How to use invoice approval workflows | QuickBooks Online Advanced

  • Invoice approval workflows in QuickBooks Online Advanced let your team to create invoices that your leads can then easily approve before sending them off. To set up invoice approval workflows select “Workflows,” then “Templates” and “Invoice Approval.” When you create a workflow, you set the conditions that trigger it to start. For example, you can set up a workflow that requires approval for invoices greater than $500. You can add multiple conditions, including customers and locations. Once you choose your conditions, you select what happens once they are met. You can choose who to notify when an invoice needs approval and who sends it to the customer. Your team can receive notifications via email and on their mobile devices. If an invoice isn't approved after a certain amount of time you can elect to have it approved automatically or set a reminder. Approving the invoices is easy. The approver just selects "Tasks" and will see all the invoices that need approval. With QuickBooks Online you can send invoices to customers at any time. But you have more control over when invoices are sent with invoice approval workflows, which are only in QuickBooks Online Advanced.
