How to use a password manager with 1Password

  • Using a password manager is the number one program you need to be using if you have accounts online which all of us have! 1Password.com is the best password manager out there and this video will walk you through how it works and how to use it. This video is aimed at individuals that have never used a password manager before. 1Password has a ton of great features. As I mention in the video, I focus on 1Password in this video but just use something, it doesn't need to be 1Password, that is just my personal suggestion. Anything is better than nothing and you need to be using something!!

    Very nicely done. As a Lastpass user you hit all the highlights. I did have a couple of comments I wanted to make but I see that Mark Turner beat me to it on one of them and that was how to get to the new/changed password configuration options which you've subsequently answered. The second comment I wanted to offer as a suggestion was for those who have never used a password manager before and might feel a little intimidated or tentative about using one. I would suggest they install the password manager of choice and then pick out two or three non-critical accounts to add to their new vault and use the password manager for these accounts for a couple of weeks or however long it takes for them to familiarize themselves and get comfortable with all the different ways a password manager works without worrying about accidently messing something up. Then when they feel they've mastered the fundamentals they can then add all the rest of their accounts into their vault.

    Very nice explained indeed. Even though I used another password manager for the past few years, I was kind of confused on how to use 1 Password as it is quite different from the one I was using. However, your explanation was so simple that I now have a head start and pretty sure I will enjoy using this one. Thanks a real lot and keep it up helping others like me creating such useful content.     Hey Adam! Thanks for a great presentation of 1Password. I got answers to many of my questions and concerns. You mentioned the possibility of exporting all the saved PW to a csv file as a form of backup. Would you please show me how to do it? Thanks for a great job!!

      I love Yubikeys, you do want to make sure you have a few of them in case you lose one. I use it and then have Authy as my alternative method just in case I don't have the key with me or can't use it. I turn off SMS password recovery on any account that allows it. I also created a special email account on my web hosting that is for password recovery. Only I know the account and the password, along with how to access it. You have to go to a special link on my web server and then put in the login info to access the email account. So even if one of my email accounts is hacked you won't be able to access the recovery email account, unless of course that gets changed but I am not important enough to need to worry THAT much..lol. I figure betwene a Yubikey, Authy, and a secret recovery email account I am in pretty good shape overall! I wish banks and credit cards allowed Yubikeys as I would use that in a heartbeat on those accounts but I do use it with my email and social media accounts.

    This was such a useful video. Thank you so much. I have a question. How do I reset my multiple tv accounts for prime, Netflix Hulu, etc.
    do I have to redo all my passwords on those tvs once I change them to 1passwords suggestions? Or is there an easier way?

      You are welcome! I would do them through their websites using your phone or computer. If it’s a Roku or an Apple TV use their remote apps which will allow you to copy and paste the new password. Much easier then using the simple remotes to type in a more complex password which can be a pain!

    Thanks, Adam. Brilliant video! I do have a few more questions, though. Q1: Where and how can you change the format of your passwords i.e. number of characters, upper-lower case, etc.
    Q2: I have 240 accounts and some "Secure Notes". Does it put them in the right place (separate vaults, etc.) when you import? Q3: Any suggestions on importing the 240 accounts and secure notes (since you had to do over 300.) Any tips or things to watch for would be welcome. Thanks again for the great video and any replies to my questions.

      I just looked through the settings and there is not a way to change password settings by default that I can see, please let me know if I am missing it somewhere! When creating a new password for a site, you can click on the cogwheel in the password field and then customize it's length and if it should contain numbers and symbols. If you use the password field when setting up a new account it presets a password that is quite complex but doesn't look like you can customize it. A way around that would be, set a password it suggests and then after, go in and set it even more complex and save it.
      I found the import did a pretty good job but it was a little messy. I spent a couple of hours cleaning it up, maybe not even that long and it was well worth it once I had it organized in the way I wanted. I would keep the CSV file, do the import and if it was a disaster see if you can figure out what caused it in the csv file and try to clean it up a bit in that file. Delete everything in 1Password and try it again. That is what I ended up doing, I got it about 2/3rds of the way there by doing that then went through by hand to clean it up and make it the way I wanted.
      If there is anything else I can do to help just let me know. Overall I was quite happy with the import but it definitely wasn't perfect. I think knowing it wasn't going to be perfect would have prepped me a bit better..lol. After spending a little time each day for a couple of days I had it really nice and clean.
      Just as an aside for anyone that uses an Eero wireless system, if you subscribe to their Eero Security+ it includes the family plan of 1Password and a few other things.

