Properly Print a Large Spreadsheet on Multiple Pages in Excel (Repeat Headers)

Struggling with Excel printouts missing headers and unclear data? For larger Excel tables make sure you repeat the table row headers and column headers on every printed sheet. This is important when you print a large Excel spreadsheet on multiple pages.

This important Excel Printing option can be found in the Page Layout tab under more options for "page setup". In the Sheet tab, you'll find an option called "Rows to repeat at top" - select the specific rows on your Excel sheet that you'd like to see on every printed page.
In a similar manner you can use "Columns to repeat at left". Select the columns you'd like repeated on every single printed Excel sheet.

Another way to quickly access the header/footer options is on the INSERT Tab and select the "Header & Footer" option in the "Text" section of the tab.
Page Layout and Header & Footer are things I use a lot, so I have actually included both of them in my own Custom Tab to save me going back and forth between Tabs.

Those icons in the bottom right corner are so handy. I always used menu. Now I can navigate faster between print and normal views
happy New Year Leila!....I had considered myself an intermediate Excel User, vlookup then index/match (because of your videos)....however I did not know this feature, I was using the Header Option to be able to print the column headers...your lesson is totally helpful to me...Thanks!

Second, can you make a video of how to add customized page numbers(for example for the page 3 to be named page1 till the end) to specific cells(not necessary headers or footers)?

I like the keyboard shortcuts ALT, W, L (for Normal view), ALT, W, I (for Page Break Preview view), ALT, W, P (for Page Layout view) and ALT, P, S, P (for the Page Setup dialog box). Once I committed those to memory, setting up a worksheet for printing became much easier. Thank again for the tips and Thumbs up!

Good information.
Readability is a challenge with large printed tables. On monochrome printers, adding Gridlines makes it easier to find the proper row/column header. On multicolor printers, formatting the data into a table with multiple colors is helpful.

ma,am i am sohail from lahore pakistan. i got a bundle of huge knowledge about excel by watiching your videos you udloads often about ms excel. now a days i am very much bounded on a place. when i choose a sheet to work.i select 35 cells of red color,100 cells of green color, 50 cells of pink colors and so on. this happens at once but when i want to delete these colored cell i cannot select all cells of same color for delete or no fill. this made me headache so please solve my this query and give me a chance to thanking you for prosperous and brightest futer. thanks again

How to adjust header to print just on first page only?is there any settings?
Love your videos Leila, but I've got an issue that I can't find a solution for and was wondering if you might be able to do a video on it or just tell me how to do it... Say I have 6 rows with 52 columns (weeks in a year). Is there any way to "print" those 6 rows ALL ON 1 PAGE, with say 13 columns, then move below those 1st 6 rows that printed but still on page 1 and print 13 more columns and so on - end goal is ALL the data prints on 1 page, just 13 columns, then 13 more columns below that, then 13 more columns under that and finally the last 13 columns. Hope that makes sense and really hope you know a way to do that :) have a great day and thank you in advance !

Leila, my problem with page headers is different and I am hoping you can help. I have a multi-page report that goes across Excel horizontally. I need to get my report header to be centered on each page, but I also need it to be dynamic because it needs to update the period ending date. I tried to create a header directly at the top of the first "page" of my report, but when I use the "Rows to Repeat at top" it doesn't work from me. Is there another way to get headers to repeat on every page of a report using the Report Rows in page setup or the Header/Footer option?

Thanks lelia, if the header row is on 2 rows then how to write on every page in printing. Excel just allow one row not two rows

Stumbled onto something interesting. The headers to repeat do not need to be within the print range, just on the same worksheet. Not sure how I would use this, though
