These are just a few not-so-secret tricks I've picked up working with InDesign for the past ten years. Hopefully, you'll be able to use these to save time the next time you're working on a multi-page document. Here's what we're going to cover in a nutshell:
00:00 - Overview
02:35 - Grids and Masters
06:25 - Type Styles
11:09 - Color Swatches
Side note: if you're one of those people who love using Illustrator, but haven't broken into InDesign yet (or don't see the point of it), this video is perfect for you.
But first: design systems. We're not going to go too deep here, but a design system outlines the rules, patterns, and elements that are used to make something look like it should. At its most simple level, a design system outlines basic patterns like color use, typography, and the way you use the space available.
When these patterns are established, it's really tedious to keep entering in the right settings in our design software. When I was using illustrator for most of my layouts, I'd always copy and paste blocks of type just to keep the formatting in place - who does that now?
Lucky for us, InDesign has fantastic features that help us automate the process of creating, using, and updating design systems.
Today we're going to be working on the Pebble Coffee Style Guide - Pebble is a fictional brand that I created (I love coffee). I've already established the bones of a design system here in this document that we're going to edit today.
I'm going to walk you through the process of adapting this style guide to a new brand or reformatting it to fit a pretty significant brand shift. This template file is over 100 pages long, and every page has actual copy on it (not filler text). So if we were going to update the design without a design system and reusable elements in place, it would take forever: it'd be like creating a new document.
Whenever I start something new, I always begin with the bones: the grid. Lets' go ahead and make the grids and guides visible in our template. I have that set to one of the buttons on my mouse, but you can use Command + ? to show them on your keyboard. Notice how our type area is nicely off-center to accommodate the page number? Well, let's say we want to get rid of that and have equal margins all the way around.
Now, pages can have their own grid systems in InDesign, but I prefer to work with masters for grids because you can apply masters to any page, and make big changes to multiple pages at once. Once you drag a master onto a page, all of its elements are applied on-page, and overrides the page content. You can tell if a page has a master assigned because it'll have a little letter flag on its thumbnail. That letter corresponds with the right master above.
So if I go up to our masters pane, you can see that I have a few dedicated to grids. I like nesting my masters as well, so you can see I've applied the A-Grids master to the ones with mouse type headers. It's a master... applied to a master... that gets applied to pages. Welcome to the matrix.
Obviously, we want to edit our grid, so let's double click into the XX master. You can see it's a blank page, with a solid color background, and it has our embedded grid.
As you can see, we have completely transformed the overall look and feel of this document by using the design system features built right into InDesign. 103 pages completely done in just a few hours. If you didn't love InDesign before, you'd love it after this project.
I hope this has been helpful for all you people who are staring down the barrel of a long document project. If you have any other tips about working with design systems in InDesign, I'd love to hear them. Put them in the comment section below - or just say hi! I'll be stalking the comments, as always.

This 15min video just taught me more than my 3-year degree
definitely and design school doesn't teach software
Thanks so much!
25 years in the biz here....been using InDesign since v.1 and before that...QuarkXpress and PageMaker. These are the types of shortcuts and tools I am always shocked that young designers arent learning! So glad you are showing this. You can be the most kick ass designer on the planet but if you don't have streamlined processes and procedures like the ones shown here that increase efficiency I fully believe you will not make it very far in this field.
Indesign is complicated but when you start understanding the basics, it's nothing but a smooth ride after that.
Indesign was and still is one of the weapon of choice to rule them all. Before sketch and figma cool guys used to use it for complex web design systems too.
Really?! I never did that but I did use placed/embedded photoshop files as symbols hehe
TOTALLY TRUE Anton! I remember when I was asked to do a complex UI/UX using only InDesign, which I consider a very underused and underrated software for creating this type of projects, including the audio and video. I'm currently developing a planetary interactive ePub for children using this masterful software! This was the result inspired by the main menu on the Chronicles of Riddick Xbox game and and the feel of an Alien aircraft.

Love the LOTR reference and I am đŻ with you. I donât know what I would do without InDesign honestly.
Not as fancy as the honeycomb presentation, but my first portfolio, back in the day, 2009, was made in InDesign. I did a printed version and a digital version, with a small capacity for UI...

7:37 this is a really cool tip, having an overview of all the different styles makes it so much easier to edit them.