    Great video-thanks Adam! 2 questions-(1) If I set up 1password on my PC, when I install the app on my phone can I simply import all the goodies to the phone? (2) Can two of us who share almost all of the same websites and logins (different emails, though), use one account or should we go for the family plan?

      Glad you found it helpful! You will sign in on any device with your account and everything will be synced. I think I have my account synced with 1 phone, 2 iPads, and 5 computers and it stay synced across all of them. You would need to both have accounts like the family plan. I created a separate vault for my wife and I and anything shared to that vault can be viewed by both of us, even when changes are made.

    Hi Adam. Great video. Your video has motivated me to go through all my current websites and update them. I do have a question. As I am going signing onto the various web site through the course of the day (say in the morning and afternoon), will I have to constantly sign into 1Password or is there a way to stay signed in for a period of time? Thanks for your help with this.

      Thank you and there is absolutely a way, it might be just a little different depending on which device you are using. Generally speaking though go into the preferences/settings for 1Password and go to Security, there are a few settings in there you can change that address how often you need to put in your password.

    Great video! Is there a way to use 1password on a sreaming box so when going to use an app on the box it can be autofilled instead of having to type manually on screen?

      Thank you and I wish there was! I luckily have an iPhone and an Apple TV so I can use my phone to enter in text which can use 1Password. If you have a Roku you can do the same on iOS or Android using the Roku Remote app and copy and paste in your login info!!

    Just watched this. makes me realize that Lastpass, stickypass (my current) and 1pass are all.. extremely similar. lol. stickypass does everything about the same, but offers a lifetime pass. (which i have!) includes a ..share system. but ! the setup is more like folders you create (and organize) so one or 10 things with one person will work ok... however the main limitation is 'admin' level pw management, so i am researching Business level, with multi admin ability pw management. (ie: the bus factor) so far 1pass 'passes' the tests in that regard. hoping to find a vid on just that aspect next. Thanks for this!!

      Thanks for mentioning StickyPass, haven't heard that one. As you mentioned, overall, they are all mostly the same with minor differences. In a business environment I don't think 1Password is the best choice but honestly I haven't looked to see what they have for that type of account.

    Hi Adam, Thank you for your clear and well-focused introduction to 1Password. If I set up 1Password on my Windows 10 PC and Android phone, and then import my passwords, secure notes, etc. from my current password program, can I just leave the old program in place, or is this going to create some kind of conflict. What should I do with my old password program while I'm getting started with 1Password?

      Glad to help!! I would keep the old account till you are 100% certain everything is in 1Password but once you are sure I would delete your account.

    Great video! Super helpful, but sadly I'm still a bit confused. I will watch it again and suspect better understanding afterwards and with working with 1Password. Here are my questions for now:
    1) I have 3 Macs, an iPhone, and an iPad. If I enter the information on one of my Macs, does it migrate over to the other devices?
    2) If I enter the info in Chrome and add the 1Password extension to Safari & Firefox, will all the passwords/information migrate over to those browsers as well?
    3) I mostly use Chrome, but I sometimes use Safari. As a consequence, I have password keychains in both, and these are interfering with my entries into 1Password. Should I just turn off or delete these keychains (I do have a fairly accurate word document of my user names/passwords) and enter the passwords manually? Or, should I create a cvs file in one or both and import it to 1Password? I fear duplicity, but I suppose I could trash the duplicates.
    4) Regarding the existing keychains...in looking...some have several passwords for the same site, as I have updated them over the years, and some are very old sites and/or passwords. How would you recommend dealing with that?
    5) I also have a few different email addresses and hence a different password for the same site in some cases. I'm assuming I can store all in 1Password, but how does 1Password differentiate them?

