Great video, Reza. One neat little enhancement I found (through trial and error) was that if you want to pre-select "Approve" or "Reject", you can append "&Response=Approve" (for Approve, obviously) - without the quotes - to the end of the response URL. This would let you create separate "Approve" and "Reject" buttons in the app. I've also tried using this technique to pre-fill the Comments field, but have not found the correct URL parameter to use. One of the other outputs of the "Create an approval" action is an adaptive card. It'd be great if that could be opened directly in Power Apps (to avoid sending the approver off to another website). That may be possible with a component?

Pro tip: if you’re only within Sharepoint and haven’t got a Powerapp and want to avoid people changing the approval status in by hand, create a calculated column referencing the status column (=status) and hide the initial field in the form. Tada: you’ll have a greyed out status column which can only be set by powerautomate!

You can even launch the approval and pre-set the approval decision by using &response=Approve or &response=Reject in the approval link (One of my wonderful subscribers got this to my notice)
We have an intern starting next week and I needed a project that was valuable but not critical for the intern to work on. I am going to use your idea to create the ability to monitor workflow status and what approval step the item is on in a graphical way. This way I have a nice project for the intern that will provide value to our company. In my normal capacity and workload, I would have had to do this on my own time. Thank you for a great idea Reza!
Reza, your videos are incredible! - I'm really looking for some additional help, and I don't know how to get it so I figured I'd just post here and see what happens. I'm looking to create something like this below, however I can't find the right video that addresses the specific needs of my organization. For us, I need to create something like this except when a user is making the request, there are approximately 8 different types of documents (Work Instructions, SOP's, etc.), and each document type has different approvers required. The next level of complication is that each document type doesn't always require the same types of approvers. Our contract is broken down into 3 parts really, the ABC side, the DEF side, and the XYZ side (to keep it simple). Let's say Bob creates a Work instruction, ready for review. Right off the bat, approver 1 is required. Then Bob needs to make the determination of whether this affects the ABC Group (approver 2), or the DEF group (Approver 3), or the contract as a whole (which then also needs Approver 4 also). So, a Work Instruction requires between 1-4 approvers each time, and the next document type is the same in that it can also require between 1-4 (Ish) approvers. This is my struggle. I don't know how to build something like that and then add it into some nice App interface like you have here. Any way you can help? I spend every night currently combing through videos trying to find something like that but no luck anywhere. I envision a Request form that has a CHOOSE field with the different document types, then it asks which groups this document affects (ABC, DEF, or XYZ) and the customer can select as many of those 3 groups that he wants, to include all 3, and those then determine which approvers are required. HELP PLZ!

There are some great groups of high level folks that are just getting into the Power Apps/Power Automate world and I'm sure many of them would love to see a video like this. Fantastic tutorial, as a beginner its easy to follow, can you add how to create the leave requests in a company calendar and how we can show different staff with different vacation day totals, eg they started halfway through the year or have extra days from service time in the company?

Most welcome! Canceling flow is not an out of the box option. You would need to query inbuilt approval Dataverse tables to cancel the approval flow which would in turn require all power app users to have a premium license.
Yes, get it. Can we use the same way as the approve or reject, we launch a URL sending parameters to open the slide and let the requester cancel the requester.

Hi Reza, your content and knowledge on PA is great! We do have a case where we are using Approvals in Flows, but for Dynamics 365 CRM. We have a case where user wants to bulk approve or reject their assigned approvals requests. Do you have any content on it? or if flows provide any API to update approval request (cant do from Dataverse as its the part of managed solution)
I don’t believe there is any option for bulk approvals. Approval info is stored in Dataverse. There would be some option to update the approval tables but this is not something I have tried or looked into. Looks like your are deploying the application in an environment that has no database provisioned. Flow approvals requires a database in the environment. Ask your environment admin to create one or import this application in the default environment.

Hello Reza, I would like to ask you if it is possible to create approval flow in Power Automate of type "First to respond" and use generated links for every approver in Power Apps as approve/reject buttons, where each approver will have button with his own links (because when you use First to respond, links for approve/reject action are different for every approver). I can't store only one link in sharepoint list item and use it in power app as there will be more links generated. Thank you

This error typically means something is dependent on actions above it. You may have to remove specific dynamic content properties between actions and try moving.

It used AD connector to get manager. You can set user as manager in AD so the flow will pick it up. New M365 developer environments allow sharing apps with multiple users.

Hi Reza, thanks for your videos. Small suggestion regarding approval comments - you can activate versioning in the "Leave request" list and then activate "Append Changes to Existing Text" on the "Approval Comments" multi-line text column. Once it's done, each time you update the "Leave request" item SharePoint will append automatically timestamp and new text above the previous entries in this column. So, by doing this, there's no more need to copy approval comments from previous steps in each Power Automate update list item action block. P.S. Do you have any particular videos or articles on how to overcome the 30 days flow duration limit in order to manage automatically the long-lasting approval processes and resend approval requests ?

