What to Do When Square Transactions Are Not Matching in QuickBooks Online

    What about "Sales tax" and "Tips," Which are under the "Included in total collected"? Do we have to categorize them separately?

      Yes, you can add then in the same sales receipt click on the sales tax button just make sure you add the sales item with no tax, then add sales tax and add tips on a separate line. You can add sales tax by clicking on the check box for sales tax.

    What to do when I deposit a month worth of cash?
    Then with that cash I paid my employees their tips?

      You record the deposit to a cash on hand bank account, create one if you do not have it. To record the expenses click on the plus new icon on the left hand side menu and select add expense and select the cash bank account. I have multiple videos on the subject

    Thank you for making this video! I'm having this exact problem except (using your example) my downloaded transaction is $50 OVER my selected transaction i'm matching it to. How would I resolve this transaction?

      Look into your Square up report and verify what is the difference. If it is cash just record as cash, it will show as a transfer into Cash on Hand Bank account. If it is tips, you record as tips, you will have to look in the Square report or into the transaction detail in the app just like a showed in the video.

      @@ClaudiaXperts thank you for the reply! I’m looking into the transaction detail in QBO and the Square report and I’m not finding any amount that matches the difference that I’m coming up with. Since the downloaded transaction matches the amount that is actually deposited into my bank account by Square, is it safe to assume its Sales of Product that is somehow getting messed up? I’ve been using these two systems for a year and my Square transactions always matched up in QBO automatically, until last week. That’s when this problem started and it has been consistent since. Do you have any thoughts on what might be causing this? (The only change I’ve made is renaming my checking bank account in QBO. I’ve also disconnected and reconnected the Square and QBO integration apps to try to fix this but it doesn’t help)

      @@HeadAboveWaterx It is impossible to know without looking at it. I would suggest to contact QuickBooks to see what is going on. The integration is done by Intuit

    I am having this very same issue but when I go to the deposit in my bank feed and click on "Find Match", the deposit doesn't show up because the deposited amount created by Square is greater than the actual amount deposited in my bank. Square is not letting me view any deposits greater in amount to the actual deposited amount in the bank feed. I can see in the video that you can see deposits in the "Find Match" area that are greater than the actual bank feed amount. How do see these larger deposits?

      In the video you will see me going into the app transactions, find the deposit under the reviewed tab, then undo. You will then be able to view the details. Most likely the transaction has cash or check mixed with cc. It is an issue with the integration. You can then add the transactions again, then view the deposit and remove the cash transaction.

    This process is what I have been looking for.but when I go to Find Matches, nothing comes up. It used to with the previous app but this new Connect to square doesn't show any matches whatsoever.

      It is because there may be a discrepancy in the deposit. You will need to find out what is going on when you accept the deposit. Sometimes it has to do with mixed cash credit card. If so I have a video on that.

    My App Transaction is not even offered as a choice. Seems to be no way to match it.

      If the transaction never came through then I would recommend to add it manually. There is probably an issue with the products and service list.
