Gmail Tutorial: 12 Powerful Email Tips

    Did you know that 80% of all email traffic is a waste? Also, according to McKinsey knowledge workers spend 2.6 hours per day reading and answering emails.
    List of tips to make the time spent in your inbox more productive:
    1) Setup your inbox by priority (not all types of emails are created equal!!) i.e. use priority inbox
    2) Unsubscribe from emails that you never read anyway
    3) Setup Gmail filter and labels to archive those emails that are “nice to read” to go through them whenever you have time
    4) Use the Send & Archive feature to smash through your inbox
    5) Combine #4 with auto-advance to go through the emails one by one (This feature needs to be enabled in gmail labs)
    6) Use Boomerang to follow up on unanswered emails
    7) Use a plus (+) sign to create unlimited email addresses
    8) Undo send to recall an email
    9) Reply all as default behavior
    10) Use canned responses as email templates (Needs to be enabled in gmail labs)
    11) Mute emails to permanently archive the thread
    12) All emails in one inbox
    Bonus tip: take control of your inbox and only check your emails twice a day, once in the morning and once in the afternoon. In The 4-Hour Workweek, Tim Ferriss suggests checking email just twice a day as part of the quest for a more reasonable, productive life.

    In an effort to increase productivity and efficiency I am beginning a new personal email policy. I’ve recently realized I spend more time shuffling through my inbox and less time focused on the task at hand. It has become an unnecessary distraction that ultimately creates longer lead times on my ever-growing ‘to do’ list.
    Going forward I will only be checking/responding to email at 11am and 4pm on weekdays. I will try and respond to email in a timely manner without neglecting the needs of our clients and brand identity.

    Hey claus, firstly thanks for the super 'TIPS' . I use Mozilla Internet Explorer and it's screen layout is very powerful in that it has an index down the left side housing my many different files and each can have a sub file, making it really simple to find any emails I need. does Gmail offer a similar indexing facility?

    Very helpful. Thanks. However, I found an incompatibility. In Settings, if you do as you suggest and select 'Auto Advance > Go to the previous (older) conversation', then 'Undo Send' becomes nonfunctional. 'Undo Send' seems only to work when 'Auto Advance > Go back to the threadlist' is selected. Am I missing something? Thanks!

    Great tips. Thank you. Will you give me an advice? I made labels of all potentional customers (leads). Once a week I'm checking their status by looking all mail in the labels. Is there a way to quit with these labels but dont forget these different leads?

      +Productivity Hacks For each lead/customer one label. I want to quit with labels, because each time I delete a message with the same subject as previous messages, all these messages with the same message are put jn the garbagefolder.

      +Robert Zwart do you mean all messages in the thread get deleted? I don't think that has anything to do with label. Try to archive a message instead of deleting it

      +Claus Geissendoerfer Yes, that is what I mean. Of course it doesn't have to do something with the label, but it is the way I order my messages of one client. Do you mean that when I archive all the other messages in the same threat won't be placed in the archive?

      I don't think archiving will work in this case.

    This is very helpful, but it's still an inelegant solution, because it's all or nothing. A long time ago, I was a user of AOL's email, which handled this particular issue in a very neat way. When you replied to an email, the default was to send no history trail. But if you wanted to send some part of the trail in your reply, all you had to do was highlight it, and that portion only would be sent along with your reply. Here's the reason this Gmail solution is bad. Say someone sends you an email detailing a trip itinerary. You have a question about it and want to reply, but you don't want to send any previous trail, but you DO want to include information from the latest received email. Using the method described in this video, it's all gone. There's nothing left but your reply. So when the person you're sending it to receives it, it's just like a brand new email that has no reference point. It doesn't relate to the last e-mail that individual sent to you, so he may not even know specifically what your reply is referring to. There really needs to be a way to be SELECTIVE about what part or parts of a trail get included in the reply. This all or nothing approach is not really acceptable. Like I said above, for all the bad-mouthing it received, AOL got this one thing right years ago.