Actually, it can be done be doing the API call and concatenating the response results, something like this : www.c-sharpcorner.com/article/display-appended-comments-version-history-from-sharepoint-list-on-powerapps/ But for sure it's much easier just to copy the previous comments to the next update blocks in Power Automate flow.
Calling a flow to get data from Power Apps is not the most efficient method. Imagine calling a flow for each item the user visits to get the versions. Imagine scenarios where there are 100s of users simultaneously accessing the app.

In the app, add an option for user to select approvers and send those details over to flow. I do not have a specific video reference for this scenario, hence giving the idea.

Possible however it would require querying and updating Dataverse which makes the App a premium feature. Also, you would need to give App users additional access rights on the Approvals based Dataverse tables.

I have person type columns to store manager and hr approver information. I refer to the images of the person column in my gallery. I am working on a part 2 video wherein I explain the gallery design.
In Power Apps? That is showcased at the end of the video. In SharePoint, you can go to column settings and there is a setting which shows the person picture and display name.
@Reza, fantastic content. Is it possible to approve/reject the flows through REST API? Reason is, we have a Power Pages Portal and I would like to show the requests waiting for approvals for users. I want the manager to key in important details (for eg cost centre) after approve so it would be captured in the sharepointlist. Is it doable? So I have used "Get attachments", "Initialize variable", "get attachment content"', " append to array variable" this helps me to get the attachment independently in the email notifications instead of a link. You cannot get dynamic content of an action from 1 branch in another parallel branch. You would need to store that in variable so other branch can grab the value.

Looks like you are creating your flow in an environment which does not have Microsoft Dataverse database setup. You will need the database created since Approvals information is stored in Dataverse.
I am assuming you mean Microsoft Forms. It does not matter from an approval standpoint. I am working on a video on approvals with documents uploaded via Microsoft Forms.
I have not done any work on portals. No plans to include videos on that. Model-driven I plan to cover as part of my training course coming later this year.
Hey Reza, when following your steps at 12:12, I have the use case where I am using an M365 group for the approvers (instead of doing the "Get Manager" method) so multiple people could start the approval process for my flow. Given this, how would I need to update my flow to still have the same process/outcomes as yours in this video? I understand that this may not be enough info for you. Any help would be appreciated :)

Possible by connecting to Dataverse tables for approvals and modifying them from App. However this would make the App premium and ever user accessing App will need a premium license.

Awesome video! i tried to replicate the flow process my flow involves (3) approval stages in this order Dept Head, HR, Manager. Response successfully recorded for Dept head but gets stuck at HR approval with something went wrong the approval has been reassigned. can you help?

I envision a Request form that has a CHOOSE field with the different document types, then it asks which groups this document affects (ABC, DEF, or XYZ) and the customer can select as many of those 3 groups that he wants, to include all 3, and those then determine which approvers are required. As far as my complicated request goes, I've spent the last 10 years in IT supporting different agencies, and that concept made reality, and understanding it of course through one of your incredible videos, would be a real game changer in terms of supporting these agencies. A lot of people would love something like that around the folks that I support currently.
There are some great groups of high level folks that are just getting into the Power Apps/Power Automate world and I'm sure many of them would love to see a video like this.
I will say this, there's nothing out there like what I described, at least as far as I've found so far. I feel like it would be a masterpiece of a video.
If you ever want to give this thing a try, please let me know. I'd love to talk it through and again, you'd reach new levels of Greatness as far as I'm concerned as there is nothing like what I described out there currently.

Fantastic tutorial, as a beginner its easy to follow, can you add how to create the leave requests in a company calendar and how we can show different staff with different vacation day totals, eg they started halfway through the year or have extra days from service time in the company?

Canceling flow is not an out of the box option.
You would need to query inbuilt approval Dataverse tables to cancel the approval flow which would in turn require all power app users to have a premium license.

Hi Reza, your content and knowledge on PA is great! We do have a case where we are using Approvals in Flows, but for Dynamics 365 CRM. We have a case where user wants to bulk approve or reject their assigned approvals requests. Do you have any content on it? or if flows provide any API to update approval request (cant do from Dataverse as its the part of managed solution)
I don’t believe there is any option for bulk approvals.
Approval info is stored in Dataverse. There would be some option to update the approval tables but this is not something I have tried or looked into.
I would recommend checking or posting your query on forums in case someone has done something similar

Looks like your are deploying the application in an environment that has no database provisioned. Flow approvals requires a database in the environment. Ask your environment admin to create one or import this application in the default environment.

Because there are dependent actions. You cannot just move actions around if there are dependencies.

