- I've been using Notion for a year and a lot has changed with how I am using Notion. In this video, I walk through my entire Notion setup explaining how I use Notion and why I use it the way I do.

Ordered your course today. Looking forward to it!
That's a really neat organization. I'm currently always juggling between notes, todo lists, journals, calendars, and it looks like I just found what I was looking for, cheers :)
Love the video, man! I think the lack of formulas in your databases and the amount of databases you have could be slowing you down.
Instead, you could have the filtered, linked databases but have a select property that differentiates between a work project and a personal project. You could also mash together one big calendar then have filters for your content view and your interactions view.
It would be more efficient for you to use formulas because auto-entering information is a huge plus for me. I use the 4-Quadrant method that splits up all my tasks into 4 linked databases.
I & U = Important and Urgent
📌 Do Now - I & U
☕️ Prioritise - I & not U
🔍 Reduce - not I & U
💡 Brain Dump - not I & not U
The important formula checks if the priority is below 3 (with 1 being the lowest). The urgent formula checks if the do date/deadline is within 2 days.
I agree with everything you said. However, the lack of export options Notion has is why I am not consolidating databases. When you export a database, you get a spreadsheet, which is good, but the pages are all in one batch which makes sorting very challenging. When you create a custom view, it would be nice if that export only included that view of the database and the pages. Instead, it includes the entire database and just the selected view of pages, almost there but not quite. So, in an effort to keep from painting myself into a corner, I use more databases rather than linking them together endlessly. I have done this in the past, but found exporting data to be a pain to sort through when I wanted to try some of my data in another application. I love Notion, but they are not old enough of a company to trust blindly. Thanks for your comment. As I mentioned in the video, I would prefer one single database that did it all. That is how I used to build SQL databases back in the day.
Jerad Hill Oh, yeah, that was the problem you were referring to in the video too, my bad!
Do you not trust it because of its privacy statement or just because it’s not strong enough?
No, I'm not worried about their privacy policy I just want flexibility with my data and ease of moving it out of one system to another if need be. I know that the way my Notion setup is configured that I could easily move it from Notion to Airtable, use it in spreadsheet form or import it all into a database manager. If I put everything in a few databases then it will add to the complexity. As soon as I see Notion provide more customization to export I will move back to single databases utilizing linked views again.
Jerad Hill ooh Airtable! Sounds fun but I’m not willing to pay for it haha
Do you still use Todoist or did notion replace it?
I had been using Todoist along with Notion because it was easier to get new tasks into Todoist, but I have since stopped using Todoist for the time being. I build my CRM in Notion so it makes more sense for tasks to be in Notion so I can link them to clients and projects.
Do you still just Todoist?
Cool beans. I may have a solution for you on the decaying contacts with a touchback formula. I sent it through your contact form on your website.
Thanks for sending that over. It’s kind of close to what I’m already doing. The main issue is getting in there. I do most of my follow up with email marketing which Notion can’t do so it feels like double duty at times.
the link to your course doesn't work? do we have to pay for it?
Sorry about that. The link is fixed. There is a small cost to the course but if you watch all of my Notion CZcams videos you basically have the course just not in a structured way.
@@jeradhill alright i'll do that thank you!
link to your templates also does not work.
