How do you set up multilevel numbering in Word so it works perfectly first time, every time? Numbering like 1, 1.1, 1.1.1 or 1) a) i). How do you control indentation and positioning? How do you overhaul a large document quickly.

Setting up multilevel numbering in Word (level 1, level 1.1, level 1.1.1 etc.) can be infuriating, if you don't know how to set it up properly. Many people give up and resort to numbering everything manually.
In this video, I strip everything back to bare basics and walk you step-by-step through how to set up multilevel numbering in Word (from scratch).
You'll discover how to control what numbering to use, dependencies and positioning. You'll see how easy it is to apply the numbering system to existing content and promote and demote text through the different levels.
I finish by linking the numbering to the built in Word styles such as Heading 1, Heading 2 and Heading 3 so that text can be easily numbered at any time and the rest of the document will be renumbered automatically.

I’ve wanted to know how to do this for years, but have never found an explanation that ties it all together. Word Help will tell you how to define a style or how to define a list but not how to link heading styles to an existing list. Thank you for your clear, logical, useful explanation. @@MrRusell86 It's vs its is one of the few grammar problems that I just can't seem to get in my head! My issue is that, if you're talking about a house that belongs to Mary, you say "Mary's house", with the apostrophe. So, my mind insists in this example - "worth it's weight" - the it's applies to make the weight possessive. But then I think about it some more and decide that's not right and change it. But then I think about it again.... You can imagine the "bunny trail" my mind goes down! I've struggled with this particular subject for years!

02RIV well, let’s say you have a little bit “overexplained” the concept in the blog. As a semi-experienced user, I was looking for numbering with styles. My document was nearly finished but seeing that you’ve started from scratch was a bit disencouraging at first. Secondly, i cannot even manage to proceed the action number 2, because it was greyed out in my computer, since i believe i’ve clicked somewhere else.
I think we are getting used to be taught by video posts for these kind of stuff. Blog posts are a bit “unfit” for such step by step explanations.
A good blog post will relate to people wherever they are on their journey. Clearly you are further along than others. My blog posts are structured so that you can scan through to the section(s) that are relevant. The jump links at the top of the post also take you straight to the relevant section. If I started the post at the exact point you are at Zeki, then to others it would feel like starting in the middle of the story. I'm sorry you found my writing 'desperately bad' for these reasons.
I also strongly disagree that blog posts are unfit for step-by-step explanations. That is their strength. People learn in all kinds of ways - watching, listening, reading and doing. While blog posts may not work for you, one size does not fit all.

I really like the explanation for styles and how to get the numbering level to display number format using level 1, level 2, etc.
One thing that was missing was how to edit the multilevel list after it is created. As far as I can determine, it is not possible to edit the list using the same menu system that was used to define it the first time.
In terms of editing the indentation positions, I would recommend
1) Turn Ruler function on using view menu under Show: Ruler (tick box)
2) The indentations can be adjusted using the icons located on the ruler. If the list is created using styles then an update in one heading will affect all the same style.
Note it is possible to edit these values using paragraph: left indentation, special-hanging and Tabs, I just find it is much easier to edit using the ruler symbols as you can see the change in real time.

Hi Great Big Breakfast. Thanks for your feedback. If you click the multilevel numbering icon then choose 'Define New Multilevel List' the existing settings are displayed and you can edit them however you want. No, it's not obvious!
Yes you can make changes directly on the ruler providing you understand what is happening with the styles.
When you modify a style, the 'Automatically Update' setting (at the bottom) is switched OFF by default. this means that if you place your cursor in, say, a Heading 1 paragraph and adjust the indent using the ruler markers, ONLY THAT PARAGRAPH will change.
If you switch ON the 'Automatically Update' option in the Style definition, then if you adjust the rule markers it will change EVERY INSTANCE where that style is applied. You have to be very careful.
My personal recommendation is to leave the option switched OFF. but if you are careful and understand what you are doing, switching it on is fine if it serves your purpose better.

Well I'm having another problem after getting my mutli-level lists sorted but it might require some troubleshooting. I have a big white space after a paragraph when I select a certain style. The problem seems to be connected to the Style but maybe it's something I did/didn't do when setting up the lists. I've checked for page and section breaks. I searched for tutorials on "white spaces in word" but only came across very basic problems. Maybe you already have some posts on this? A troubleshooting tutorial on potential causes of white spaces might be good. I use word 2016. Many thanks
Hi James. Try this.
1) Right-click the style you are using, then choose 'Modify'.
2) In the bottom-left of the dialog box, click 'the 'Format' button, then choose 'Paragraph'
3) In the Paragraph dialog, check the setting for 'After paragraph'. I'm guessing that will be a big number. Reduce it.