Hello Reza, I would like to ask you if it is possible to create approval flow in Power Automate of type "First to respond" and use generated links for every approver in Power Apps as approve/reject buttons, where each approver will have button with his own links (because when you use First to respond, links for approve/reject action are different for every approver). I can't store only one link in sharepoint list item and use it in power app as there will be more links generated. Thank you

This error typically means something is dependent on actions above it. You may have to remove specific dynamic content properties between actions and try moving.

It used AD connector to get manager. You can set user as manager in AD so the flow will pick it up. New M365 developer environments allow sharing apps with multiple users.

Hi Reza, thanks for your videos.
Small suggestion regarding approval comments - you can activate versioning in the "Leave request" list and then activate "Append Changes to Existing Text" on the "Approval Comments" multi-line text column.
Once it's done, each time you update the "Leave request" item SharePoint will append automatically timestamp and new text above the previous entries in this column.
So, by doing this, there's no more need to copy approval comments from previous steps in each Power Automate update list item action block.
P.S. Do you have any particular videos or articles on how to overcome the 30 days flow duration limit in order to manage automatically the long-lasting approval processes and resend approval requests ?

Actually, it can be done be doing the API call and concatenating the response results, something like this :

But for sure it's much easier just to copy the previous comments to the next update blocks in Power Automate flow.
Calling a flow to get data from Power Apps is not the most efficient method. Imagine calling a flow for each item the user visits to get the versions. Imagine scenarios where there are 100s of users simultaneously accessing the app.

Hello Reza, so how would we structure the flow if we wanted to allow the user to choose the approvers within their form rather than by using the “Get Manager” step?
In the app, add an option for user to select approvers and send those details over to flow. I do not have a specific video

Possible however it would require querying and updating Dataverse which makes the App a premium feature.
Also, you would need to give App users additional access rights on the Approvals based Dataverse tables.

Im assuming you mean the data cards on form control in Power apps. You have full flexibility there.

I want the manager to key in important details (for eg cost centre) after approve so it would be captured in the sharepointlist. Is it doable? Can easily be done. You can send the attachments either as list item attachments or an independent one.

So I have used "Get attachments", "Initialize variable", "get attachment content"', " append to array variable" this helps me to get the attachment independently in the email notifications instead of a link. You cannot get dynamic content of an action from 1 branch in another parallel branch. You would need to store that in variable so other branch can grab the value.

Looks like you are creating your flow in an environment which does not have Microsoft Dataverse database setup. You will need the database created since Approvals information is stored in Dataverse.

Not possible with the approval action in flow. It will be one by one.
Hey Reza, when following your steps at 12:12, I have the use case where I am using an M365 group for the approvers (instead of doing the "Get Manager" method) so multiple people could start the approval process for my flow. Given this, how would I need to update my flow to still have the same process/outcomes as yours in this video? I understand that this may not be enough info for you. Any help would be appreciated :)

Hi Reza, awesome video, I am just having 1 problem: Around the 10:30 mark in the video, you put a link in the field ‘Approval Link’, I have ‘Approval Comments’ but missing the Link field underneath, is there something I can enable to see this field?
Approval Link is a column in the SharePoint list. It will show up in update item action in flow if column is created in SharePoint.
I have realised my mistake, I hadn’t realised the Sharepoint columns controlled the ‘Update Item’ field on Power Automate. Thank you!
Sorry another question, in Powerapps when I look at the Power Automate tab it doesn't show me flow, after a quick look on forums it suggests my flow needs to use a 'Power Apps Trigger’, I have deleted and recreated the whole flow in case I missed something but still cannot see the flow from Power Apps

Hi Reza, thanks for the tutorial! Is there any option to update the approver response directly from Power Apps? Or the only option is through the approval dashboard in Power Automate?
To update from power apps one would have to update the Approval Tables in Dataverse (not recommended) + it would make the App a premium App.
Do you have a tutorial that explains who to do this?

@@TheElementminer Because we would be modifying system tables like Approvals. If its schema changes, it could cause issues.
Hi Reza, is it possible to instead of having the approval "out of the powerapp" to be inside? so the user doesnt need to leave the app to approve?
Possible by connecting to Dataverse tables for approvals and modifying them from App.
However this would make the App premium and ever user accessing App will need a premium license.

Hi Reza, Thank you for sharing. I was trying to do this project following your video but in the last step when I try to drug the Manager Approval below the HR Approval I got error message that says it can't be drug because they depend one another. Can you please help?
If you are restructuring the workflow, you would also need to ensure that actions are not dependent upon each other.

In dynamic content, search for link and see which options show up. It may have been renamed since the time of this video.
Awesome video! i tried to replicate the flow process my flow involves (3) approval stages in this order Dept Head, HR, Manager. Response successfully recorded for Dept head but gets stuck at HR approval with something went wrong the approval has been reassigned. can you help?