Thanks!
Been using InDesign to create client style guides and design systems for over 10 years too. Other designers kept telling me to use other software... then when I showed them a full brand reference manual with exported digital assets in html and css for online use, they begged me to show them how to create one!
InDesign is LIFE!
Boom
This was amazing Ben! I learned quite a few new tricks here I had no clue about.
awesome! Thank you! I need these "systems." Helps so much with workflow and effeciency.
Damn! I've used inDesign for years, and I usually do it per page, which is frustrating. You, Sir Ben Burns, have helped me a lot in these master grids and color swatches. I sincerely thank you for that.
Right on! So glad to have helped.
I love Ben's humor so much. It makes learning the technical stuff bearable and worthwhile. Thank you for this Ben Burns! :)
This is a great piece of content, I love stuff that makes lifeâs easier, thank you!
Adobe InDesign is my favorite CC program. I love what you said about Illustrator and how much more efficient InDesign is! Thatâs what Iâve been telling other designers đItâs funny because I see designers using Photoshop as well for type but then it looks pixelated. Thanks for the tutorial!
I think itâs just a comfort thing. Itâs comfy to use the program you know. But itâs so much more efficient to use the right tool
LONG LIVE InDesign! Masterful software! Thanks for sharing these superb and useful techniques Ben!
ALL HAIL INDESIGN!
THIS IS THE EXACT VIDEO I NEEDED TO SEE TODAY đ
The Futur to the rescue once again! Thanks Ben! đ
Excellent!
This video made me realise how much I (and many others) underappreciated Indesign. Definitely going to make more use of it for future projects, no pun intended!
So informative, thank you Ben! Just started using Indesign after intensive Illustrator and Photoshop sessions and now it's starting to all make sense đ
Thank you so much Mr. Burns ! I hope there will be more Indesign tutorials!
We have just started to get to grips with using InDesign and are finding it very intuitive. These tips on style and formatting will come in handy for some of our future projects. Being able to view all of your typography styles on one page is a great way to see what you are working with. Your advice around this will save a lot of time and will help with our design process.
Wish I had this tutorial 10 years ago... just amazing!
Thank you! I just clearly understood the great differences between Illustrator and Indesign. The last one offers so MANY productivity features!
This video is AMAZING, it really MADE MY DAY
Great tips! Thanks Ben!
I find this is very inspiring. Thank you very much for sharing this! See you in the next videos!
I got into InDesign over the past year now and while it was a bit of learning curve, I can say InDesign is bae.
100% agree
Love your content! Thank you so much for the amazing quality of your tutorials
Thank you!
Sweeeeeeeet video! I may just need that style guide kit!!! Thanks for this beauty!
Love your every single word. Awesome đ
Love this Video. Super Helpful
Thanks for sharing your knowledge.
I think this is my first time seeing Ben without a cap
Great video, my InDesign skills just got a lot better
Quarantine style
Thank you for sharing! I love it!!!
Thanks so much for this well of goodies. Been enjoying the Style Guide Kit so much!
Right on! thanks Alex
I'm one of those people who only used Illustrator for layouts and was afraid of using InDesign, but I've been using InDesign for my post-grad job since we are working on a 100+ page report. Man, I've been missing out! InDesign makes creating layouts very easy once you get the hang of it. To anyone hesitant to try InDesign, it's really not hard to get used to it once you put some time into it. Great video! Very useful tips!
Saaaaame. I was really confused about Indesign for a while but when I figured it out, no way I was going back
Amazing job!
Bought them đ€, this is going to be amazing.
Thanks for sharing!
I learned this in my first job doing annual reports. Those paragraph styles are magic, but I loved how this video explained the more in detail and how exactly they work. Definitely picking up the guide.
Awesome, thanks so much!
It's like you guys read my mind. I was looking for this!
Thanks!
THANK YOU FOR THIS!!!!
Watching, learning and enjoying from Guatemala!!!!
this is extremely helpful thank you!
InDesign is very powerful. Thanks for the insight Ben!
Thank you for the video!
love this! I've made three books on indesign, so I'm no stranger to the software. But I still managed to learn some new tips from it
Awesome! I saw your tweet as well thank you
As always you and The Futur continue to put out some of the best content available for creatives on youtube, and sell some of the best resources available on the market!
