Is it possible to put the drive gear in backwards? I can’t get my axle to come all the way through my portal

Yes, this is definitely possibly. Each gear is slightly different side to side, one way will allow the axle to pull through as normal, the other way will either prevent it from coming through or will allow it to pull through too far.

How often does this maintenance have to be done?

Hey there James. Maintenance schedules really vary based off of your style of riding. Oil changes should be done more often if you're doing a lot of road riding/frequently submerging them in mud/water. Rebuilding is only necessary if there is an internal failure.