      So glad you found it helpful!!
      #1 - I am in the same situation, 2 MacBooks, 3 Mac Mini's, 1 Windows Desktop, 2 iPads, and my iPhone and 1Password syncs among all the devices. Honestly, all the major password managers do this. You add the password on one device and within a short period of time you will see it on the vault in all your other devices.
      #2 - Yes, I mainly use Firefox and use the extension in that browser but at times I need Chrome and Safari and it reads from your master vault so everything is synced.
      #3 - I would disable all the built-in ones and on my phone and Macs I turn of keychain for passwords and just use 1Password.
      #4 - I find the easiest way to clean things up is export all of your passwords if you can and put them into a spreadsheet. I am very visual so it made it easy to go through and find the duplicates. When I was done I imported the spreadsheet into 1Password. Doing it from within 1Password is still not too difficult. If you have multiple entries for the same account I would rename one of them so you know that is your main one and has the true password, delete all the others, then rename it back to a standard name. For example, if I had a bunch for my gmail account, I would rename it to Gmail Real Password, delete the other entries then rename it back to just Gmail.
      #5 - Absolutely, I maintain 13 gmail accounts, many are for the organizations I work in, 2 of those are my real email, one is personal and one is my work email. You can title the entry anything you want. So I call my Gmail - Work, Gmail - Personal, Gmail - MMEA for example. When you go to the site, it will pull up the full list of logins for that site and you just click on the one you want to use. Most of the time when it gets to putting in the password it is pretty good about using the one you clicked on instead of having to select it again.

    Hi Adam, thanks for this enlighting tuto and I believe I got most of it. I was most happy to learn than one can import passwords from a browser : great !! I am using Chrome and shall try it asap. However, the thing I am not totally confident with, is how to change to more secure passwords once I have completed the import from Google ? Thanks for you help. Thierry from Marseille France.

      Glad you found it helpful! I ended up going through and changing them by hand and setting up two-factor authentication for sites that allow it. When you change your password I have the password manager create the password.

    Third time through: I assume I can export the password file from Chrome or from Safari. Most of the currently used ones will be there. When you import passwords, does it look for duplicate accounts? Or do you need to go back and clean them up? I assume it is best to import them from a browser, rather than type them in one at a time. if you buy a license for 1Password, can you download the app for various browsers and use the same license for each? Can my one license work on MacOS and also on Windows 10? on different computers? Sorry for all the questions. Thanks again for an excellent video!!

      You can even have 1Password import directly from Chrome and Safari. Chrome has an export tool that will export to a CSV file, Safari you would have to import using 1Password. It won't look for duplicates on import but you can have it look for duplicate passwords which would then show duplicate accounts and quickly clean it up that way. If I recall that is how I did it with mine as my passwords were a mess! You are not limited to how many devices you can use with 1Password for your login. I have it installed on at least 10 different devices covering iOS, ChromeOS, iPadOS, macOS, and Windows 10 with no issues! No need for apology, just glad people find it helpful, now if I can just find some time to get back to recording...lol.

    Question - some sites have special password rules eg 8 long using upper/lower case chars and numbers only or 10 long using chars (at least 1 uppercase), numbers and special characters - I guess you have to enter those manually to meet the rules and add to 1Password?
    When it generates a password as a suggestion, what rules is it using ito chars and length?

      If you go into the browser extension or the app and create the new login, when you click on the password field options will popup that allow you to choose the length and a few other options.

      No problem and that is one of the drawbacks of using the built-in smart features. With a Roku and Apple TV they have remote apps and you can use the keyboard on your phone and copy and paste the username/password that way. Maybe check and see if LG has a remote app for their TV’s and if so you can do it that way.

    on my iphone how do I get the current app passwords in and change them to a 1password good password? Do I hit forgot pssword in the app and enter current password then new password hit the key and get a new one password one?

