How to Make the Project Coordinator Role EFFECTIVE

- The Project Coordinator role (and others like it) are a great entry point into the world of Project Management. But what do you need to do to be effective in the role?
There is a wide range of interpretations of the role description for a Project Coordinator.
And there are a lot of job titles with such an overlap in usage that it makes sense to treat them all as one. For example, we also have:
• Project Officer
• Project Administrator
• Project Admin
• Project Controller
• Project Support Staff
It is hard to answer the question ‘What do they do?’ in a definitive way. So, let’s instead answer the question ‘How can they do it in an effective way?’
I’ll divide my answer into three sections:

Project Coordinators, Project Controllers, Project Officers, Project Admins - large projects need someone skilled with data and administration to support the team and the Project Manager. It can be a career role for some, but for most, it is a learning stage in your career. But, what is the job and what do you need to do, to do it well?

Project coordinators are the unsung bass of the band. Find a good one and he/she keeps your project perfectly on the beat. I've had project coordinators who played a jazz bass, some who played a funk base, but the best were those who played a blues bass; a bit like a West Coast box shuffle groove. They sit in the pocket and don't draw attention to themselves and they allow the Project Manager to look further into the distance and play his/her viola like a virtuoso dreamboat. One complaint, though, is that Project Coordinators don't get paid as well as their Dads/Moms, and so they don't stick around with the band too long before they form a rival supergroup.
Dr Mike, your explanations are precise and clear. You don't mince your words and you don't waste them. You are the SRO, Project Manager, Coordinator and every stakeholder rolled into one, and your videos are always on time and to budget; while the quality is quite simply superb.
Thank you. I love your metaphor and I think it is bang on point. In the UK, the House of PMO is seeking to professionalize PMO roles and has a fine competency framework. We need to see excellence in Project Control as a valued career choice - whether within the project, or in a PMO-type function.

Hi Mike, I have a PC, doing all that you have mentioned - increasingly they wonder what the project manager is doing when they seem to be doing the bulk of the work; such as scheduling, tracking budget/resource hours etc. Can you please make a video exploring the differential between the roles of PM and PC. Thank you in advance. (FYI I’m based in the UK and working on UK Gov projects)

So, in short, with a good PC, the PM can focus on strategic issues, team leadership, dealing with client/sponsor and governance tiers, and stakeholder engagement.