Right on, Travis! Thanks so much for the endorsement!
Thanks man, I'm currently looking to start a project, which needs exactly this!
Game changer! You saved a lot of time for us.
Changing the game
Thank you, that was very informative đ
I love InDesign - glad to see someone talk about it since so many designers hate it.
Also great for menus and anything with lots of hierarchy challenges.
It gets a lot of hate because it's not understood.
Very useful tips, often forget to set up style sheets and just copy and paste the text box from one page to another.
Thank you for sharing :)
Time saving tips!!!!! Thanks đ
Thank you Camila!
Good tip! đ I have been working with master pages, color palettes and paragraph styles for years. Which is also very interesting to explain styles for the âtable of nu contentsâ. Especially for magazines and brochures with an extensive index. Here you can also incorporate the styles. Succes guys!
another great video! Thank you ben and the futur
Thanks Alfie
God bless you for doing this video, man!!
thank you sm for this video :)
Ben is really good at teaching tbh
Thank you so much for sharing
Thanks!
You're a God! one love. And Thank You!
keep them coming
Thanks so much!
This is awesome! I wish I could see more Indesign tips in futur.
I may add more - any specific questions?
Missed you Ben....I hit that "like" button before even watching
Thanks man! Missed you too
This video is awesome, specially for those who likes to do everything on Photoshop. There are wonderful tools out there, InDesign is one of them.
Thank you! And absolutely agree.
Hi, thank you for sharing your knowledge!!!
Thanks for watching, Sam!
You are the beast, thank you so much.
Thanks!
Hi, Its very nice video and your great help
Don't forget about the TOC too, now that everyone is online due to COVID having a linked TOC is a must!
This is a nice kit to have, only thing I changed was resetting the guides as once the margins were changed the guides in your doc shifted.
Damn, this is the video I never knew I needed. I used to use boxes to keep spacing the same! I dread to think how much time I have wasted. Thanks for making this video!
hehe yep, same. And thank you!
me too
Great video. Love using it in xd and pairing it with zero-height - clients love it
xd?
Amazing Video. Buying this template!
Awesome, thank you!
omg why haven't I thought about making a typography master for my own reference? i mean.. a non-designer won't see it unless they dive into the native and even then who is going to dig into the master unless they're that curious or need to? i.. i am speechless. OF COURSE. OF COURSE IT MAKES SENSE. EUREKA.
MOAR CAPS. I'm so mad I didn't know some of these tips before.
Thank you
I have made so many brand guidelines with illustrator with this I'm getting tempted to use Indesign
DO IT
Hi, you can use a new feature called "adjust layout" instead of tweaking the elements of each page. The elements stay snapped to the grid. In case doesn't works it gives you at least a starting point. Thanks for the video. I always create my guidelines in inDesign and i was wondering why people don't use it. Thanks for clarifying that i appreciate.
Oooo Awesome!
Well InDesign is a Layout Software, it can actually go even deeper, but I never got past the things he already explained. Too bad our Type teacher was sooo boooring back in the day so most of the things you learn in time comes from experience. Love the things he explained, this is a must know thing in Indesign for long Documents.
Aww thanks! I never found a reason to go deeper into the InDesign features, but Iâm sure thereâs more
Another good benefit for Paragraph Style is to make Table of contents
This is very helpful , i really don't know about these features. Here comes mr. Ben burns to the rescue.. Thankyou sir đđđ»
I love how he talks like giving advice and not lecturing about how bad we used to do things.
I also use master pages to draw shapes and layouts for testing composition and setting up templates
Thanks
You guys donât miss!! Got it on pre-order first notice. My only question is this:
When creating docs like this, do you start defining constraints (colors, type scale, etc.) right away? Or do you create a skeleton layout (s) with your bases off an art direction, then turn that into the definitive style guide? Thanks!
Thanks for sharing!
7:38 I also do a "cheat sheet" for CSS styles to see how they all look in one page
Yep, bingo
This video was awesome! I am gonna use more master pages, that's a great tip. InDesign is my number one tool. I draw in Illustrator, edit photos in Photoshop then I put the project together in InDesign. I love it. Unfortunately the praragraph and character style often have bugs but it still a good feature.
I worried about bugs too, but found that a lot of them were user error hehe
â@@mrbenburns Yes, I am sure :))) and with the typo style master page easily can be fixed. Genius!