      Glad you found it helpful!! You absolutely can change your master password any time you want! Login to their website with your account. Click on your name on the top right and click on My Profile. On the left side you will see an option to change password, click on it and you can change it!!

      From my understanding there are no limits, I would say contact their support. I have close to 500 items in my vault and it is a combination of logins, notes, and attachments! They have been great the few times I’ve contacted them.

    Hi Adam,
    I am one of "those people" mentioned first up in this vid, I just cant get my head around how it works or really how to use 1Password. Also scared and intimidated of losing my old passwords and not be able to access all the important apps like banking, credit cards etc. Is there a step by step vid available or manual available . Do I have to go into all my passwords first and change them all OR will 1Password select a new password for me and then all I have to do is login with with my Master Password. As you can see I'm just not understanding the basics and am computer literate generally. Any help would be much appreciated. Regards Geoff

      No problem at all and I definitely understand!! The last thing you want is to be locked out of any of your accounts!! How do you currently have your passwords saved, are they just written down, you have them memorized because you use variations of the same thing, or does your browser just remember them for you? Once I know what you are currently doing I can definitely help ease you into the switch!!

    Adam, Great video, you are easy to listen to. I'm going to buy 1Password, just one account for now. I have hundreds of passwords collected over the past decade or so. They are on a long Excel spreadsheet, but many have been updated and marked in pencil. Many are stored in the various browsers I use, Safari, Chrome, Firefox. Most passwords are too short and many are duplicates. Many have been compromised. I really need a password manager. I assume 1Password can generate new secure passwords for each of these accounts automatically. I will need to log on to each account and do a Change Password on each account. Can 1Password generate a new secure password for each account? Probably no good way to automate this?? I've watched the video twice and learn each time. Any suggestions to make this process easier? Some passwords will need to be remembered by me, but probably not most of the accounts. I've subscribed and will watch for other videos you post. Thanks!

      Thank you and thrilled you find it helpful. What might be easiest for you is to export everything from all your browsers and put them into a large CSV file, then import into 1Password. I haven’t tried it but supposedly 1Password can update passwords for you, just can’t speak from experience on how it works. I had it analyze my passwords and just manually fixed all of my weak ones.

    When you copy a login to a new vault, and then edit the original, will the copy need to be edited also? Or will it update in all vaults?

      I haven't tried but maybe create a dummy login and try. My guess is it won't since you are basically creating a new login in your vault by copying it.

    Hi Adam,
    First time to your site..Thanks for the excellent video!! After listening(and I followed most of what you explained), and reading many of the comments from the past year, I am still confused on the actual initial steps of implementation: After I have set up the account, added the 1PW extension to Chrome, and I go to Venmo, for ex. what are the next steps? Since my login and PW are already saved in the Chrome PW vault, it autofills; does 1PW then pop-up and say? "a new 1PW substitute is offered? save?" And then the new encrypted PW is used for Venmo going forward? Is 1PW keeping my old PW " in the background? " Then each time I go to a new site(or app on phone) the same process occurs? And I never have to keep track of my old PW? OR should I first import my Passwords from the Chrome Vault? and the above process occurs as I go to each site? Finally, I then should turn off "Save PW " in Chrome, correct? I truly appreciate your guidance.

      You are very welcome! I would not use 2 password managers as that can get complicated really quick. I would either just use Google’s built-in password manager or use 1Password. If you want to use 1Password then go into Chrome’s settings, and you need to disable auto-fill for username and passwords. When I am on my laptop tomorrow I can comment on where it is exactly if you can’t find it. You should be able to search for Auto Fill in the Chrome settings and it should get you there. Once you have that turned off then you should be able to click on the username/password boxes and 1Password will take over and allow you to select your login for that website. The only thing I really wish 1Password would implement is auto fill so when it detects a login box it will just pop in the information and when you might have multiple logins it would ask you which one to use.     Great tutorial,
    How do you avoit autofill the 1password item as soon as you open the browser? This is happening with me, i think i am missing somethig , because i know i rely only on my pc password.

