a video about how to upload Excel data ( only certain tables) on SharePoint list every week using power automate? This Excel data gets updated every day. I have this huge excel file which has audit related data from 2013 with multiple columns. I am currently using VBA button to upload data every week. When I am trying to create a flow, I am unable to choose this Excel available in the shared drive in power automate. Should the header be formatted as table? Could you please help me?

Good morning, this is so so useful, thanks ever so much. As part of our Covid prevention, I am trying to organise a cleaning regime based on QR code. I am trying to dispatch different part of the data (from form) onto different excel documents (i.e. deep clean, standard clean, security checks...) but every time, I am adding a rule for one excel document (i.e. cleaning excel document), it is also adding an empty line to another excel document (space set-up). Is this now part of forms? I just created a form and when I'm in the "responses" tab it gives me the option to "open in Excel" with the excel icon on the top right hand under the banner that has responses, average time to complete, status.
Hey crazy4beatles. Yes and no :) It has always been possible to open the results in Excel, but if you want them automatically to Excel/Mail, you have to do it with Power Automate. Kind regards, Anders

When you are selection your dynamic content is there a way to confirm which row you are selecting from you table if you have repeat questions for different sections example first name, last name etc.

Instead of adding the response details into an excel sheet, I would like to post a Yammer message. It should work, but no matter what I try, I end up with an error.
The "Post Message" Block just tells me "BadRequest".
Google couldn't help me so far.

Could we only get email notification when the the spesific condition in form was choosen, like alarm. in example when someone chose "Sick" then the notofication send to my email, but if some one choose "Good" there is not notification send to my email. Thanks for your answer

@@andersjensenorg No worries at all. Actually my apologies, my browser was playing it at a lower resolution ("Auto") instead of 1080p . A question for you in Power Automate, have you come across a way to copy a template to a new team with files and channel structure? We need to figure out a way to copy stage gate documents and Gantt charts but all I can currently do is open a new team, populate the members and their roles and create empty channels.
i want to do this but with a designated row that a user is associated to that can be updated multiple times from the same form that is quarterly updated.
For example
User a - sends response in jan
User a - sends response in march
Same row is updated (overwritten)
is this possible

I also had to manually add the form id because it is a group form I created in one of our company Teams. I do have full administrative rights over everything so that shouldn't be causing this issue. Can I delete columns from the excel spreadsheet? I created one in the company one drive using Microsoft forms. While creating the form I deleted two of the questions and replaced them with two others but the original two questions still show up as columns on the spreadsheet while being absent from the forms. Can I delete these rows without messing without destroying the excel spreadsheet?

Hello! I used this tutorial very well but hit one snag. When I add my row, my table has a VLOOKUP function in a column that will return a number if true, and will be blank if false. I am trying to set a condition that if a number is present, send an email to the respondent of the form, if it is empty, email me. I keep getting errors. Any help would be greatly appreciated!

Mine adds the data twice. Power automate adds extra columns, ID, start time, complete time, email and name. The first line it adds does not have any data for these, the duplicate entry does. What have I done wrong? Also even through my flows only shows it once, when I turn it off it still runs.

I want someone to be notified every time there's an update to the form, regardless of the response. The form only has two questions--one is a rating question, the other is an open-ended text response. What would be the condition I could use for the notification? Or instead of a condition, would it be a new step to notify every time a row is added to the Excel?

I don't know what changed since this video was made but i encountered some errors, couldn't figure out if it was related to the date columns in my Forms, but however there's a simpler way doing this, following your steps but after choosing the template "When a response is submitted", next Template was 'Get response details' then 'add an action', 'add a row to table', this skipped the errors but yielded same result, so anyway thanks for your content, my comment is just for those who encounter similar issue 2 yrs later.
