- Microsoft Forms has come ready handy since the global pandemic. Organizations can digitize data collection - from hard copy form to Microsoft Forms.
Having your data in a digitized form comes with several advantages. You are able to run real-time analysis on the data, you are able to use data as input to already automated processes, and many more.
The major challenge that has often been faced with the use of Microsoft Form is that people outside your organization cannot upload a file when filling out Microsoft Forms. This has been raised through the Microsoft customer voice platform but nothing has been done yet neither is it in the release pipeline for 2021.
What is a viable way to work around this limitation? Join me at this live session as I show you how to leverage Power Automate, OneDrive for Business, and Microsoft Forms to automate Forms administration and uploading of files.

Fantastic video. Thanks for sharing. This is a lifesaver!
Fantastic video, very glad to have picked this one to show me how to get around that issue with Forms!
Solution that doesn't look unprofessional to the end user, and doesn't really take too much work to implement.
Mr Ola still saving lives!Thanks!
Thank you very much for this amazing presentation. It was really helpful.
This was explained so well, thank you so much :)
Glad you found it helpful
Thank you! That is what i need!🎉
Hi, thanks for sharing that, one question: In case you need to create an application form where you request, for each candidature, to upload more files, not just one. Do I need to create as many folders as my documents candidature has to upload?
Hi great explanation, thank you so much. 1 question though, how do you prevent guest users from uploading more than 1 file - i.e if it was an assignment request link
Awesome Instruction Video, thank you, it helped me alot :)
Great Video, thank you.
Thanks great video!! a question: based your steps (Forms+Sharepoint+Powerautomate) how i can change the prefix file name uploaded (Not Firstname, Lastname)? Have you idea?
Helped me quite abit !
Well explained.
Great job on the explanation
Nice i Really Enjoy it and it helps me a lot thanks
Glad you found it helpful
Thanks Ola, I had to come back here
Thanks bro
question, the questions you put on forms & files be the same?
Hello Sir, Thanks for this video but I Would Like to know if it possible in the same Power Automate Flow Upload this file or files to the SharePoint List
Thanks
Hi, how do you allow uploads from external if you don’t have admin privileges 😮
Hi! I hope you can answer me with this. I just like to ask, do they need a microsoft office account first before they can answer the form? or Gmail will do? Thank you.
Hi Emma,
Thank you for your question.
Gmail or any email provider will do
Big Big Big
I cannot see Request Files option on the menu even though I am the Global SP admin.
Hi udaboroma, I showed how to turn this on in the 14th minutes of the video. You will need to be a SharePoint admin to do this and since you are one, kindly follow the instruction.
Do let me know if it didn't work.
if we are getting several responses how can we link the specific cv with it form submitted. is there any way to link the list to the cv directy?
You can pass the instructions for them to use their name as submitted on the form while uploading the file.
You can set a flow that gets triggered when a new file is uploaded to a OneDrive folder, get the name of the file and check it against the names on the list, if matched, attach the file to the list
@@TheOyinbooke Excellent video. Thank you very much. Could you do this example? I'm struggling matching the list names to the new files updated
How can I link the attachments to the form I created
fantastic you are great. I have one question that can we update SharePoint with CV link or the onedrive file location URL, so that we can directly click on that link and it will open up the CV
Thanks for your feedback. Yes, this is possible. I will simulate the scenario and include the solution in my next work
What happens if the user doesn't press done in the email? Or multiple users are filling out the form at the same time? How will the flow process multiple users if it has to wait for user input. Seems you'd be stuck? no?
Yes, if the user doesn't respond, the flow will remain running waiting for the response until it timed out. usually 30 days.
If for this particular use case, since the triggers are independent, multiple users will not affect the flow. The records are not in loop here.
But if you have a flow that get list of items and then send a mail to them using Email with Option, in this case, it will only be able to process limited records because it is in loop.
Hey this is a very nice hack! I’ve been struggling do the same thing but what If there are any viruses in the files that are uploaded? is there any security check of the content that is uploaded?
Thank you MB for your comment.
I am not aware of Microsoft specific security policy that can be set to scan the uploaded file.
You have raised a valid question here and I will contact a Microsoft security expert to find out if there is anyway to mitigate this concern or if it is never a concern in the first place.
The done button isn't working though the cvs being upload
This is most likely network challenge or if you didn't put your name
The problem with the solution is after some uploads the anti-phishing system of the most popular web browser will warn you about a potential malware page...this is a problem, even though the page is safe, because most of the people will refrain to go on
Do I need a Microsoft Office admin account to do this?
Yes, you will need an Admin access for this
@@TheOyinbooke In my organization the option "Request files" is open by default to everyone, so I could follow the instructions without Admin access (which I don't have)
Why the email received as a junk and dangerous mail !
This is most likely domain configuration of your email. You should use email address provided by your IT team as the sender and there is a way to configure some files to avoid been seen as spam mail
I am confused on step 3
Can you please be more explicit? Can you describe where you got confused?

Applicant CV? Was this info saved via sharepoint?
@@jayfab4689 Hi Jay Fab,
The files are stored on OneDrive. In a folder you chose.
To see how this works, you need to check the video from the beginning, I explained how to generate a link for File Upload request.
At Step 3. I was only trying to save the form data on A SharePoint List (Excluding the attachment).
Please do let me know if this answers your question
@@TheOyinbooke thank you