      @@AdamOnTech I think i found what is happening. Without realizing i was opening the app before i open the browser so that unlock the browser too. then when i was looking for the 1P website it was autofill......i did not understand untill now the once the app in the destop is unlocked then the browser extension is unlocked too.
      Your question helped me to review my steaps to open 1P and understand better how its work.

      You can definitely have multiple vaults. I have one for my work accounts and one for personal. They all show up together but are stored in their own area for organization.

    IF I have a Windows machine at home and and iphone and ipad. Do I need to purchase more than 1 Onepass?

      Not at all, if you purchase a license you can install it on as many computers/phones/tablets as you need. I have it on 3 desktops (1 Windows), a phone, and 3 tablets. All the big password managers work the same in that regards!

    Very Informative and easy to understand video. I have a question though….you seem to suggest using the feature where 1Password creates a long and difficult password for use at each site. However, you also said that for your GMail and Apple passwords, you create one of your own using a song, etc. Why not use the 1Password “suggested” password for those sites as well? (I get it that you can’t do that for the 1Password account itself!) Thanks!

      Thank you and glad you enjoyed it. Those are passwords I enter in quite a bit so it’s just easier for me. Saves me from bouncing between apps sometimes and for me it’s only 3 passwords I have to remember which is doable..lol

    Your presentation is exceptionally informative and clearly presented. However, I could suggest that you highlight your pointer in a color that is easily visible, I personally use a purple as it is very visible. Only one or two presenters use this feature, and it really does make a difference. I have not as yet downloaded 1Password, but I will after I complete watching your presentation. Thank you once again for your clear, and as I said before, very informative presentation

    Hey just getting the word out to those thinking of switching to 1Password…. Yesterday I migrated all my data from LastPass to 1Password due to the security breaches at LastPass, and because 1Password comes so highly recommended. I deleted my LastPass account upon migration of my information to 1Password.
    This morning I did a factory reset of my Macbook Air and opened Safari to log into 1Password. I entered my username and password, but it is also requesting my security key. So now I am locked out of 1Password - despite knowing my username and password - because apparently you need the security key to log into 1 Password after you reset your Mac.
    I can't access any of my email accounts today. I had appointments booked on online platforms I can’t access. I am missing work. I can’t even communicate with anyone about why I'm missing work, because I’m unable to get into ANY accounts.
    I just think consumers should be aware of these kinds of issues and big companies usually drown out consumer complaints.

    Two problems I see is when adding a new pw for a website, there is no password configuration option, only the suggested password. Different websites require different pw criteria. Second problem is I don't see any easy way to Launch a webpage from the Vault. So when I go to the vault and search for a website, there should be a Launch button of some sort that would just go to the website and log me in. Am I missing something here?

      I wish they made a little dropdown in the password box field where you can configure the settings for length, strength, etc. However, a trick I usually do is to click on the 1Password extension icon in my browser, create new item, and in that password field it gives all those options, save it, then I just fill them into the new site registration. It can be all done right in the browser extension without leaving the page. In your password when you search for a website, click on the link in the item in your vault and it will take you right to the webpage, it will do the same in the extension. In the settings you can also customize what browser it uses to open.

      I would imagine you would lost access but not 100% sure, one reason I would do an export and keep it in a VERY safe place so if something happens at least you have that CSV file backup!!

      Hey, you can use it as a 2FA but not as the main login. You will always need the password, at least for now. Logging in on a new device actually needs the password and a unique code that is generated when you create your 1Password account, then the security key is in addition so it really makes it hard as you need so much info.

      I assume you are meaning will your passwords sync between multiple devices, if so then absolutely. I have 1Password installed on 2 MacBook Pros, a couple of virtual machines, 2 Windows desktops, 2 iPads, 3 mac Minis, and my iPhone and everything syncs quickly between all the devices.