I remember when InDesign first came out. I was STOKED. It was like combining QuarkXPress with Illustrator. Thanks for the quick vid! Do one on Pagemaker! (Kidding)
Haha Iâm excited to announce our next series: Quark tutorials!
@@mrbenburns quark AND pagemaker jokes!? amazing lol
Hahaha thanks a bunch.
For anyone that needs to design publications, pdf presentations, menus for print, and multi-page documents; InDesign is your best friend - It is made for handling huge files, and typesetting extensive documents.
If you prefer to make any of those in illustrator, you're genuinely using the programs wrong. Illustrator's not made for multi-page documents and could drain the power of your computer, easily.
# What is a Design System?
> A collection of visual rules, patterns, and graphic elements.
## Most Basic Level of Pattern Layout
- Hues
- Typography
- The way you use the space available
# Wisdom in Passing
- When working with grids its best to create them it the master pages
- The master page will override the content on the page
- Save the format for all typefaces in "Paragraph Styles"
## Most Basic Level of Pattern Layout
- Hues
- Typography
- The way you use the space available
# How to Change Body Text
1. If the company wants a more classic typeface other the one we used.
2. Pick your font to time new roman and make some adjustments You edit one Block of text
3. Then you use this to overrides the Body Text Paragraph style. Any block with the same style will auto-update.
4. To-do so... Right Click on the paragraph style and click "Redefine Style"
5. Boom-Yah done
"...You can edit the style directly... But I like to play with things on page...Because I'll know what it's going to look like."
## Tips
- It might look ugly, but put all your text styles on one page so if you need to update, you can just do it all in one place instead of running all over the place to do the #How to Change BodyText trick
# Colors!
## Wisdom in passing
- Save your entire document as local swatches
-
## Setting our new hues
1. We want to edit the swatches directly on the page
2. You can do this by placing your new swatches on your page
3. Write click on the swatch in the swatches side menu
4. Click on to swatch options to bring up that small window
5. You can copy and paste hex code or using the eye doper tool in that small menu to get the new color
6. Everything with the same swatch should update
Wouldn't it be a good idea to ON layout adjustment tab so all the content pages will adjust itself snapping to the margin? In that case you may not need to adjust individual elements in each page.
very nice video thank you , can you show us how to design more than one master page and use them
Tks Ben! do you have some tricks for a large Product Catalogue? I suppose I shall use this design system there as well? sorry, I'm struggling making the product pages layout, because I have products with more or fewer details :(
This was great. I like your communication style as well. Also, now that I have a beard, we look alike. Bonus!
Beard bros!
I think I will be using this video if I ever have to work with someone fresh out of college. I find that too many people don't understand the importance of masters and styles.
Any reason why you have the 6pt baseline shift on 07 - Heading 4?
can you share the grid(guide system guidelines) for different book sizes, say A3, A4, A5 and what's the margin, column width and gutter width?
The script
www.bepxlagency.be/thebookcalculator/script/TheBookCalculator_MarginsCalculator.zip
Yet to explore InDesign. It looks so daunting but since I do a lot of docs for my company now, it's necessary to explore it.
You won't look back - using the right tool for the job makes things so much easier.
"It's a master...applied to the master...that gets applied to the pages. Welcome to the Matrix." LOL
Super nerdy, but it works hehe
I use InDesign for the overall guide but I use XD for the web because developers can snag CSS code and download assets into any format and pixel density scale.
100% canât use anything else for digital
Love your videos. Quick question though...how do you come up with your layouts?
Lots of scrolling Dribbble, Pinterest, and reading design books. It all goes in the compost heap, and then out grows the layout.
Loved this. I always use indesign for magazines, brochure etc. helps a lot in large documents. I would love to purchase the style guide, do we have a sale or something in near futur?
Right now, everything is reduced in response to the COVID pandemic - go check it out :)
@@mrbenburns ok thank you so much.
There's gold dripping off the corner of this video onto my table... Anyone else experiencing the same?! đđ
hahaha thanks man
A nice thing to learn in InDesign is GREP-styles. It can save you a ton of time and automate a lot of text editing. It's really powerful.
Second that
What song is in section 3 (type styles)?
what page format is he using? I like the with of it. But I don't know if it is handy to print...
