In this tutorial I'll show you how you can do a mail merge with pdf attachments. We'll send personalized emails to multiple recipients with their own attachment. Best part is, we'll be sending the emails directly from Excel - without VBA, AND no Add-Ins required!
We'll use Power Automate to send each person a customized email message together with their respective attachment. We can trigger the event directly from Excel. Because we setup a flow to get this done, we can define bcc, cc, the reply to email address and a lot more options. You can also send multiple attachments with Power Automate.
đ„ What You'll Learn:
- Setting Up Excel File: Organize your data in Excel with names, emails, and corresponding file names.
- Using Power Automate: Navigate Power Automate to create a flow that triggers from Excel.
- Selecting Data in Excel: Understand how to select rows in Excel to initiate the flow.
- Customizing the Flow: Tailor the flow to loop through files, match file names, and send emails.
- Sending Personalized Emails: Configure Power Automate to send custom emails with the correct attachments.
- Testing and Execution: Learn how to test and execute the flow successfully.
đ Why Watch This Video:
- Perfect for Excel users who regularly communicate with multiple contacts.
- Essential for professionals seeking efficient ways to automate repetitive tasks.
- Great for those who want to leverage Power Automate for Excel-based tasks.

I cannot thank you enough for this video - this is probably the 10th video I have watched to try this exact thing and none of the others made any sense or provided the steps clearly enough to replicate. You have saved me hours of busy work every month. Great video - thank you!
I am really impressed with your ability to deliver concepts with clarity...Great Job Leila !
Hi Leila, this video has been a game changer for me and my team. We had successfully delivered accurate year end statements for all employees. The whole process was touchless and seamless. We are super grateful for thinking of such a user scenario and coming up with an amazing video. Thank you!
Now this is a game changer. I donât think I was able to figure this out ever with mail merges so thank you for sharing this :)
Most welcome, Tyler.
@@LeilaGharani Hi I was wondering if I want to send emails with CC how do I include this in excel, if I want to send two different pdf attachments can I just create another column. Can I have it 'rescheduled' but I have to actually hit send incised there are weeks I don't need to send reports.. I'm really nervous about sending incorrect reports to wrong clients re;confidentiality but so tired of typing and sending 15 emails each week.. has to be an easier solution? Would appreciate any help p.s have referred to your videos re: data analysis and power bi very useful. Thanks again
Excellent Tutorial. I had to send 39 emails all with different attachments and this saved me a lot of time. I did not even test my flow and it worked in the first run (no recommended).
Thank you!
Wow...amazing! No VBA and no add-ins! Thanks, Leila!
Thank you leila, was fed up of using add in from external parties and now this changes things. The way you explained made it much easier,
Thank you đ
Hi Leila, I am using Power Automate to run an automatic approval flow. I get notified by email whenever approvers approve or reject. Apart from getting email evidence of approval, Power Automate keeps record of approvals as well. Approval flows are a specific chapter within Power Automate with lots of possibilities and combinations. There are many things you can do without writing a single line of code, but if you know some JSON basics you can become the Power Automate hero of your company (this is one of my future learning activities). Great video đ Thanks for sharing.
This is genius!!! I've been waiting for something like this. It looks a bit complicated to set up but once it's there it will be super useful. Thank you!!!!! When you're emailing 100+ students with different files. Heck yeah!
Have you figured out how to leverage Power Automate to send your students their individual files with Power Automate? I ran into a wall with my Flow as per the video, and wanted to see how you got on? In my case, i've got 156x attachments to send, but this Flow can't handle so many.
@@enuarurutini Sadly no.. I really wanted to try however my organisation has disallowed the microsoft store and addons so unfortunately couldn't even install it. Requisition attempts also failed because everyone is a dinosaur. Am sadly stuck with using an old macro which doesn't allow to differentiate different attachments but at least lets me open 20+ individual emails already addressed and subjected... i think there's a method to add different attachments per email as well but my VBA isn't good enough to alter it unfortunately... D: i hope you find something though!

Hi L. I think that was good. The application that I have is automating a complex quoting system using Excel - this part really does speed stuff up. I need to set it up and dedicate some time do so - convinced it will be worth it - It is the kind of thing that will be a worthwhile slog - I think. Thanks for doing this.

Amazing. Clear and helpful and it works! This video alone will have massive positive impact on the efficiency of my company. I noticed that I had to turn of the "New Designer" to prevent the end result from sending blank pdfs. Not sure what was causing that, but going to the old designer fixed it. Thanks so much!
Thank you for sharing this!
Grazie mille form Italy! You really are a life saver.

Glad you liked it.
You rockđŻ
This is new to me and I will try it as I send many mail merged documents every year.
Hi Leila, thank you for this fantastic tutorial. FOR THE VIEWERS: I found that the limit is 20 for each batch, so try to select (this version only sends to the selected rows) 20 for each set until you complete your whole list. You can see the sent ones in your sent box. I have used an alternative email address to send from, which also worked. (It was a shared inbox) Thank you.
Hi @semiheser did you find a way to remove the limit? @leila could you suggest a way out?
Looking for a similar answer. I tried to do something similar through share point to see if it could go beyond the limit but failed. I have 1800 emails to send out next week hoping to bypass the loop limit
@@jakehenry501 let me know if you find a way, mine is around 300 but still
@@rolandoamirmirabalhinojosa7091 wow how you can do that..? i still stuck with the limit = 20
Think someone put a comment about this on another video on power automate mail merge - the video with Kevin stratvert! @@rolandoamirmirabalhinojosa7091
Great video, thanks! Having problems in the final step with getting the attachment using SMTP connection (unable to use Outlook 365). The fields are different for the dynamic content. Any tips on this would be helpful.
Just amazing
Today you look stunning. And thanks for new tips. Is excellent.
I was doing this from VBA, but this is a game changer :)
Hope it will come in handy for you, Marko.