    I am currently on a 50%-off first year subscription to 1Password. I am also using Bitwarden free.
    I really like 1Password, but the browser extension (Chrome) has issues with certain websites when trying to auto-fill my login/pw credentials (Epic Games, for example). Also, nearly $40/yr for the regular-price subscription seems a bit steep, in my opinion. $20 is fair. Bitwarden's $10 subscription does nearly everything I want, and in my experience, does better with web auto-fill. 1Password's Secret Key is pretty great, although care must be taken never to lose it (starting with making sure more than one device is registered with the service). Nested tags is cool, too. Custom Field support is a must, and 1Password delivers there, too. The extension is quick and easy to use. In all, there's no good reason not to use their service, except for the price, and having to copy/paste on sites where auto-fill is buggy or non-functional.

      Absolutely, there are definitely some really good options out there, top 3 in my opinion is 1Password, Bitwarden, and last...I mean Dashlane..lol. Any of those 3 are rock solid, just find what best fits your needs. I have Eero for my home network so 1Password is included in the premium subscription which keeps it simple. I still don't mind the $40 as it is probably one of my most used apps.

    I was on my son's 1password account until he stopped using it. I purchased it for myself but can't figure out how to get rid of his license and add mine. Plus his was an older version and when I downloaded the new version with a new master password I can't figure out how to change it on my other devices. 1Password on my phone won't unlock with my old or new password. I hope I made this clear enough.

      I am so picky with my DAW’s and editors, I tend to just use LogicPro because I already have it but honestly I don’t do a ton with a DAW. I mainly use an audio editor and for me I use Adobe Audition. I would love to get off of it as I have replaced Photoshop and Lightroom but just can’t find a replacement for Audition. I have used it since it was Cool Edit Pro way back in the 90’s so I am just comfortable with it. I usually don’t work with multi-track recordings which is why I stick with Audition as I mainly clean up and process single track audio.

    Adam, this is very helpful. However, I am having a difficult time, I'll get the 1password to autofill in my browser and it will sign into my account just fine, but then when I move to the app on my iphone, it won't accept the username and/or the password for the same thing (i.e. Chase bank or fidelity). This has now happened to me on two different websites/apps and now I can't access these apps at all. It keeps rejecting the input. Any ideas?

      Try to copy and paste it in to see if it works, if it does something is up with the app and I would just contact support as they have been great! If it still doesn’t work view the password on your phone to make sure it matches the password on your desktop, it might be a sync issue. Let me know what you see when you compare!!

    The browser autofill feature is great. But what happens if I use it to fill in my banking credentials, and my laptop is stolen? If it's unlocked, the thief will be able to access my bank account and sensitive data on other sites where I use the autofill feature, without even knowing the passwords.

      You can set it where every time you open your browser you have to re-login. It's a little bit of a pain but works well. I do that on a few of my office computers. When I close the browser it will have you login again when you open it up next time. They give you a lot of control.

      You can also have it time out after X minutes. This is also where the issue gets tricky that I've mentioned between convenience and good security and you just have to find the balance that works for you. It's going to be different for each of us but at least most of the good password managers give you options.

      Basically what I would do is use the suggestion that the password manager you use suggests, then you don't need to worry about it. The easiest way to change it is go directly to the website that has the weak password, login, go to your account, change it and have the password manager create the password. Just make sure you save it into your password manager. I've made that mistake before...lol.

    Adam, my apologies, but after watching the video--and taking notes, I was still highly confused about adding my current web sites, passwords, and then accessing them. Too frustrated now to go back and watch the video again. My sense, from a learning sense, is that the video contained too much background content, and not enough step-by-step "Here's how to get your passwords into 1Password." All the separate vaults, family plans, etc., etc., confused the matter for me.

      @@AdamOnTech Thanks for the reply. My current passwords are stored on an Excel sheet on my laptop. (I know this is NOT a good idea.) Some passwords have been linked with Keychain--in a random manner. As I designer, I am fluent in Adobe Illustrator and InDesign, but all the technical stuff is patched together. If I could, I would just hire someone to manage that for me.
